PPE UPDATE

Two New Steps Added to PPE Donning and Doffing Checklist | The donning and doffing checklist has been updated with two new steps:

  1. Prior to donning, the team member and donning coach must verify that the proper type of respirator mask is being used;
  2. During doffing, the doffing coach must wear eye protection. 

OPERATIONS

Coming Soon: More Patient Data Needed to Order COVID-19 Tests | Preparations are underway to comply with new guidance from Health and Human Services (HHS) that will require everyone who orders upper and lower respiratory COVID-19 tests to enter additional patient demographic information. Implementing this change will require asking each patient to answer several more questions and entering their responses into the test order.

Collection of this additional data is mandatory under the new Laboratory Data Reporting Guidance issued by HHS. The data will help HHS improve equitable access to testing and determine the burden of infection on vulnerable populations. We will keep you informed about implementation dates and additional changes as they are announced.

PATIENT CARE

Update: CDC Guidance Regarding Team Member Exposure to COVID-19 at Work |UVA Health has adopted the CDC definition of prolonged exposure time for contact tracing, which has been increased from 10 minutes to 15 minutes. Any duration is considered to be prolonged during the performance of an aerosol generating procedure without PPE in place. This guidance is based on currently available data about COVID-19. Update: Patients Now Have Two Remote Waiting Options | Remote waiting is one of the many changes implemented to ensure the safety of patients and team members during COVID-19. Patients arriving for their clinic appointments have been instructed to call 434.924.0044 from their car to complete the registration process. After doing so,  patients can either wait in their car or in a designated remote waiting area until they are instructed to enter clinical areas. Remote waiting areas have been designated for use by registered patients and approved visitors only.

Update: Communicating about Culturally Sensitive Issues | A new, self-paced course is available for all UVA team members to help build our skills for dialogue and to recognize how to leverage differences in our workplace to drive excellence. Medical Center and UPG team members can access the course through the UVA Library portal to LinkedIn Learning.

ACCOLADES

We’re the No. 1 Hospital in Virginia | For the fifth consecutive year, U.S. News & World Report has ranked University of Virginia Medical Center as the No. 1 hospital in Virginia. The publication’s 2020-2021 “Best Hospitals” guide also ranks eight UVA specialties among the best in the nation.

These accolades follow honors for UVA Children’s earlier this year in the 2020-2021 “Best Children’s Hospitals” guide from U.S. News. Five specialties were ranked in the top 50 nationally: pediatric cardiology & heart surgery, pediatric diabetes & endocrinology, pediatric orthopedics, pediatric urology, and neonatology. 

As K. Craig Kent, MD, UVA’s executive vice president for health affairs, noted, “It is an honor to be ranked the No. 1 hospital in Virginia for the fifth consecutive year, and I want to congratulate and thank our entire team for their efforts to provide the highest-quality care for our patients in a wide array of specialties.” Read the press release.

Change: Ambulatory Providers Must Monitor Epic InBasket for COVID Test Results l The laboratory is no longer paging positive COVID-19 test results to ambulatory providers in real time. Instead, both positive and negative results are being released into providers’ InBasket in EPIC.

Coming Soon: Switch to Workday Learning Will Impact All UVA Health Team Members | Workday Learning will replace the NetLearning management system in the Medical Center, University of Virginia Physicians Group, School of Medicine, School of Nursing, and Community Medicine in stages beginning September 2020. This process will impact all team members in how learning and training requirements are accessed and fulfilled. Read details on Connect.

TEAM MEMBER SAFETY AND WELL-BEING

Update: Team Member Wellness Attestation | HOOS Health Check is Coming Mid-August | In order to protect the health and safety of our patients, visitors and teams, UVA Health implemented a wellness attestation process for all team members in April 2020. The current team member wellness attestation process uses the Qualtrics system for the daily survey. In mid-August, UVA Health will begin using a new tool, HOOS Health Check, which will be used across all entities, schools, and divisions of the University. Although this is not a new process for UVA Health team members, it is important to know that the tool will be changing. More details, confirmation of a launch date, FAQs, and instructions on downloading the app/accessing the website will be shared next week.

At UVA Health, we take our responsibility to our patients, teams, and community very seriously. This new tool will make it even easier for each team member to complete this required task, stay aware of their health, and report any possible COVID-19 symptoms before reporting to work and putting others at risk.

CARE FOR THE COMMUNITY

Free COVID-19 Testing Event | Friendship Court Community | Saturday, August 1 | 9 a.m.–1 p.m. | Many UVA Health team members will be volunteering at this community outreach event. Focused on serving Friendship Court residents, this event is open to all. Because a limited number of tests are available, pre-registration is recommended. Details:

Doctor Partners with Charlottesville Schools on At-home STEM Kits | After participating in last month’s “White Coats for Black Lives” event at UVA’s new Memorial to Enslaved Laborers, UVA Health pediatric gastroenterologist Sana Syed, MD, and other attendees began talking about immediate action they could take to fight inequality in their communities, and to promote diversity in their professions and schools. Opportunity for Improvement: Tweet Calls Out Our Team Members’ Lack of COVID-19 Safety Precautions | Following a recent visit to the University Hospital Cafeteria, a guest tweeted a message and photo showing  team members gathered around a table without masks and without proper social distance. We remind everyone that to feel and be safe during this pandemic, our patients and visitors need to observe ALL of us wearing masks and maintaining social distancing in UVA Health facilities, including the cafeteria. Let’s support each other in taking the steps needed to protect our patients and visitors and prevent the spread of COVID-19.

Elastomeric Half-Mask Respirator Guidance | A user’s guide has been created for those who have been fit tested to the Elastomeric Half-Mask Respirator for respiratory protection as a quick reference for donning, doffing, storing, cleaning and disinfecting. 

OPERATIONS

Fridays Before Five Rounding Resumes on Aug. 7 | An essential part of preparations for our next Joint Commission survey visit, the Fridays Before Five (FBF) program, is about to restart. Teams of Medical Center managers will round on units, clinics and other areas throughout the Medical Center to assess common survey concerns such as infection control practices and hazards in the environment. Virtual FBF training sessions will be held on the first and third Fridays of each month, and rounders will have a week to complete their site visits. Questions about FBF can be emailed to Denise Barth.

PATIENT CARE

Medical Center Hospice Unit Opens This Week | An in-hospital hospice unit is scheduled to open on Wednesday and will initially include four beds on 3 South. Initially, this space will help to consolidate hospice conversion functions across the Medical Center into one space. Eventually, the unit is expected to have eight beds and make it possible to transfer patients to hospice care during evenings and weekends. Thank you to all the teams who have worked tirelessly over the last several weeks to see this come to fruition.

New Video Spotlights Siblings Treated for Heart Disease | U.S. News & World Report has ranked UVA’s pediatric cardiology and heart surgery services in its “Best Children’s Hospital” guide since 2016. UVA also has the largest fetal heart program in Virginia. A newly released video illustrates how one Virginia family accessed that care for two of their children at UVA Health. We offer our appreciation for the many team members who contributed to the life-saving care provided to this family.

Reminder: Visitor Restrictions | It is important for patients and visitors to receive consistent messages regarding visitor access. A few key points to remember and share:

New Single Sign-On System Coming | This summer, UVA Health will be replacing the current Single Sign-On (SSO) authentication system, Duo. This decision was made based on direct clinician input and data from Be Safe events regarding a need to declutter computer desktops and to make it as easy as possible to access the information essential to providing safe patient care. A pilot is currently underway to test the new SSO system, Onesign, as well as a new desktop organizer, Fences. A timeline for the conversion is still being finalized. Users will benefit from:

PATIENT CARE

Update: Area Skilled Nursing Facility Activity | In recent weeks, there have been COVID-19 outbreaks in a number of skilled nursing facilities (SNFs) in our area. The outbreaks have resulted in the closure of a couple of facilities, which has an effect on our ability to discharge patients in need of skilled nursing services. UVA Health and community resources are being deployed on site and via telemedicine in some facilities to help ensure safe care for these patients. There is regular communication with state and regional agencies to coordinate efforts and to help avoid closures if at all possible. The UVA Health Data Portal (login required) has been updated with a SNF Status tab, updated Monday-Friday, that shows capacity at area skilled nursing facilities and aids in the discharge planning process.

Safe Bus Passenger Practices | The dedicated team at UVA Parking and Transportation has developed a system for getting you safely and conveniently to and from your place of work. Buses are cleaned daily, and commute times are no longer than 15 minutes (meeting CDC guidelines for limiting close exposure). Your partnership in following the following key steps is essential in our efforts to protect the health and safety of all team members, patients and visitors.

Universal Masking Reminder for Team Members | Universal masking and social distancing are critical tactics to prevent the spread of COVID-19. As you continue to provide expert care to our patients, please take these important steps to protect yourself and others.

At Work

  • Wear your mask at all times
    • Even when in shared workrooms
    • New sign available to print for public and work areas: How to Wear Your Mask
  • Social distancing is important – social distancing + mask wearing = added protection for all
  • Meal breaks are a high-risk activity because of mask removal
    • During meal and drink breaks, practice social distancing
    • Do not share food
    • Local leaders should practice creative problem-solving to allow for social distancing during breaks (such as staggering meal break times)
    • Infection Prevention and Control is also able to help identify ways to improve social distancing in break/meeting areas
  • Cleanse your hands frequently
  • Eye protection should be worn within 6 feet of a patient and before entering a patient’s room 

Remember, positive peer influence can make a difference. You can always kindly and firmly ask other team members to follow safety protocols and wear a mask for everyone’s safety and well-being. And if a colleague asks you to wear a mask, please respond with appreciation and by putting on a mask (complying with safety protocols). This is teamwork. This keeps everyone safe.

2020 Charles L. Brown Award — Submission Deadline Extended until July 27 | The Charles L. Brown Award for Patient Care Quality, sponsored by the Department of Quality and Performance Improvement, is a $10,000 prize given to a UVA Health team or teams to recognize excellence in patient care with a focus on work to advance quality and patient-safety efforts. APPRECIATION

UVA Named to Newsweek’s Best Maternity Hospitals List | For meeting a set of rigorous best practices for maternity care, UVA Medical Center, UVA Women’s Services and UVA Children’s have been named to Newsweek’s Best Maternity Hospitals 2020 list. Hospitals named to the list had to meet standards developed by an expert panel together with The Leapfrog Group, an independent nonprofit that monitors the quality and safety of hospitals.

Those standards included low rates of:

  • Early elective deliveries (babies delivered before the 39th week for any reason except to protect the health of the mother or baby). 
  • Cesarean deliveries for first-time mothers delivering a single baby at full term in the head-down position. 
  • Episiotomies, or incisions made in the birth canal during a delivery.

Hospitals must also meet standards for protecting the health of mothers and babies, including:

  • Testing babies for high levels of bilirubin, a substance found in bile that can signal a baby is at risk for disabilities.
  • Using techniques to prevent blood clots in new mothers who deliver babies via Cesarean section. Mothers are sometimes at risk for blood clots in their lungs following a Cesarean delivery.

EVP MESSAGE

I write to you today for the first time in what I hope will be a series of communications from the leadership team through our UVA Health Update Newsletter. My goal is to connect with our wonderful UVA Health faculty, staff, and students to show my appreciation for all that you do.

This has been an important and exciting week for our community. Because of your sacrifice, dedication, and hard work, we were able to announce that we will not renew our financial mitigation efforts. I am proud and excited to welcome everyone back into the workplace over the weeks to come.

I would like to thank each and every one of you for your compassion, strength, and integrity over these past few months. The sacrifices you have made have helped secure the future of UVA Health, and I could not be more proud to be a part of such an incredible community.

This week has had its challenges as well. Nursing homes have seen a surge in Covid-19 outbreaks, and I know that this has put a strain on patient progression within the Medical Center. Despite this challenge, your rapid and thoughtful response has led to superb care for so many patients in need. I want to thank you all for your tireless efforts to keep our patients and our community safe.

NEWS FROM GROUNDS

UVA Announces Details of Plan for Virus Prevention, Detection and Response | This week, the University of Virginia announced plans for the safe return of students, faculty and staff to Grounds and for the safe operation of the fall academic semester – including mandatory virus testing for students.

The plan details requirements for students prior to returning and sets expectations for behaviors that minimize the risk of infection or spread of COVID-19 for all members of the University community. It includes information on UVA’s protocols and practices for testing, monitoring, quarantining, and ongoing health and safety measures. Read more.

 

PPE UPDATE

New: Focused Donning/Doffing Checklist for Experienced Users | An abbreviated donning and doffing checklist is now available for use by experienced team members in the Special Pathogens Unit and Emergency Department. This streamlined document is designed to help team members who use the checklist frequently to focus only on the critical steps of the process. Team members outside the SPU and ED should continue to use the detailed version.

 

OPERATIONS

Pooled Equipment Collection Rounds Start Today | To ensure that pooled equipment requests can be filled quickly, transporters have begun rounding in inpatient units every two hours to collect equipment no longer in use. Rounding will occur from 7:30 a.m.-7:30 p.m., Monday through Friday.

PATIENT CARE

Change: Patient Discharge Process | Effective Monday, July 20, the Discharge Hub/Lounge area (where patients wait for their family member to bring their car to the front drive) and Safekeeping will move from the second floor to the Patient and Family Services area, which is located in the first-floor hospital lobby behind the main Information Desk.

Transportation of Patients with COVID-19 | A new document has been created to clarify the roles of transportation team members in assisting patients who have been affected by COVID-19. 

CARE FOR THE COMMUNITY

Help Promote Mask Wearing for Everyone | Team members are encouraged to watch and share the link to a new video that is part of the star-studded “Mask Up America” campaign. The goal is to urge Americans to wear face masks in public to slow the spread of the coronavirus. Watch video

Call for Volunteers: Community COVID-19 Testing Events | Over the last few months, our free COVID-19 testing events have served more than 750 individuals in local vulnerable communities. Volunteer support from UVA Health has been essential to the success of these events and will continue to be needed going forward. All team members and students are welcome to participate. Sign up here for any or all of the testing events listed below. 

  • VOLUNTEERS STILL NEEDED! Saturday, July 18 – Fifeville Community | 1:00 to 5:30 p.m. at Buford Middle School in Charlottesville. Volunteers are also needed to assist with results call backs following the event.

Important Update | K. Craig Kent, MD, Executive Vice President for Health Affairs, and the UVA Health Executive Leadership Team shared, with great thankfulness, that UVA Health will not have to extend labor-related financial mitigation measures beyond the initially designated three-month period. More specifically, compensation reductions, furloughs and retirement-contribution suspensions will cease at the end of the three-month period. COVID Lab Testing Notice | As cases and testing demands have increased around the United States, there has been an increased strain on the allocation of resources for testing reagents. This has affected UVA directly. Although we have enough rapid tests to support current inpatient and Emergency Department workflow, outpatient symptomatic testing, employee health and other areas may be affected. Our high-volume testing platform, which takes three to five hours, will not have reagents until the middle of next week. As a result, for the next seven days, our turnaround time will be 24 to 36 hours. Please direct questions to Melinda Poulter and Amy Mathers

Reminder: Patients Need Referrals to Access COVID-19 Clinic | In recent days, the COVID-19 Clinic has been experiencing an increasing number of walk-ins who have been sent to the clinic for testing. Please note: The COVID-19 Clinic is a referral-only testing site to protect the health and safety of patients and team members. The referral is an essential step that allows the clinic to schedule patients in a timely manner while preventing lines at the registration desk and crowded waiting rooms.

Follow these important steps:

  • Providers can refer patients to the COVID-19 clinic for testing when a suspicion of COVID-19 is identified by screening or clinical evaluation by using Ambulatory Referral to COVID Clinic Panel, which includes both testing referral and SARS-COV-2 PCR test. (See ordering tip sheets for LIPs and RNs.)
  • If patients are in the medical center and need to be seen right away, call the clinic at 434.98COVID, option 1, and speak to the RN.

Sign Up Now: United Way Day of Caring Seeks Team Leaders | This year will mark the local United Way’s 29th Annual Laurence E. Richardson Day of Caring, and many adjustments are being made to keep volunteers safe and comply with public health guidelines to minimize COVID-19 risks:

  • Rather than a single day of focused activity, this region-wide volunteer event will take place over a week: Monday, Aug. 31, through Friday, Sept. 4.
  • Projects will be mostly outdoors, virtual or office/home based.
  • To allow for social distancing, volunteer projects will be limited to groups of 15 people or fewer.
  • Registered team leaders will receive information about available projects. The deadline for selecting a project is Aug. 19.

When We Talk About Our A-Team, We’re Talking About Our Access Team | No doubt about it, our Access team members have risen to many significant challenges during our COVID-19 response. COVID-19 RESPONSE AND PLANNING

As restrictions ease in Virginia and across the nation, preparation for a second peak of COVID-19 has been underway to ensure our ability to meet an increase in COVID-related cases while continuing to provide expert care for all of our patients.

Over the past several months, we have learned a great deal from our experiences — and we have learned much more about this virus. The significant planning in the early phases of the COVID-19 pandemic taught us how to manage our operations to safely and efficiently care for this unique patient population and our team members. We are well-positioned to respond should we be faced with a second peak in our community.

Multidisciplinary teams with experience in all aspects of COVID-19 care have developed best practice protocols for patient care. UVA Health is:

  • well-positioned to respond with an Inpatient Surge Plan that we can activate at any time 
  • able to cohort COVID-19 patients in the South Tower
  • prepared with adequate PPE and bolstered equipment/supply inventory
  • ready with improved testing speed and capacity

Surge planning will continue to be a critical component of our emergency preparedness and COVID-19 response. Please know that UVA Health stands ready to provide the patient care, testing, team member support and community outreach needed as we continue to navigate COVID-19.

OPERATIONS

Special Pathogens Unit Move | On Tuesday, 3 South moves to 4 South. A special thanks to the many Clinical, Facilities and Operational Readiness team members involved in the planning for this move.

Urgent Medical Device Correction: GE Carescape Patient Data Module (PDM) | Clinical Engineering is working with GE Healthcare to correct an issue that occurs when an Automated External Defibrillator (AED) is used on patients connected to GE Carescape B450/B650/B850 monitors with PDMs. The issue occurs when Pace detection is turned on. The AED emits low-frequency signals that can cause the PDM to issue a false flat line ECG waveform and display an Asystole alarm on the monitor.

Until this issue is resolved, care providers should turn off the Pace detection feature before using an AED on a patient who is connected to a GE Carescape monitor with a PDM. A Be Safe Alert issued today provides detailed instructions for this process. Please call Clinical Engineering at 4-2391 if you have questions.

Documenting Patient Notification of COVID-19 Test Results | As providers have taken on the role of communicating COVID-19 test results directly to their patients, it is critically important to remember to document the patient notification in Epic. This important step informs others on the care team that the patient has been notified of their COVID-19 test result and has received the proper patient education. Once a patient has been notified of their COVID-19 test result, use the smart phrase .covidresultcall [544056] to document that the result was called back (see Guidance for Communicating COVID-19 Lab Results to Patients for tip sheet).

Updated Team Member Travel Guideline | Thetravel guideline for team members has been updated to allow assessment of active COVID-19 by state (not county) when evaluating your travel risk. In order to assess the rate of COVID-19 at a destination, visit thisCOVID Risk Levels Dashboard. This is the information that will now be used as the rate-based assessment of risk for travel.

  • Select “State” at the top right of the map.
  • Hover over the state that is your destination for travel.
  • This will show the 7-day moving average of cases per 100,000 population, which reflects the active COVID-19 cases in the state.

There is still an activity-based assessment of travel risk in the travel guideline, which is based on whether you participate in group activity once at your travel destination/state. In general, team members would only face a leave-without-pay situation if they had traveled to a high-risk state AND participated in group activity while there. Testing will be available at Buford Middle School (1000 Cherry Ave., Charlottesville, VA 22903). Because a limited number of tests are available, pre-registration is strongly encouraged. Discharging Patients to a Hotel | Where medically appropriate, there are situations when a patient may be discharged to a hotel in order to ensure an inpatient bed is available for the next patient in need. To help expedite safe discharges, UVA Medical Center has a relationship with Homewood Suites to provide overnight accommodations for patients that meet the following criteria that are delaying their discharge:

  • late discharges
  • ride logistics
  • next-day outpatient appointments

Update: Communicating COVID-19 Lab Results to Patients | Breastfeeding Mothers and MIS-C | Theguidance information for providers who are now responsible for reporting results back to their patients has been updated to include patient-directed advice for breastfeeding mothers and multisystem inflammatory syndrome in children (MIS-C).

Protect Yourself and Others: At and Outside of Work | No matter how tight-knit your team or home/social bubble, it is important to remember that your bubble doesn’t need to be that large to translate into a risk of exposure. Please practice and share these important safety measures:

At Work

  • Wear your mask at all times
    • Even when in shared workrooms
    • Even when outside
  • Social distancing is important – Social distancing + mask wearing = added protection for all
  • Meal breaks are a high-risk activity because of mask removal
    • During meal and drink breaks, practice social distancing
    • Do not share food
    • Local leaders should practice creative problem-solving to allow for social distancing during breaks (e.g., stagger meal break times)
    • Infection Prevention and Control is also able to help identify ways to improve social distancing in break/meeting areas
  • Cleanse your hands frequently
  • Eye protection should be worn within 6 feet of a patient and before patient room entry

Outside of Work

  • Wear your mask in public spaces
  • Social distance
  • Cleanse your hands frequently
  • Avoid large crowds, especially if not everyone is masked

Remember, positive peer influence can make a difference. You can always kindly and firmly ask your team members to follow safety protocols and wear a mask for everyone’s safety and well-being. And if a colleague asks you to wear a mask, please respond with appreciation and by putting on a mask (complying with safety protocols). This is teamwork. This keeps everyone safe.

Situation Room Huddles Return to Claude Moore Health Sciences Library | On Monday, July 6, the daily 10 a.m. Situation Room Huddles returned to the Claude Moore Health Sciences Library in socially distant style. Only five Medical Center Cabinet members are in the room to start, but they plan to invite service-line leaders who are presenting. The space has been reconfigured to ensure safe social distances. These meetings continue to be streamed via WebEx to invited participants. 

Claude Moore Health Sciences Library Operations | The Claude Moore Health Sciences Library is physically open 8 a.m.-5 p.m. Monday-Friday to anyone with a UVA Health ID. Onsite services are limited. Reminder:  Outpatient COVID Precaution Discontinuation | Outpatients who have tested positive for COVID-19 in the past will have their isolation status managed by Infection Prevention and Control per the updated COVID-19 Precaution Clearance: Outpatients policy. For most patients, discontinuation of isolation using the CDC symptom-based or time-based strategy is appropriate, and only immunocompromised patients will require CDC test-based clearance.

New: Cadence System Questionnaire | Effective Thursday, July 9, a new four-item questionnaire will be required when scheduling appointments. Questions 1 and 2 ask patients whether they have been tested for COVID-19 outside of UVA in the past 14 days and the result of that test. Questions 3 and 4 inquire about patient self-reported disabilities. Answers to the questions will display in the Multi-Provider Schedule and on the Status Board. Please note: If the appointment was scheduled prior to July 9, the columns will be blank. The questions about outside testing are asked once a day. The questions regarding self-reported disabilities are asked once a year.

Care Beyond COVID | UVA Radiology Introduces New Nuclear Medicine Cancer Treatment | On July 1, UVA Radiology delivered its first treatment of a new nuclear medicine cancer treatment with a radioactive agent called Lutathera. The radioactive targeted therapy can make neuroendocrine tumors grow more slowly or stop them from growing, and it can also help manage symptoms caused by the tumors. 

Initiating and implementing this treatment was an incredible team effort across multiple service lines, including but not limited to the nursing and technologist teams in nuclear medicine and their respective managers – Pat Gaspard and Vickie Taylor – and our Nuclear Medicine supervisor, Hunter Beverley. Other important contributors include Cancer Center, Pharmacy and Epic (specifically the Beacon team, the Preauthorization Unit and the billing and financial analysis teams), as well as physician colleagues – Dr. Kostakoglu (Nuclear Medicine) and Dr. Grosh (Cancer Center). We are incredibly grateful for the team effort and for the ability to offer this treatment to our patients.

Universal Masking Reminder for Team Members | Universal masking and social distancing are critical tactics to prevent the spread of COVID-19. As you continue to provide expert care to our patients — and each other — please remember to practice universal masking and maintain a safe social distance (6 feet apart) in break rooms, cafeterias, common work areas, locker rooms and in all of your social interactions (work-related or otherwise). These protocols will protect our patients and team members should they come in contact with asymptomatic, pre-symptomatic or infected individuals in any setting.

Remember:

  • All team members must wear a mask when entering a UVA Health building and wear it continuously until they leave the facility.
  • Masks may be removed when you are alone (such as in a personal office) but must be worn when you anticipate being within 6 feet of others.

New! Loss of Taste/Loss of Smell Added to List of Symptoms that Trigger a BPA in Patient Access Screen for COVID-19 | Beginning Thursday, July 9, if patients report having new symptoms of loss of taste or loss of smell during the Access or Travel Screening at scheduling or registration, then a “COVID-19 Advisory” (or BPA) is noted in their chart.

These are in addition to the symptoms of fever, cough, shortness of breath, emesis and diarrhea, which are the other symptoms that also trigger this BPA. The BPA signals that the clinical team should further evaluate the patient to determine if COVID-19 testing is appropriate. UVA Health ECMO Program Awarded ELSO Platinum Level Distinction for 2020 |Over the past six years, the ECMO program has implemented systems and workflows known to promote excellent care and outcomes. This has resulted in the program being recognized as a Center of Excellence — Platinum Level for 2020 by ELSO (Extracorporeal Life Support Organization). In addition to being recognized as one of the top programs in the world, the ELSO review committee specifically mentioned three areas in which the program excelled:

  1. Excellence in promoting the mission, activities, and vision of ELSO;
  2. Excellence in patient care by using the highest quality measures, processes and structures based upon evidence; and
  3. Excellence in training, education, collaboration and communication supporting ELSO guidelines that contributes to a healing environment for families, patients and staff.

Reminder: Wear Masks Properly |Family members of several inpatients have asked we remind care providers to wear their masks properly during all encounters. Masks should fully cover the nose and mouth at all times. Do not wear masks pulled down low on your face/chin or hanging from one ear, for example. This places patients, families and other team members at risk.

Update on Testing of Patients With No Clinical Suspicion of COVID |If a patient is being tested for COVID when there is no clinical suspicion, answer ‘No’ to the Patient Symptomatic question in the COVID lab order and the PUI banner will not display.

As a reminder, there are updated standard operating procedures for testing patients with no clinical suspicion of COVID (e.g., pre-procedure testing, discharge to a congregate living facility that requires COVID testing for patients discharged from the medical center, or when proof of a negative test is required for school, work or travel).

Parking and Transportation Modifications | Friday, July 3 |The University Transit Service bus and Health System Transit shuttle service will not operate Friday, July 3. Team members may park in the South Garage and 11th Street Garage (level D and above only) for a 24-hour period beginning midnight Friday, July 3. The Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes from 7:20 a.m. to 7:45 p.m. UtoCar will operate normally.

RESEARCH

UVA Findings Could Yield New Treatments for Severe Cases of COVID-19 |Doctors can examine COVID-19 patients’ blood to identify those at greatest risk of severe illness and to pinpoint those most likely to need a ventilator, new research from theSchool of Medicine suggests. The discovery could lead to new treatments to prevent deadly “cytokine storms” seen in severe cases of COVID-19. It also may help explain why diabetes contributes to worse outcomes in patients with the coronavirus. Read more.

It Truly Takes a Village to Conduct Community COVID-19 Testing | Yesterday, a large and multi-disciplinary team from UVA Health contributed to the success of our latest COVID-19 community testing event. Held in the Southwood neighborhood in Charlottesville, the event provided testing to 149 individuals. The “village” of health system groups who made the Southwood event possible included physicians, nurses, medical students, Labs, Access, IT (which provided both hardware/software and Cadence support), the COVID-19 Clinic and Supply Chain. Updated Clinical Decision Support and Referral Guide for Ambulatory Areas | Effective July 1 | To support the transition of the COVID-19 Clinic to a testing-only site beginning Wednesday, an updated Clinical Decision Support (CDS) and Referral Guide for Ambulatory Areas will be available starting tomorrow on the COVID-19 Resource Page to guide providers through the process of COVID-19 patient evaluation and referral of the symptomatic patient for testing when a suspicion of COVID-19 is identified by screening or clinical evaluation.

OPERATIONS

New Inpatient Stretcher Fleet | The first phase of replacing and updating our inpatient stretcher fleet begins today. Transporters will remove existing stretchers during the afternoon and evening. Tomorrow (Tuesday, June 30), they will deliver 85 new Stryker stretchers. A second round of new stretchers will be delivered July 13.

Nursing units and clinical care areas that have not yet submitted stretcher replacement requests should email Rudy Beverly. Please include the following information: unit/clinic/procedure area name, location and number of stretchers to be replaced. 

Older model stretchers that require replacement include those from Tabbert Industries, Hausted, Medline Industries, Ferno Washington and Thermo Electron Anatomical Pathology.

New Epic Tip Sheets Available | COVID-19 Referral and Testing for Ambulatory Clinics | Beginning July 1, the COVID-19 Clinic will be a testing-only center. LIP evaluations in the COVID-19 Clinic will no longer be available.

  • Providers can refer symptomatic patients to the COVID-19 clinic for testing when a suspicion of COVID-19 is identified by screening or clinical evaluation.
  • Orders can be placed using the Ambulatory Referral to COVID Clinic Panel, which includes both testing referral and SARS-CoV-2 PCR test. These will all now be run on NP swabs. 
  • In all cases, LIPs placing an order for COVID-19 testing are responsible for:
  • monitoring InBaskets for results
  • notifying patients of results
  • care of the patient

Crane Activity at 415 Fontaine Research Park | 7 a.m.-3 p.m. Saturday, June 27 | As part of the replacement of MRI-2 at 415 Fontaine Research Park, cranes will be in place to remove and deliver equipment on the following days:  

  • Removing the MRI Magnet: The crane will be located between the covered entrance and Ray C. Hunt Drive (see below). Cars will be able to drop off at the entrance, but  will need to back out of the area instead of driving through. In addition, parking will not be allowed between the canopy and the road.
  • Future dates and crane activity:
  • 7 a.m.-3 p.m. Saturday, July 18: Remove existing roof chillers and deliver new roof chillers — same crane rigging and access impact as described above.
  • 7 a.m.-3 p.m. Saturday, Aug. 1: Deliver new magnet — same crane rigging. The building and front entrance will be open and accessible while the work is undertaken.

FCC Grant to Expand UVA Health’s COVID-19 Telehealth Care | The Federal Communications Commission (FCC) awarded UVA Health $767,139 this week to expand UVA’s use of telehealth for patient care during the COVID-19 pandemic. Provided through the FCC’s COVID-19 Telehealth Program, the grant will fund equipment and network upgrades that will enable UVA Health to further expand access to virtual care for patients in the Charlottesville area and across Virginia. PPE UPDATE

Update on Reusable Goggles | The goggle frames and lenses typically stocked on our units are currently on allocation by the manufacturer, which limits their availability at this time. There is an adequate supply of the preassembled Tidi goggles. The product code for ordering through the storeroom is 97890 (see image below). Reminder: These goggles are reusable. Please review the specific instructions for cleaning provided by Infection Control and Prevention.

OPERATIONS

Inpatient Visitor Guidance | New visitor guidance is now in effect, and with the return of visitors we want to provide some additional information to make the process easier for visitors and our team members. Please reviewcurrent guidelines. Ensure all designated visitors are identified by the patient or legal guardian and are listed in theFYI Flag. This is a critical, time-saving step. All designated visitors must check in at the Information Desk for a visitor pass. If they are not listed, the Information Desk team will call the unit. 

Please communicate the following with patients and designated visitors:

  • The second designated visitor who is not at the bedside should not come to the hospital until the first designated visitor has left the bedside. 
  • Designated visitors must remain with the patient. If a designated visitor needs to travel to other areas of the facility (cafeteria, restroom, etc.), they should go and return immediately to the bedside. Large groups should not come to the hospital to wait to visit, even for patients at the end of life. 

Summer Observers Not Allowed | The Volunteer Services Office receives two or three requests daily from individuals asking if they or family members can observe in the hospital and clinics this summer. Likewise, the office is receiving requests for physician observers in our clinical environment. Because of the safety precautions required during COVID-19, we are not permitting observers in our clinical environments at this time. This will be re-examined periodically as the pandemic evolves to determine if this should be changed. Questions can be directed to Patient Experience Officer Bush Bell or Volunteer Services Manager Tiffany Barber.

Testing of Patients with No Clinical Suspicion of COVID | This resource has been updated to address the need for testing patients who may require proof of a negative test for school, work or travel. Additional edits have been made to clarify that isolation precautions are not required for care of patients where there is no clinical suspicion of COVID.

APPRECIATION

Patient Experience Results Improving | Despite the many challenges associated with accessing healthcare during the COVID-19 pandemic, an increasing number of Medical Center inpatients and Emergency Department patients indicate they are likely to recommend UVA Health to family and friends. Making this trend possible are the efforts of thousands of care providers, support staff and others who serve our patients and their families. Thank you for putting patients at the center of all that you do.

Here’s a quick overview of recent Press Ganey survey results:

  • Inpatient Likelihood to Recommend responses have been trending upward since January 2020 and have held above the 90th percentile since February 2020.  Based on surveys received to date for May visits, the score is currently 87.7% (Definitely Yes Will Recommend), placing us in the 94th percentile. 
  • Outpatient – May CG-CAHPS results are the highest achieved to date with a 94.6% Likelihood to Recommend (85th percentile). Fiscal-Year-to-Date performance has been slowly improving with strong recent performance from Medical Subspecialties and Ophthalmology.
  • Emergency Department Patient’s Likelihood to Recommend responses have placed us above the 90th percentile for the past two months, and our score continued to rise in May. Our mean score is 91.96, placing us in the 98th percentile.
  • Telehealth  – A new survey launched in May includes visits starting April 1, 2020. More than 1,200 surveys were returned with overall positive feedback and a Press Ganey mean score for Likelihood to Recommend for our video visit service of 88.9 (23rd percentile). 83.4% were willing to have future telemedicine visits after the COVID pandemic is over. Looking within the weekly data, results are improving week over week as providers and patients learn how best to use new technology.

Inpatient Visitation Restrictions Easing | Effective Tuesday, June 23 | Revisions to our visitation policy will go into effect tomorrow. Key changes include:

  • Inpatient units: Patients may have two designated visitors. One designated visitor at a time is permitted at the patient’s bedside between 8 a.m. and 9 p.m.
  • Inpatient procedural areas: Patients may have two designated visitors. One designated visitor at a time is permitted at the patient’s inpatient bedside between 8 a.m. and 9 p.m.; if the patient returns to the room following a procedure between 9 p.m. and 8 a.m., a designated visitor may spend four hours with the patient.
  • Outpatient procedural areas: Patients may have one designated visitor, though it is preferred that visitors wait remotely in their vehicles during the procedure.

PATIENT CARE

New Epic Tip Sheets Available | COVID-19 Referral and Testing for Ambulatory Clinics | Beginning July 1, the COVID-19 Clinic will be a testing-only center. LIP evaluations in the COVID-19 Clinic will no longer be available.

  • Providers can refer symptomatic patients to the COVID-19 clinic for testing when a suspicion of COVID-19 is identified by screening or clinical evaluation.
  • Orders can be placed using the Ambulatory Referral to COVID Clinic Panel, which includes both testing referral and SARS-CoV-2 PCR test. These will all now be run on NP swabs. 
  • In all cases, LIPs placing an order for COVID-19 testing are responsible for:
    • monitoring InBaskets for results
    • notifying patients of results
    • care of the patient

The following tip sheets are available to guide LIPs and RNs through the referral/order process based on role:

As a reminder, there are updated standard operating procedures for testing patients with no clinical suspicion of COVID (including for testing patients who may require proof of a negative test for school, work or travel).

GETTING AROUND

Parking and Transportation Modifications | Friday, July 3 |The University Transit Service bus and Health System Transit shuttle service will not operate on Friday, July 3. Team members may park in the South Garage and 11th Street Garage (level D and above only) for a 24-hour period beginning midnight Friday, July 3. The Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes from 7:20 a.m.-7:45 p.m. UtoCar will operate normally.

Crane Activity at 415 Fontaine Research Park | 7 a.m.-3 p.m. Saturday, June 27 | As part of the replacement of MRI-2 at 415 Fontaine Research Park, cranes will be in place to remove and deliver equipment on the following days:  

  • Removing the MRI Magnet: The crane will be located between the covered entrance and Ray C. Hunt Drive (see below). Cars will be able to drop off at the entrance, but  will need to back out of the area instead of driving through. In addition, parking will not be allowed between the canopy and the road.
  • Future dates and crane activity:
  • 7 a.m.-3 p.m. Saturday, July 18: Remove existing roof chillers and deliver new roof chillers — same crane rigging and access impact as described above.
  • 7 a.m.-3 p.m. Saturday, Aug. 1: Deliver new magnet — same crane rigging. The building and front entrance will be open and accessible while the work is undertaken.

FCC Grant to Expand UVA Health’s COVID-19 Telehealth Care | The Federal Communications Commission (FCC) awarded UVA Health $767,139 this week to expand UVA’s use of telehealth for patient care during the COVID-19 pandemic. Provided through the FCC’s COVID-19 Telehealth Program, the grant will fund equipment and network upgrades that will enable UVA Health to further expand access to virtual care for patients in the Charlottesville area and across Virginia. Sneak Preview: Inpatient Visitation Restrictions Easing | Revisions to our visitation policy will go into effect Tuesday, June 23. While some details are still being finalized, here is key information to know: 

  • Changing: Inpatients can have two designated visitors, with one allowed at the bedside at a time. Some exceptions will apply. Visitation hours will be from 8 a.m. to 9 p.m. 
  • Not Changing: Emergency Department will remain at one designated visitor per patient, and outpatient clinics will permit visitors by exception only.

Epic Advisory | A new FDA disclaimer has been added to the first 350 COVID tests done at UVA. If you notice a new result in your InBasket with this updated language from a previously resulted COVID test, no action is required provided the patient has already been informed of the test result. To clear these messages from your InBasket, click the “Done” box.

New Audit & Billing Documents Available Online | Two new documents have been posted by the UPG Audit & Billing Quality team:

  • A provider documentation summary grid for inpatient services during the public health emergency. Posted in the Epic Learning Library (ELL), the document focuses on E-consults, telehealth guidance, teaching physician supervision and documentation requirements. The majority of inpatient services have not changed and do not require workflow or documentation modifications. 
  • A summary by payer to show patient cost share responsibility for services related and unrelated to COVID-19, which are performed via telehealth or in person. Most payers have extended the date for cost-sharing waivers; those dates (as available) are included in the grid, which is also posted in the ELL. The cost-sharing information is meant to be used as a guide, and will also be sent to access team members to assist with co-pay collections. When in doubt, verification of benefits should be obtained.

Juneteenth Holiday | On June 16, Governor Ralph Northam declared Friday, June 19­—also known as Juneteenth, the day commemorating the end of slavery in the United States—a holiday in Virginia. Today, President Jim Ryan issued an announcement that this day will be a paid holiday for all employees in the Academic Division, with the exception of designated employees who are required to maintain operations.

Given the short notice and the fact that thousands of people are scheduled for medical visits, surgeries and elective admissions on Friday, this holiday will not apply to Medical Center team members and faculty and staff at the School of Medicine, School of Nursing and UVA Physicians Group who are needed to care for patients. As we develop the 2021 calendar, we will work to appropriately recognize Juneteenth by extending the holiday to as many of our team members as possible.

APPRECIATION

Stewardship and Safety in Ophthalmology | While preparing to care for patients as the COVID-19 pandemic began, the ophthalmology team took creative action to ensure that eye exams—which require close patient contact—could be delivered safely and in accordance with COVID-19 precautions. The team determined that installing breath shields on exam platforms would be essential, but discovered that they were out of stock and expensive (approximately $1,200). Undaunted and determined to provide safe care, the team worked with UVA’s Printing & Copy Services and Facilities Management to create a template for custom shields, which ultimately cost about $200. We applaud this team for their extraordinary commitment to stewardship and safety!

Residents and Medical Students Arrive | All care providers are encouraged to offer support and encouragement to the 156 new residents arriving this week and to the fourth- and third-year medical students who are beginning their post-clerkship and clerkship training, respectively. Both groups are entering a healthcare environment that has changed dramatically in the past several months because of COVID-19. For example, new residents have already navigated several pandemic-related changes, such as online orientation and self-quarantining (required for those coming from COVID-19 high-risk areas). Reminder: Virtual Urgent Care Visits Now Available | Offered by UVA Emergency Medicine providers, virtual urgent care visits are available 5-7 p.m. Monday-Friday and provide on-demand care to adult and pediatric patients for minor illnesses and injuries that require prompt medical attention and would otherwise result in a visit to the Emergency Department. 

To schedule a virtual urgent care appointment, patients can submit a request through an online portal and pass into a virtual waiting room. All encounters are provided through a third-party telehealth platform, ViTel Net, and are documented in Epic. Outpatient COVID Precaution Discontinuation | Outpatients who have tested positive for COVID-19 in the past will have their isolation status managed by Infection Prevention and Control per the updated COVID-19 Precaution Clearance: Outpatients policy. The goal is to not see COVID-19 positive outpatients in person except in rare circumstances.
 
Modified Contact Precautions | As a reminder, Modified Contact Precautions were implemented for a subset of patients who are colonized with multi-drug resistant organisms as part of our gown conservation efforts. Please note: The only significant difference in precautions is that wearing a gown is not required. Patients should be in a private room. Gloves should be worn and diligent hand hygiene is required.

A team of UVA Health neurologists provide care each month at field clinics in Southwest Virginia. Shortly before this month’s clinic sessions, the decision was made to shift the clinics from in-person visits to telehealth visits. That’s when nurse care coordinator Diane Carter and scheduler Kathy Windle moved quickly to get all of the patients set up for telehealth visits. As Dr. Nathan Fountain described it: “[Dr.] Jordan Clay (an epilepsy fellow) and I saw 80 patients this week via telemedicine without a hitch and delivered care at least as good as they would get in person because Diane and Kathy prepared things so well and have provided such good follow-up. This is a great example of excellent teamwork leading to excellent care!!”

Update: Telemedicine Roll-Out | Telemedicine hardware (headsets, webcams, additional monitors) continues to be deployed across our ambulatory settings in support of virtual visits. Our long-term plan is to transition to a secure EPIC integrated telemedicine platform. To date, eight clinics are using the WebRTC Epic/MyChart integrated platform and seven others are in the initial stages of doing so.  
 
We are temporarily suspending the rollout of the WebRTC Epic/Mychart Integrated video platform to additional clinics. This pause will enable Cisco (provider of WebRTC) to make technical adjustments that will improve the patient and provider experience. During this pause, virtual visits conducted on other telemedicine platforms using Prof Remote encounters will continue as scheduled.

Back-up Care Update | With continued uncertainty about the duration of the COVID-19 pandemic, UVA is transitioning the back-up care program to meet the changing needs of team members. After June 15, 2020, The Bright Horizons®Crisis Care $100 reimbursement will no longer be in place. UVA will transition to the regular back-up care options with Bright Horizons, where team members can request back-up care through their network at backup.brighthorizons.com. While reimbursement for Crisis Care will be ending, the supports that were put in place will not. You will still have access to Additional Family Services through Bright Horizons, which provides access to care through SitterCity. Additional information can be found on the HR Back-up Care website.

Clarification: Eye Protection Must Be Worn Within Six Feet of All Patients | Follow-up assessment has shown that many of our care providers who have been placed on paid administrative leave due to COVID-19 exposure are on leave because of failure to wear proper eye protection. (Approved options include: goggles, masks, eye shields, full face shields, surgical eyewear or glasses that are properly fitted with side shields and are large enough to cover the entire eye area.) 

All providers MUST wear eye protection during ALL patient encounters when providers will be within six feet or less. Providers should not enter any patient room or exam area without wearing proper eye protection. This requirement applies:

  • no matter the patient’s presumed COVID-19 status 
  • in both inpatient and ambulatory settings

OPERATIONS

Update: Complete List of Visitation Exceptions | As noted in yesterday’s update message, visitors are not allowed in the hospital or clinics. However, there are situations in which policy exceptions are being made, and the list posted yesterday was incomplete. The chart below contains a summary of all current visitation exceptions. Please refer to the Visitor Restrictions document for complete details. 

With the exception of the Emergency Department, visitors are required to be designated and, when possible, approved in advance. Designated visitors must: be 18 or older; wear a mask; be screened before entering our facilities; be symptom free; and have permission from the provider or clinic/unit leadership with information documented in the FYI Flag.

Any visitation exceptions not listed below must be approved by the assistant nurse manager (ANM), nurse manager (NM) or clinical director and clearly documented in the FYI flag (include name of visitor, date/duration of special exception, reason for exception, and name of approving ANM/NM or director).

Emphasis on Wearing Goggles Continues | Follow-up assessment has shown that most of our care providers who have tested positive for COVID-19 failed to wear goggles when interacting with known COVID-19 patients or those under investigation for the virus. For this reason, all providers are required to wear eye protection whenever they enter a room occupied by one of these patients, even if the intent is not patient interaction.

  • Eye-protection options: In addition to goggles, options include eye shields and full face shield. Use of eye glasses is not encouraged, but they may be used if they have a side shield and are large enough to cover the entire eye area.
  • Fogging: The supply team is now assessing anti-fogging wipes and sprays. In the meantime, try to prevent fogging by adjusting how you pinch the mask over your nose or wear goggles with heavier black frames, which may minimize this problem.

OPERATIONS

Audit of Emergency Pull Cords Set for Wednesday, June 10 | To comply with a Joint Commission requirement, every hospital unit and area will be responsible for testing patient restroom/shower emergency pull cords between the hours of 7:30 a.m. and 4 p.m. Wednesday June 10, 2020. Each department will need to check emergency pull stations as follows:

  • Ensure that pull cords are not tied, wrapped or stored in a way that would prevent emergency activation.
  • Activate the pull station by pulling the emergency cord (shower and toilet).
  • Verify that an audible tone is heard at the nurse station.
  • Verify that a visual indication of the alarm is present.
  • Ensure that the device is activated for at least 5 seconds.
  • Notify Clinical Engineering at 434.924.2391 if any systems do not activate or need maintenance.

Clinical Engineering will send testing compliance reports to each department and unit leader.

Reminder: Comply with Eye Protection Requirements

  • Routine patient care – All caregivers and other team members who interact with patients at distances of six feet or less should always wear regular masks and eye protection. This requirement is in effect in both ambulatory and inpatient settings.
  • N95 8210 masks – Now being used in our environment, these masks are not fluid resistant. To be safe, you must wear a face shield along with these masks.

User tip: If fogging of eye equipment is a concern, try wearing goggles with heavier black frames. They may minimize this problem.

Pay Continuity Clarification | University leadership has made recent announcements regarding academic operations and dates related to pay continuity for academic division employees. Please note: These announcements and dates are specific to the academic division and do not impact the current UVA Health financial mitigation response (including salary reductions and schedule adjustments). Paid administrative leave for UVA Health team members due to the lack of available work during the initial COVID-19 response was discontinued on May 2. We continue to monitor and evaluate our staffing model and clinical volumes on a daily basis, so we are able to make the decisions that allow us to bring team members back to work as soon as possible to meet the needs of our patients. Update: Team Member Wellness Attestation | The Mental Health/Stress question recently added to the daily Team Member Wellness Attestation was intended to underscore our organizational commitment to caring for the overall health and well-being of our team members and to give team members an opportunity to connect to resources if needed. Instead, we have learned that the question has fostered confusion and raised concerns. As a result, and based on a recommendation from the Emotional Well-Being Task Force, the question has been removed.

PATIENT CARE

Virtual Urgent Care Visits | Expanding telehealth services has become more crucial than ever in fulfilling our mission as an academic medical center. On June 1, UVA Health will begin a trial of a new online service for new and existing patients — virtual urgent care visits — to address minor illnesses and injuries that require prompt medical attention that would otherwise result in a visit to the Emergency Department. Offered by UVA Emergency Medicine providers, the new service will provide on-demand care to adult and pediatric patients Monday-Friday from 5-7 p.m. initially. 

To schedule a virtual urgent care appointment, patients will submit requests through an online portal and pass into a virtual waiting room. All encounters will be provided through a third party telehealth platform, ViTel Net, and be documented in Epic. Detailed information about virtual urgent care visits can be found on theAmbulatory Resources Page and on theVirtual Urgent Care landing page.

Hurricane Season Starts June 1 | Hurricane Season Starts June 1 | A lack of hurricane awareness and preparation are common threads among all major hurricane disasters. Hurricane season runs June 1 through Nov. 30, with a peak from mid-August to mid-September. The National Oceanic and Atmospheric Administration (NOAA) expects the 2020 Atlantic hurricane season to be more active than normal. UVA Health Emergency Management is actively reviewing emergency plans and monitoring the forecast to ensure our ability to respond in the event of a hurricane or other weather event. By knowing your vulnerability and what actions you should take, you can reduce the effects of a hurricane. As we approach the hurricane season, take a moment to review information at Ready.gov and the National Hurricane Center.

Mindfulness Center Offers Online Meditations | How do we find peace in the midst of so much uncertainty? This is a real challenge for many of us. One thing we can do is to practice attention-focused meditation. Short meditations with guidance for engaging in this practice are available on the Mindfulness Center website.

New Stroke Guidelines Aim to Improve Care Amid Covid-19 | Top stroke experts have issued new guidance to ensure patients receive safe, timely care while preventing the transmission of COVID-19. “Even during the COVID-19 pandemic, patients should continue to seek immediate care for life-threatening and emergency conditions, and call 911 for any new signs or symptoms of stroke,” said UVA Health stroke expert Andrew Southerland, MD, one of the guidelines’ authors. Work is underway to pre-label all masks, but if a team member receives one that has not been labeled, the PDF serves as a guide for accurate labeling/coding.

COVID19 Indicator in EPIC | Starting Tuesday, May 26, COVID-19 will display as a Long-Term Indicator in EPIC, as it does for other organisms (MRSA, VRE). Infection Prevention and Control will actively manage the indicator and assist clinical teams in discontinuing isolation precautions for COVID-19 patients as soon as it is clinically safe to do so.

Updated Visitation Policy: Emergency Department | Effective May 27, the following visitation criteria will be used in the Emergency Department. Guidelines in other service areas will not change at this time.

  • One designated visitor per patient is permitted.
  • Designated visitors must be 18 years or older.
  • All designated visitors will be screened prior to entering the ED and must be free of symptoms. 
  • Designated visitors are encouraged to bring a mask from home, or one will be provided during the screening process. 
  • No additional visitors are permitted without approval of ED leadership.

COVID-19 Ripple Effect: Drop in HPV Vaccination and Screenings | In an essay published today in STAT News, School of Nursing assistant professor Emma Mitchell, RN, reports that COVID-19 is dramatically driving down rates of HPV vaccination and screening as people self-isolate. This trend, she notes, could increase rates of the highly preventable cervical cancer. “More widespread use of an existing, cost-effective testing solution, which can be done at home, could literally change hundreds of thousands of lives in the fight against a disease the WHO has placed in its crosshairs,” Mitchell wrote. Pizza’s Time to Shine | Like all other aspects of our organization, food services has adapted to the COVID-19 pandemic. A new report in Food & Beverage notes that our cafeteria has added many pick-up items to the menu, including TOGO Pizza and the FED (Fresh Easy Delicious) take-home food program with lunchtime or evening pickup. Overnight Information Desk Team Helps with N95 Mask Labeling | When extra hands were needed to label N95 masks prior to reprocessing, the overnight Information Desk Team quickly volunteered. The team has now labeled more than 6,000 masks and are still going strong. Key individuals who have made this work possible are Information Desk team supervisor Randal Johnson and Mike Starr from Supply Chain, who handle daily mask deliveries and pick-ups. Thank you to the Information Desk team for taking on this special project and supporting effective stewardship of our N95 mask inventory!

Virtual Forum – Telemedicine Billing and Documentation | Thursday, May 21 | noon-1 p.m. | Provider questions will be answered by UPG President, Bobby Chhabra, MD; Chief of Ambulatory Strategy and Operations, Art Saavedra, MD; Associate Chief of Ambulatory Operations COVID Response, Ira Helenius, MD; and Medical Director of eConsults, Kim Dowdell, MD. Members of the UPG Audit and Billing Quality team will be on hand to answer questions as well. 

New Guidelines: Visitor Bathroom Use | All visitors should be screened if they are requesting to use a restroom within UVA Health. Visitors who screen positive for
COVID-19 symptoms should not be permitted to enter the building. Instead, they should be directed to the portable restroom in the Lee Street Garage. Please ask all visitors to practice social distancing and wear a mask at all times. Specific procedures are below.

Acute Care Beds Reopen on 3 West | To meet the need for more critical-care beds for non-COVID patient care, six beds on 3 West reopened today. Two additional beds are expected to reopen on the unit in the near future. General questions can be addressed to Lisa Huntsinger, M. Scott Austin or Rebecca Lewis. Physician concerns should be addressed to Paul Helgerson, MD or Charles Magee, MD.

Discharge Testing/Planning | As inpatient volumes return to normal levels, LIPs are reminded to engage in advanced discharge planning by entering:

  • supporting orders as early as possible to ensure timely execution of discharge plans; 
  • an Acuity Score so the entire care team is aware of the plan; and
  • “Discharge Planning” orderset COVID test in Epic at least 24 hours before the day of discharge.

Immunizations On Hold | In accordance with CDC Guidance for Pharmacies, UVA outpatient pharmacies are not currently offering adult or child immunizations as a safety precaution. Vaccinations will resume as soon as guidance allows, and notifications will be sent to patients who are now being turned away and who are on our Shingrix (shingles vaccine) waiting list.

Pharmacy Schedules Updated | Pharmacy locations are now open for business as follows:

  • Healthcare providers can hold family meetings
  • Healthcare team members (e.g., social workers and educators) can connect to patients and families

Home Monitoring Team Extends COVID-19 Patient Care | Today, we salute our Interactive Home Monitoring team in the Population Health Department, who in partnership with Locus Health, are helping us manage symptomatic and COVID positive patients in their homes. As part of our pandemic response efforts, the team has been providing iPads® and vital signs monitoring equipment that enables our teams to virtually follow patients who have been seen in our COVID Clinic or Emergency Department and those who have been discharged from the hospital. In addition to bringing this COVID-related service online, the team has also established a partnership to monitor the Thomas Jefferson Coalition for the Homeless symptomatic and COVID positive clients.

Epic Update: Change to COVID-19 Test Order | To get COVID-19 testing approved, new approver buttons have been added to the test order. For both upper and lower respiratory specimens, these changes include:
  • Outpatient symptomatic (replaces COVID-19 clinic button) | For use by COVID-19 clinic, respiratory evaluation centers and other approved testing locations
  • Pre-procedural | For use by pre-operative and pre-procedural areas ordering COVID-19 testing at a designated testing location per protocol
  • Facility discharge | For use by the SPU and inpatient units for transfer of patients to receiving facilities which require testing prior to admissions
  • Anticipated ED admission | For use by the ED
 
Targeted Pre-operative Testing Has Begun l Specific targeted patients (those who screen positive due to symptoms, congregate setting exposure or have known exposure to COVID-19) will be screened 72 hours prior to a scheduled operation and referred for COVID-19 testing based on the pre-call algorithm. Day-of-surgery rapid testing is very limited in availability and reserved for selected patients unable to travel in advance for testing (e.g. prisoners). For day-of-surgery testing, the patient should report to the pre-operative area for testing, which must still be approved by Hospital Epidemiology (PIC #9204). Patients and ordering providers that do not follow established ordering protocols regarding testing are not eligible for rapid day-of-operation testing. The development of similar pre-procedural workflows are in progress.
 
Symptomatic Testing at COVID-19 Clinic l The COVID-19 clinic offers molecular-based testing to symptomatic patients with suspicion of COVID-19 identified by screening and referral, particularly those who are either at higher risk of contracting COVID-19 or who are at risk for more severe disease. Expansion of testing to asymptomatic populations is notcurrently available, outside of very specific indications, due to limitations in testing capacity. Symptomatic testing is nowavailable to both referrals from UVA provider clinics as well as the community. 
 
Community call line l To make it easier for Charlottesville-area patients without a primary care doctor to get questions answered and receive care, UVA Health is launching a hotline staffed by its medical students and doctors. To reach a UVA doctor, local residents can call 434.982.6843 and choose option 3 between 8 a.m.-5 p.m. Monday through Friday. The medical students and doctors answering the phone will be ready to assist with any medical questions or needs, including help with scheduling an in-person or virtual clinic visit if needed. The initial phone consultation will be provided free of charge.

UPG Culpeper Practices Host Free COVID Testing Event | Saturday, May 16, 8 a.m.-1 p.m. |
Providers with UPG Culpeper practices will join with Culpeper community partners to offer a free COVID testing event in the parking lot at UVA Primary Care Commonwealth Medical Clinic. Leaders from UPG, UVA Health, Culpeper Medical Center, Free Clinic of Culpeper, The Culpeper Foundation, Virginia Department of Health and several others have organized volunteers to register symptomatic patients onsite, test patients in their cars and follow up with test results at the beginning of next week. Information about prevention and isolation, masks and other PPE will be distributed to those in need.

Team Member Travel Evaluation | To prevent the risk of bringing COVID-19 into UVA Health, new and current UVA Health team members who have traveled within 14 days prior to returning to or beginning work will be evaluated for the potential need to quarantine. Travel could result in the team member needing to take up to 14 days of unpaid leave starting on the first day of return from travel. Team members considering personal travel should review all of the information available on the Team Member Travel Information Page and complete the pre-travel form. Team members may consult with Employee Health before making final travel decisions. When returning from travel, team members should contact Employee Health before returning to or starting work. Final decisions about unpaid leave will be made at that time based on an assessment of travel details by Employee Health.

Instruction for N95 Mask Decontamination and Reuse: On-Site Collection/Marking Prior to Use | Prior to use, N95 masks now need to be labeled with a 3-letter UVA facility code (LWV) and 2-digit mask type code using a permanent marker. See instructions.

Special Precautions for COVID-19 Samples | Special precautions should be considered when caring for or obtaining samples from persons suspected to have COVID-19 infection. Please follow these steps and be certain to triple bag specimens prior to submission to the lab.
 
Pre-Op Testing Update | As of May 12, UVA Regional Primary Care practices are supporting surgery colleagues by seeing patients for pre-op clearance. Both adult and pediatric patients who need a primary care provider, may have more complicated health needs or need to establish a relationship for ongoing needs may be seen at these practices. If further testing (e.g., stress testing, etc.) is needed, these practices will partner with appropriate specialists within UVA to schedule testing in a timely manner. To refer to any of these practices you may refer to AMB REF FOR RPC PREOP CLEARANCE (or any portion of that title) and the staff will contact the patient to find the location best for the patient.
 
Telemedicine: Consent and Audio-Only (Phone) Guidelines | As a reminder, according to current guidelines, consent:
  • May be obtained by ancillary staff
  • May be obtained at the same time the service is being furnished
  • May be obtained verbally or in writing
  • Must be documented/stored in the medical record
  • Must confirm the patient is in the Commonwealth of Virginia at the time of service (per PLT guidance) 
  • May be obtained at the time of service for Remote Physiological Monitoring
CMS has made changes to the approved Telemedicine CPT code list to include those services that may be performed by audio only. See complete list of services.

Pinn Hall Tower Crane | Friday, May 15, 11 a.m.–Sunday, May 17, 3 p.m. | A tower crane will be erected at Pinn Hall in the alley between the Primary Care Center Annex and Pinn Hall. There will be parking impacts throughout the weekend, including M7 and M20 permits as well as Ambulance and Patient Transport spaces. One traffic lane on Lane Road will be closed Saturday, May 16, between 6 a.m. and 5 p.m. There will be additional impacts to the Medical Center Loading Dock; however, there is no expected closure. Trucks will be allowed to use the typical entrance to the Medical Center Loading Dock and will need to exit in the same manner (not pull through). Pinn Hall Annex and MR5 Loading Docks will also be impacted the weekend of May 15-17. PTO Cash Out Suspended | As President Ryan announced on April 14, the ability to cash out Paid Time Off (PTO) has been suspended until further notice. However, the cap for carrying forward unused PTO hours from 2020 into 2021 has been raised by 80 hours. This means that the 2020 spring PTO cash outs will not occur. Please note: Team members will be able to carry forward an additional 80 hours of accrued PTO from 2020 into 2021. In order to support parents/legal guardians who have had to take increased roles in the education of their K-12 children while managing essential job functions and increased work hours, this service matches graduate students and faculty volunteers within the UVA community with K-12 students based on their learning needs and uses online video conferencing with periodic follow up by program coordinators and teachers. Memorial Day Clinic Closings | UVA Ambulatory Clinics will be closed for Memorial Day on Monday, May 25.

Lee Street North Connector Crane Work | On Wednesday, May 13, trucks will deliver material for the new North Connector, which connects the main University Hospital Lobby to the new ED Lobby along Lee Street. Between 7 a.m. and 11 p.m., a short section of one lane of Lee Street in front of the ED will be closed so a crane can move materials into the new connector. Traffic will flow as normal. Annual Steam Outage Canceled | Facilities Management has canceled the planned annual spring steam outage. This year’s required maintenance does not involve main steam tunnel work that would normally require a system-wide steam shutdown; therefore, to support the Medical Center’s return to uninterrupted perioperative service, Facilities Management will complete the preventive maintenance without interruption to steam service for the health system. Ambulatory Operations Update | As clinical operations ramp up, UVA Health teams are implementing new ways to keep patients and team members safe:

  • Social Distancing – Floor and waiting room chair signs have been installed in on-Grounds clinics. (Facilities team will move to the off-Grounds clinics throughout this week.) Please email Katie Fellows to request signs, if needed. You may also access a social distancing sign/flyer for use in your areas on the COVID-19 Resources Page.
  • Remote Waiting Room Process Begins Tuesday, May 12 – Several teams collaborated to develop a process for a Remote Waiting Room to keep many patients safely in their vehicles until the clinical team is ready to see them. 
  • On Grounds Clinics, ORs, Procedure Areas and Radiology – Patients parking at West Complex, 11th Street or Lee Street garages/lots will be instructed to stay in their vehicles and call the Central Registration Call Center (434.924.0044). The Call Center team will register the patient and ask them to wait in their vehicle until the clinic calls them back.
  • Fontaine Research Park – A similar workflow has been developed using the Central Registration Call Center.
  • Northridge and Other off-Grounds Clinics – A clinic registration model has been developed.

UVA Health Reopens for In-Person Care | In a press release issued today, UVA Health announced that we are ramping up access to both inpatient and outpatient care with robust safety measures in place to protect the health of patients and team members.
 
3 North Closing, Ready to Reopen If New Wave of COVID-19 Begins | On Monday, May 11, patients on 3 North will be transferred to MICU West. Although closed, 3 North will remain in a state of readiness to care for non-COVID critical care patients if a second wave of the coronavirus begins. Cloth Masks Available | Managers are now able to request homemade cloth masks for their departments. Cloth masks may be worn by:

  • Patient facing team members over a regular ear loop mask 
  • Non-patient facing team members 

Cloth masks should be removed immediately if soiled and laundered daily. Please go to this link and enter request information. Masks will be sent to you through messenger mail. 

Reminder: Double Check Mask Fit | Team members using Kimberly Clarke N95 duckbill masks should double check the fit, particularly with the elastic band. If there is a fit issue, email Adam Momper with details about where the mask was found and how many in that area had an issue. Dispose of the N95 masks with fit issues, and switch to masks with an appropriate fit.

Reminder: ED Mask Change Frequency | Team members in the Emergency Department are migrating to an extended use N95 mask that can be used daily.

PATIENT CARE

Updated Patient and Discharge Instructions | Patient and discharge instructions have been updated based on new CDC guidance. Symptomatic patients with COVID-19 should remain in Transmission-Based Precautions until these two conditions are met:

  • At least 3 days (72 hours) have passed since recovery (defined as resolution of fever without the use of fever-reducing medications and improvement in respiratory symptoms, e.g., cough, shortness of breath)
  • At least 10 days have passed since symptoms first appeared

Before discontinuing Transmission-Based Precautions for severely immunocompromised patients who might remain infectious longer than 10 days, providers should consider consulting local infectious disease experts. 

Neighborhood Testing | Working in partnership with Habitat for Humanity, Albemarle County and Thomas Jefferson Health District, UVA Health conducted a successful COVID-19 screening event for the Latinix community in Charlottesville last weekend. Delivered in Spanish, services included testing of symptomatic individuals, providing support for those with a positive result, and health education. The event was co-led by Max Luna, MD, associate professor of medicine and director of the UVA Latino Health Initiative.

RESEARCH UPDATE

Convalescent Plasma Study Now Recruiting Patients| Inpatients at UVA who have tested positive for COVID-19 and are recovering will be offered the opportunity to participate in a new clinical trial. The trial will test the effectiveness of using their plasma as a potential treatment for the disease. The Red Cross will screen potential plasma donors for the trial. Other community members who have tested positive for COVID-19 are also encouraged to contact the Red Cross to see if they are eligible to donate plasma. Press Release

Swabs Study Underway | In an interview with the Daily Progress, Associate Director of Clinical Microbiology. Amy Mathers, M.D. discussed the steps UVA is taking to increase COVID-19 testing throughout the state. In addition to acquiring two more processing machines – which will increase daily testing capacity from 500 to 2,000 – the health system is developing its own nasopharyngeal swabs. An FDA sanctioned study of the swabs is underway. Statewide distribution is planned once the swabs are registered with the FDA. 

Use of Antiviral Drug Moves From Testing to Treatment | A study site for the newly-authorized COVID-19 treatment remdesivir, UVA is now preparing to use the antiviral medication in patient care protocols. The drug has been approved for emergency-use in treating hospitalized adults and children with severe cases of COVID-19. Press Release

New Hours for COVID-19 Clinic | Starting Monday, May 4, our COVID-19 testing and evaluation center for patients referred by UVA providers will be open on weekdays from 8 a.m. to 4 p.m. and on weekends from 8 a.m. to noon.

Commuter Parking Resumes on Monday | As we increase our ability to care for surgical and ambulatory patients, team members who do not normally park close-in must vacate the close-in parking garages.

Effective Monday, May 4, we are suspending close-in parking at the Medical Center for all blue, red, and EIG permit holders. You must return to commuter parking in the expanded Red Lot at Scott Stadium. You must wear a mask at all times while riding the bus or shuttle. Bring your mask with you.

Note: Blue Line serving John Paul Jones Arena and Emmet Ivy Garage will not be operating.

Current efforts include a pen-pal program for isolated retirement community members, delivering food for homeless shelter guests, supporting peers in making masks, contacting local businesses for PPE donations, running a campaign to provide coffee for healthcare workers on the frontlines, collecting empty hand-pump bottles to fill with hand sanitizer and stock up work areas at UVA Health, quarantine gifts for kids who missed the Muscular Dystrophy Association camp this year, and many, many more. Since early March, UVA Health has had to cease or drastically reduce clinical services – both to ensure our readiness for a surge of COVID patients and to comply with Governor Northam’s Executive Order prohibiting elective procedures and surgeries.

Earlier this week, you were informed of difficult, crucial steps we had to take to address the unprecedented financial losses to the organization and to put us on a path to stability and strength. These have included expense reduction, compensation and schedule reduction and staff furloughing in many areas. The health of our patients, team members, and our organization now depends on our ability to care for those in need by seeing these patients for their care, which requires us to increase our clinical activities.

As of tomorrow, May 1 – and pursuant to the lifting of the Executive Order – we are expanding our operating room and procedural services and ambulatory clinics.

Operating Room and Procedural Services
As of May 1, the ORs are now open for all our usual business. For those who use the operating room services, please post your cases. As the increased volume dictates, we will increase staffing needs to meet the demand as rapidly and safely as possible, while working within our current financial constraints. We expect staffing and other resources to remain lean as we increase our services, transitioning to more robust and typical support services as we approach our normal volumes.

Also as of May 4, we will be increasing our ambulatory clinic capacity working toward the expectation that we be as fully functional as possible by May 8. Initially, ambulatory staffing and operations will remain lean.  We will be carefully monitoring our needs so that we can flex up our staff and resources based on the need, while working within our financial constraints. As with the ORs, staffing will be leaner with the most essential staffing first and building over time to include more support services as volumes increase.

We recognize that this will also require close collaboration between service line leaders, clinic managers, staff, physicians and others. Operation Leadership Council will be meeting this evening at 5 p.m. for service line leaders to answer questions about implementing the necessary changes to achieve these goals.

Lab Now Serving Only Patients With COVID-19 | As of today, the West Complex Phlebotomy Lab is exclusively serving patients who are confirmed positive for COVID-19 or who are under investigation for the virus. UVA Health COVID-19 Financial Mitigation Response | Today, Dr. Craig Kent, Executive Vice President for Health Affairs, announced steps to ensure the sustainability of our operations. UVA Human Resources has also provided a FAQ.

PATIENT CARE 

COVID-19 Patients Moving to 5 South | On Wednesday morning, we will transfer all acute COVID positive patients from 3 West and 3 Central to 5 South, which is opening as an acute care special pathogens unit (SPU). This move will enable us to prepare 3 West and 3 Central to return to caring for general medicine and non-COVID acute patients. On Thursday, we will begin admitting general medicine patients from other areas to 3 Central through the collaborative work of the Patient Placement Center, the Air Traffic Control (ATC) Hospitalist, and 3C Nursing Leadership. Questions should be directed to Lisa Huntsinger, Clinical Director for Medical Subs; Scott Austin, Interim Nurse Manager, 3 West/5 South; or Jodean Chisholm, Nursing Manager, 3 Central.

TESTING

COVID-19 Testing Priorities Are Evolving | We are continuing to partner with state and local agencies to provide COVID-19 testing to patients who are classified by CDC Guidelines as tier 1 and tier 2. Our next steps include working with Perioperative Services to test pre-surgical patients with symptoms and offering tier 3 patient testing when swab supplies increase. Currently, we are not testing either tier 3 patients or patients with contact exposure who are asymptomatic. Please note: Commercial labs (LabCorp and Quest) are still an option for ordering tests for patients who are symptomatic but do not meet tier 1 or 2 criteria.

TECHNOLOGY 

Telemedicine Dashboard Tracks Visits | Accessible through Knowledgelink, the new Telemedicine Dashboard tracks daily volumes of documented Epic telemedicine encounters. The dashboard has drill-down functions that departments and service lines can use to generate reports at clinic, provider, and patient levels. To access, go to Knowledgelink, click the UVA Health Data Portal, and enter “Telemedicine” in the search bar.

Telemedicine Visits Skyrocket in April | Per the Telemedicine Dashboard, our providers completed 3,076 documented Epic telemedicine encounters during March. As of today, encounters completed during April total 20,041 and are expected to reach 23,357 by the end of the month.

Reminder: Include Names in Visitor FYI Flags | When creating an FYI flag in Epic to indicate that ambulatory accompaniment has been approved, please be sure to enter the name of the visitor and the individual who approved the visitor. Redeployment Joy | Jessica Munnikhuysen, RN, is a clinician 3 who normally works in the Post-Anesthesia Care Unit. In recent weeks, she has been redeployed to the Medical Intensive Care Unit (MICU) and has become part of the Special Pathogen Unit (SPU) team caring for patients with COVID-19. As Jessica quickly learned, the entire MICU team is not only focused on providing life-saving care, but is also taking extraordinary steps to support patients’ emotional needs. Because bedside visitors are not allowed, the team has been setting up WebEx calls so loving encounters can occur virtually.

A recent call, says Jessica, “was probably one of the most moving reunions I have ever been a witness to.” The patient’s daughter “was absolutely floored” to get a call from her father. As Jessica recalls, “She was filled with joy, and immediately began crying. After she talked to her dad for a few minutes, she expressed her sincerest gratitude for the hospital staff who took care of her dad and wanted to say thank you to everyone.” 

Jessica’s bottom line: The “SPU/MICU staff have been such a gift to these families!

NEW: Surgical Services Update | Today, UVA Health will begin increasing the number of patients receiving surgical care to meet urgent healthcare needs in alignment with the governor’s executive order. The tier system for choosing surgical care has been revised to reflect the current and predicted future state for the COVID-19 response environment. We are safe, open, and ready to provide expert care for patients who need surgery for cancer or other reasons where a delay will cause harm. COVID Staffing Center Redeployment Data | Now live on the Medical Center Dashboard, the team member redeployment update provides a snapshot of redeployment numbers, assignments, and cross-training during the COVID-19 crisis. Between March 29 and April 25, more than 780 team members were redeployed, with the largest group being assigned to door screener roles. Although redeployment data does not include LIPs, interdepartmental floaters, and several other groups, it illustrates our organizational commitment to stewardship and using our team resources efficiently.

Portable Testing Booths Arrive | Engineered and built in the UVA Lacy Student Experiential Center, these movable booths will help expand COVID-19 testing to vulnerable communities and decrease health disparities. The booths, which are designed to conserve PPE and ensure provider safety, will be transported to various locations. UVA Health is working with state agencies and other groups to implement this project.

VISITATION

NEW: Previsit Communications with Ambulatory Patients | To ensure ambulatory patients know about our current universal masking and visitation policies, standard work for clinical care teams is changing. Starting Monday, April 27, clinic teams will proactively identify patients with upcoming appointments who may need a visitation exemption. During appointment confirmation calls to these patients, teams will not only review our masking and visitation policies, but also inquire if a visitation exemption is needed. When patients request an exception, the teams will follow a streamlined approval process. If approved, exceptions will allow one person to accompany a patient to the clinic. Changes to Donning and Doffing Checklist Process | As part of stewardship efforts to conserve paper, donning and doffing can now be documented on a daily, multi-entrylog instead of a one-use checklist. Log entries should be made after donning and doffing are completed. The log replaces the need to print a donning and doffing checklist each time PPE is worn, and one checklist can be printed and used as a reference for coaching. Use of a coach and checklist are still required. Units should keep logs on file for one year. Thanks to the 3 West team for suggesting this paper-saving solution. 

TELEMEDICINE

Zoom Alert | Due to security, privacy, and compliance issues, Zoom should not be used for virtual patient encounters or online communications where PHI is shared. The recommended online platforms for clinical encounters are Doxy.me and WebEx. Read information and resources related to Doxy.me. Isolation Management Technology | Caring for patients in isolation rooms is now being supported by high-end video conferencing technology. Using the technology, providers can communicate virtually with patients and staff in isolation rooms without risk of virus exposure or donning PPE. In recent weeks, the Health Information & Technology (HIT) team has worked diligently to equip 66 patient rooms and seven workrooms with this technology, along with 57 iPads. Deployment locations include the MICU, 3 West, 3 South, 3 Central, STICU, ED, and 7 Central Pediatrics.

The HIT team has been using the Quayle Learning Center in the Battle Building to prepare new telemedicine equipment for installation throughout the Medical Center.

R Wellness Attestation Email: Open or Not? | All UVA Health team members are receiving a daily email from the sender R Wellness Attestation, and some spam-wary team members have expressed concern about opening it. Please be assured that this is a sanctioned UVA Health message containing information about the Team Member Wellness Attestation. Everyone who will be working in a UVA Health facility must submit their daily attestation before arriving on-site. Team members who work remotely or are off from work do not need to submit attestations.

FEAP Coffee Talk Launches | Friday, April 24 | 10-10:30 a.m. | During this interactive online session, Amit Shahane, PhD, a clinical psychologist with the UVA Behavioral Medicine Center, will share tips for dealing with COVID-19 stress and anxiety. Thanks to this kind gesture, several generations of the patient’s family got to express their love and best wishes. All team members are expected to receive a loop mask (and brown paper bag for storage) from their supervisor and wear it inside the Medical Center and off-site ambulatory locations at all times. Team members who come to the Medical Center and are unable to receive masks from their manager can obtain one from the following mask distribution locations:

Team members are encouraged to wear their masks as they leave work, store them properly in the brown paper bag, and wear them upon return to work. Most non-clinical team members can wear the same mask for one week. See PPE Universal Masking Policy: Team Members for details.

Managers: Please establish a direct-supply process with Supply Chain by calling 434.982.6712 or emailing. Managers who do not order from the supply room can complete a mask request form for a two-week supply of masks, which can be picked up from one of the information desks.

COVID Patient Signatures and Consent | Rather than entering the patient room for signatures and consents, clinicians should use telehealth/phone to discuss the required paperwork. After receiving verbal consent, the clinician and one witness, a Medical Center team member, should sign for the patient. IMPORTANT PPE REMINDERS
No Makeup | If you wear an N95 mask, please keep it from getting contaminated by avoiding makeup, lip balm, lotions, and other substances you normally apply to your face. Keeping your face clean and clear can help increase the number of masks that can be reprocessed and reused. Currently, 200-420 masks are received for reprocessing daily and 40% of them must be discarded due to contamination, mostly from facial products.

Eye Protection | Wearing eye protection is an expectation for all in-hospital and ambulatory patient encounters, not just those with patients designated as COVID/PUI. Eye protection can be ordered from Supply Chain Management via email

N95 Receptacles | Team members should doff their N95 masks into one of the 100+ designated collection bins located in patient care areas. Please do not place any other items in the N95 bins because doing so can cause contamination and waste. To order a bin, text 434.282.6080. See bin locations.

NEW PPE PRECAUTION SIGNS
To alert team members to the special PPE precautions for COVID/PUI patients, new isolation signs will be delivered to University Hospital, Emily Couric Clinical Cancer Center, and the Battle Building by Wednesday, April 22. FIT TESTING FOR ALTERNATIVE RESPIRATOR MASKS BEGINS MONDAY, APRIL 20
Since the 1870+ style of N95 respirator masks is no longer available, team members who normally wear them need to be fit-tested for an alternative mask. Beginning Monday, April 20, Employee Health will offer fit testing in the Quayle Conference Room on the first floor of the Battle Building. Preregistration is required using this link. Priority status will be given to ED providers and those caring for patients with COVID-19. To verify current mask type, team members should refer to the sticker on the back of their ID badge.

UPDATED PARKING ASSIGNMENTS TAKE EFFECT ON MONDAY, APRIL 20
Starting April 20, any team member who does not currently hold a close-in parking permit and arrives at work from 1-5 p.m. should park in the South Garage on Crispell Drive. The 11th Street Garage is starting to fill up during the day shift; we need to use an alternate parking location later in the day to ensure everyone has a place to park. Here are the details:

MASKING REQUIRED FOR ALL TEAM MEMBERS AT UVA HEALTH FACILITIES
Masks must be worn by all team members while entering, exiting, and moving about our buildings and while interacting within six feet of others. Individuals with non-clinical roles can wear cloth masks or bandanas. Cloth-loop masks can be picked up at the main and south (Emergency Department) lobby info desks. To conserve mask supplies, everyone should reuse their mask according to guidelines, store it in a paper bag when not in use, and remember to bring it to work.

In its weekly update, the Oncology Service Line thanked stem cell transplant nurse coordinators, pharmacy, and the PFA team for outstanding teamwork: “The groups have converted all pharmacy (and nursing) education over to telemedicine and have had to continually revise the process to improve and stay organized with the changing COVID situation. Our patient schedule has changed frequently, donors have changed, and therefore chemotherapy regimens have changed. All of this means constant updates to the schedule and sometimes redoing education to address the change in plan. We are constantly following up and communicating about changes and often just expressing appreciation for each other. All of these changes can be frustrating, but the entire team has displayed teamwork, positivity, and kindness through it all!”

WE’RE SAVING LIVES, THANKS TO EARLY PLANNING FOR COVID-19
Months before we admitted our first patient with COVID-19, our emergency management planning was well underway. Among other things, we identified what hospital units and resources would be needed to care for waves of patients while keeping providers and clinical support staff safe. When COVID-19 grew into a pandemic and patients began to arrive, we kept to our plan. So far, 51 inpatients with COVID-19 have received our care, 24 of whom have improved enough to return home as well as numerous ambulatory patients. In rising to the challenge of COVID-19, we will continue responding with ingenuity, compassion and integrity. We are prepared. We are performing with excellence. And, we are saving lives.

UNIVERSAL MASKING FOR PATIENTS BEGINS MONDAY, APRIL 20
Beginning Monday, April 20, all patients will be asked to wear a mask as they enter any UVA Health location. To conserve PPE, patients are being encouraged to “BYOM” (Bring Your Own Mask). If a patient, wearing their own mask, screens positive at registration, they will be asked to remove their own mask and wear one of ours. Patients without a mask will be provided a mask. Note: This change is an expansion of current safety precautions and does not impact procedures for patient screening or temperature checks at entrances, or for patient access screening at registration. N95 MASK USE
The 1870+ type of N95 mask that has been in regular use at UVA Health is no longer available. In the absence of the 1870+, we are implementing a number of measures to ensure team member safety. We will provide priority fit testing for an alternative mask for team members who routinely care for COVID/PUI patients who require N95 masks and anesthesiologists who require N95 masks for intubation. Fit testing will continue to occur on a prioritized and ongoing basis for other groups. Employee Health is communicating directly with managers of affected areas to schedule fit testing. If you were fit tested for a 1870+ mask and one is not available to you, until fit testing can be completed, please choose an alternative style N95 that is available. Before wearing the N95 for patient care, perform a User Seal Test with the mask. If you are not able to successfully pass the User Seal Test with your selected mask, try an alternative mask.

GUIDELINES FOR REQUESTING A POWERED AIR PURIFYING RESPIRATOR
Some team members may require a PAPR if they are unable to find a N95 mask that creates an adequate seal. Because PAPR supplies are limited, please follow these guidelines in using them: Only request a PAPR when it can be delivered to the patient care location where you will use it, and return it immediately after use. Do not order and store PAPRs in anticipation of future need. Cooperating with these guidelines will help ensure that we have enough PAPRs in circulation to meet daily needs while allowing time for re-charging each respirator between uses.

APPRECIATION
Today began on a well-deserved high note for UVA Health clinicians, support staff, and other employees who arrived for work between 6:30 and 7 a.m. In the early morning hours, construction workers hung a banner on the University Hospital expansion that read “THANK YOU Health Care Heroes!” and lined Lee Street to express their gratitude to team members for their dedication during the COVID-19 pandemic. ELIMINATING COVID TESTING DISPARITIES
National data suggests that there are disparities of care at the testing level for COVID. To mitigate any disparities in access to testing within our service area, a committee led by Drs. Amy Salerno and Art Saavedra is reviewing weekly testing data across various socio-economic, racial, and ethnic sectors. A key committee goal is to identify outreach opportunities to increase access to testing for vulnerable communities. The committee welcomes your comments and feedback, which can be sent to either Dr. Amy Salerno or Dr. Art Saavedra.

COVID STAFFING CENTER
The COVID Staffing Center is in its fourth week of operation with robust participation. The center is helping to identify team members available for immediate redeployment and those available for cross-training to prepare for a surge event. The analytics team is collaborating with the COVID Staffing Center to develop a dashboard to display and track the deployment activity. CULPEPER CLINIC BECOMES 3rd RESPIRATORY EVALUATION CENTER
As part of our COVID-19 response, several ambulatory clinics have transitioned into evaluation centers for patients with respiratory symptoms. Our third respiratory evaluation center opened on Monday, April 13 in the specialty wing of Primary Care Commonwealth Medical in Culpeper. Staffed by providers from Culpeper Family Practice, Commonwealth Internal Medicine, Family Care of Culpeper, UVA Primary Care Locust Grove, and Culpeper Pediatrics, the center is seeing patients with new, or recently worsening respiratory symptoms — such as coughing and shortness of breath. Appointments are available by referral from 8 a.m.- 5 p.m., Monday through Friday. All non-respiratory patients are being triaged to Commonwealth, Family Care, Locust Grove, and Culpeper Pediatrics.

COVID COORDINATION CENTER
We are activating a physical Hospital Command Center to provide 24/7 situational awareness and operational support to team members caring for COVID patients. While the current focus is for COVID care, the center is capable of supporting system-wide patient management, if needed in a patient surge event. The Hospital Command Center is staffed by a team of specialists in areas of operations, planning, and logistics and maintains the “big picture” of our response. Support efforts include coordinating patient care, patient tracking, bed assignment, and communications/coordination with partner hospitals, local emergency officials, and state agencies.

TELEMEDICINE TEAM RESPONDS TO LOCAL COVID-19 OUTBREAK
Within five hours of receiving news that a local long-term care facility was experiencing a COVID-19 outbreak, our telemedicine team had set up a remote connection and was conducting video consults with staff nurses.

At the heart of this quick response was the one of the team’s many innovations: a Telehealth COVID Response Kit containing an array of diagnostic tools that run on an iPad. Using the tools, providers can virtually check blood pressure, temperature, and oxygen levels and also listen to chest sounds and look inside mouths and ears. Before hand-delivering the kit, the telemedicine team preconfigured it for quick connection to the facility’s network and made it ready for use within minutes.

The emergency outreach represents the newest step in the team’s COVID-19 support. During the past several weeks, the team has: equipped 70 medical center rooms and five Emergency Department rooms with telemedicine capabilities; supported ambulatory clinics in rapidly increasing home telemedicine visits; and expanded collaborations with regional hospitals, nursing homes, and rehabilitation centers. The team is also supporting Locus Health in monitoring more than a dozen patients with COVID-19. In coming days, the team will complete support arrangements with ten more local nursing homes and begin assessing the provision of telemedicine services to area prisons.

TEAM MEMBER FOOD AND DRINK
Reminder: Food is not permitted in the patient care environment outside of designated break areas. During this time, we discourage communal food.  Team member hydration is important. Drinks in closed containers are permitted in patient care areas (straws are discouraged). In order to maintain safety with masking requirements, team members should move to an area away from others to maintain a six-foot distance. The face mask should be removed completely, using the ear loops, prior to drinking.  The mask should be replaced immediately. 

APPRECIATION
The newest member of our COVID-19 response effort – the Tru-D robot – is now disinfecting up to 6,000 N-95 masks per day using ultraviolet germicidal irradiation. Purchasing, installing, and operationalizing this urgently needed equipment took just five days, thanks to the hard work and amazing collaboration of epidemiology, clinical engineering, procurement, clinical staff, environmental services, supply chain, central sterile processing and senior leadership. SURGE PLAN
Surge planning is a critical component of our emergency preparedness and COVID-19 response. A dedicated team of leaders from across the organization is working diligently to prepare for a possible surge. The plan is divided into a series of phases (view here). A Clinical COVID Command Center is being designed to facilitate in-the-moment coordination for COVID-19 positive patients as well as the possible displacement of non-COVID-19 patients throughout the health system.

AMBULATORY OPERATIONS

GI Symptoms Added to Patient Access Screen for COVID-19
At registration, patients are now being asked about two additional potential COVID-19 symptoms: worsening emesis (vomiting) and diarrhea. If patients report having symptoms, a “COVID-19 Advisory” is noted in their chart. The advisory signals that the clinical team should further evaluate the patient for COVID-19. For help with patient evaluations, ambulatory providers should refer to this Patient Care Decision Support tool, and inpatient providers should consult hospital epidemiology.

Recently, our public website (uvahealth.com) launched a no-cost coronavirus screening tool to help our patients and the community assess their level of risk for COVID-19. Find the screener here.

Reminder: Wear Your Mask into Work | All team members reporting to work must be wearing a mask when they enter the building. When a fresh mask is needed, team members should obtain one from their manager. Universal Masking FAQs have been updated.

Need a Cloth Mask? Volunteer Services is your connection! UVA Health team members who would like to benefit from one of the wonderful homemade masks (for non-clinical use) that generous volunteers in the community have made for us, can request a mask here. Volunteer Services is located off the lobby of University Hospital (room 1650) and team members are available Monday-Friday 9 a.m.-5 p.m. You will receive a confirmation response within 24 hours during the week.

N95 Mask Seal Check | Instructions for properly checking the seal on your N95 mask are available on the COVID-19 Resources Page.

Head Protection | Several team members have asked if they should wear a head covering when caring for COVID patients. Porous surfaces, such as hair, are less likely to harbor coronavirus for long periods of time. While there is no strong evidence to support the use of a head covering in the care of COVID patients, team members are welcome to wear their own cloth head coverings as long as they are laundered routinely. 

Shoe Covers | The CDC does not currently include shoe covers in recommended PPE when caring for COVID-19 patients. Good basic hygiene practice would include wiping down or changing shoes once you leave work each day (to avoid transmitting germs in your car, home, grocery store, etc.).

APPRECIATION
Three days after the first case of COVID-19 was reported in Virginia, UVA Health took dramatic action — we opened the state’s first dedicated evaluation and testing center for the virus. Since opening on March 11, our COVID Clinic has seen more than 500 patients and become a resource for area hospitals and the Virginia Department of Health. In addition to its all-volunteer staff of LIPs and RNs, the clinic’s work has been made possible by a multidisciplinary team from Hospital Epidemiology, Employee Health, Infectious Disease, HIT Epic, Patient Friendly Access, Communications, Supply Chain, Women and Children’s, Teen Health, Ambulatory Care Services, and Pediatrics. Thank you all for this incredible work and for bringing your commitment to innovation and public service to our COVID response.

TEAM MEMBER WELLNESS ATTESTATION
Beginning Monday, April 13, team members reporting for work will need to complete a daily online Wellness Attestation survey. Surveys will be sent at 5 a.m. and needs to be completed before the beginning of every shift. Signage reminding team members to complete their attestation, with a QR Code link to the survey, will be placed at entrances, Kronos timekeeping stations, and mask pick-up areas. TELEMEDICINE VISITS SOAR

CAFETERIA OFFERS TAKE HOME DINNERS
On Monday, April 13, the East Café will launch Fresh, Easy, Delicious (FED), a new take home program offering meals for 2-4 people. Orders placed by 2 p.m. will be ready for pickup 5-7 p.m. at the Ramen Republic station. Orders can be placed via an order form in the cafeteria or by calling 434.465.9375.

Modified Hours of Operation (Starts Monday, April 13) | West Café closed until further notice. West Café Higher Grounds open on weekdays until noon. In East Café, the Ramen Republic Station closed; Chopped and Wrapped stations open until 3 p.m.

The Environmental Services team is collecting and reprocessing masks. Hours of operation are 7 a.m.-11:30 p.m. daily. The new equipment has the capacity to reprocess up to 5,200 masks a day.

We’ve received a few questions regarding isolation gowns and wanted to provide an update. We do have an ample supply of isolation gowns. UVA has custom gowns that are stored off site due to space constraints. We receive replenishment three times per day.

EMPLOYEE MASKS
Starting on Saturday, masks will be available within your units, departments and work areas. Please plan ahead to obtain a mask so that you are wearing a mask as you enter the facility. Faculty, staff and trainees are welcome to obtain a mask on the unit you are working. Masks will also be available at the main information desk and ED entrances. 

ENHANCED VISITOR RESTRICTIONS
Changes are being made to protect the health of our patients and team members during the COVID-19 pandemic. Beginning Monday, April 13, visitors will not be permitted at UVA Health outpatient clinics, outpatient procedural areas or the Emergency Department. Limited exceptions are outlined in the Manager Talking Points for Modified Visitor Restrictions on the COVID-19 Resources Page.

RESCHEDULING IN-CLINIC VISITS EXTENDED TO MAY 8
The rescheduling period for non-urgent, in-clinic visits has been extended to May 8. Until then, only patients who meet Conditions for Urgent Care Visits should be seen in clinic. Patients with non-urgent needs can schedule a Professional Remote Visit.

The Resiliency Rooms are now open! These rooms are to be a quiet place for all team members to use when they need a place to restore and refocus away from their home units. To maintain safe distances we are asking for a maximum occupancy of 4 team members at a time. Our chaplaincy colleagues will be rounding and providing support if needed. A variety of resources will be available. The rooms will be cleaned twice a day by EVS.

Our mask inventory has significantly increased. Notably, we received shipments from the Strategic National Stockpile and the Virginia Department of Health. We were also to procure masks from non-traditional sources including Lowes Home Improvement and Harbor Freight Tools.

FRONT DOOR TEMPERATURE CHECKS
Beginning Monday, April 13, we will be taking the temperature of all patients and visitors as part of our current screening process at entry points.

STUARTS DRAFT BECOMES 2nd RESPIRATORY EVALUATION CENTER
Stuarts Draft Family Practice has transitioned into a Respiratory Evaluation Center as part of our COVID-19 response. All non-respiratory patients are being triaged to UVA Primary Care Waynesboro. Staffed by Stuarts Draft and Waynesboro providers, the center is seeing patients with new, or recently worsening respiratory symptoms, such as coughing and shortness of breath. The Stuarts Draft center is seeing patients by referral from 8 a.m.-5 p.m., Monday through Friday.  

COVID EXPOSURE FAQ UPDATE
Employee Health and Infection Prevention and Control have posted information on COVID-19 Resources to help managers and care providers understand how exposure evaluations are performed and administrative leave decisions are made.

APPRECIATION
When our bleach wipe inventory began to run low, a multi-disciplinary team sprang into action. They located supplies of bleach and disposable towels and began in-house production, packaging, and labeling. The team includes representatives from clinical departments, supply chain, infection control, and marketing. Thank you all for stepping up and keeping these essential items in stock!

ON-DEMAND COVID LAB TESTING
Equipment for on-demand COVID lab testing has arrived. Testing will be begin tomorrow at noon. High-risk ED and inpatients will be prioritized. A nasopharyngeal swab is required for testing. Turnaround time will be 4 hours or less. Initial capacity will be approximately 30 tests per day.

N95 reprocessing equipment arrived yesterday and is being tested now. We plan to start reprocessing on Thursday. We’ve started collecting N95 masks. Please place used N95 masks in designated receptacles for processing. Expanded details and information will be provided tomorrow. 

We’re continue to work on sourcing N95 masks. We are running low on the 1870+ size, with 240 masks in stock. Please continue to conserve and save for reprocessing. 

We received 18,000 procedural masks today and anticipate further shipments this week. Community donations are being collected and we’re grateful for the UVA friends, colleagues and alumni that are working to help us expand our supply chain.

Dr. Taison Bell delivered the first shipment of UVA-made face shields to the unit today. A special thank you to our engineering colleagues. Additional supplies of face shields and other PPE will be forthcoming.

WELL-BEING
A well-being task force is now up and running with broad representation from across UVA Health. Their goal is to provide resources and make them accessible on the COVID-19 Resource Page. Check back regularly for your Tip of the Week to care for yourself and your teams.

PERSONAL PROTECTIVE EQUIPMENT (PPE) UPDATE
A special thank you to everyone who has helped implement our universal masking program. Early indications are that the program is decreasing overall PPE utilization while providing needed protection.  

PPE inventory has been reorganized and N95 masks have been centralized. Through these efforts, approximately 2,000 masks have been added to our inventory.

N95 reprocessing equipment is being delivered this evening and there is a team working on preparing the facility and optimizing the workflow design. Testing will start this week.

Two large supplies of procedural masks have made it into the United States. These masks are slated to be delivered later this week. Cloth masks are anticipated to arrive within the next 24 – 48 hours. An order of 100,000 gowns is expected this week as well.

A team of engineers, architects and makers across the university and community are partnering with the medical center to produce PPE (face shields, reusable procedure masks and swabs) and testing supplies. The first batch of PPE is scheduled to be delivered as early as next week.

Effective April 7, any team member who does not have a parking permit for one of our garages, may park close-in at the Medical Center as outlined in the following schedule.

COVID-19 CLINICAL TRIAL BEGINS
UVA Health has joined a national clinical trial evaluating the safety and effectiveness of a potential COVID-19 medication, remdesivir. The trial is open to hospitalized adult patients with COVID-19 and significant symptoms — including difficulty breathing, using supplemental oxygen or needing a ventilator. Study participants will be randomly assigned to either receive remdesivir or a placebo intravenously for as long as 10 days.

TELEHEALTH SUPPORT
In order to accommodate the current volume of Telehealth-related questions, we have established new guidelines and channels for Telehealth support. We hope that this provides some clarity, and allows you to efficiently access the resources you need to meet the care needs of patients.

APPRECIATION
As the first point of contact for many patients, access teams throughout the health system have worked tirelessly to reschedule thousands of clinic visits. In addition, this team has arranged for patients to receive expedited COVID assessments and other urgent care appointments. A special thank you to this team for all their hard work and for their excellent customer service. UNIVERSAL MASKING
The universal masking process started this morning for all faculty and staff. An FAQ document has been developed to answer questions received so far and is available on the COVID-19 Resources page.

N95 MASK UPDATE
We received an additional shipment of 3,000 N95 masks on Friday. N95 masks remain in short supply worldwide. We have centralized supply of these masks to assist with resource stewardship. We would ask all team members to only use N95 masks for indicated purposes to help conserve use.

To assist with mask conservation, a team is actively working on a method to reprocess N95 masks. Details on this process will be available next week.

3 SOUTH OPENING
15 beds in the new 3 South unit opened today. These are negative pressure rooms and have ICU capability — ideal for the care of critical COVID-19 patients. 69 additional beds in the South tower will open in May, giving us a total of 84 beds that can be deployed for the treatment of COVID patients.

AMBULATORY SCHEDULING GUIDELINES
New guidelines for scheduling ambulatory clinic visits have been posted on the COVID-19 Resources Page.

NEW RESPIRATORY SYMPTOM EVALUATION CENTER
UVA Primary Care Riverside is now operating as a Respiratory Symptom Evaluation Center offering services to patients with new or recently worsening respiratory symptoms such as coughing and shortness of breath. Patients with non-respiratory symptoms are being triaged to Primary Care at Zion Crossroads. Services at Riverside are available to patients by walk-in or referral, during usual business hours from 8 a.m. to 8 p.m. Monday through Friday, and from 8 a.m. to 5 p.m. on Saturday. Employees with fever or symptoms of respiratory infection should contact Employee Health 434.924.2013.

HAND SANITIZER BOTTLE RECYCLING
To ensure we have adequate hand sanitizer supplies, we will begin to recycle pump hand sanitizer bottles and PDI Sani-Cloth Bleach Wipes (orange top) containers and PDI Super Sani Cloth Wipes (purple top) containers for reuse effective immediately. Instructions may be found on the COVID-19 Resources Page.

AMBULATORY CLINIC VISITS
After careful review and thorough discussion, our UVA Health leadership team has collectively agreed to extend the period of rescheduling ambulatory clinic visits to April 24, with the exception of urgent care and sick visits. We will communicate any future extensions as soon as decisions are made.

EPIC USER TIP
LIPs in Ambulatory, Inpatient and Emergency Department areas may now suppress the COVID-19 Advisory if their clinical evaluation rules out COVID-19 as a cause of symptoms. This advisory is displayed within the patient’s chart on the Storyboard and appears when the Patient Access Screening result is positive. To learn how and to review suppression guidelines, please reference the COVID-19 Advisory Suppression Tip Sheet.

APPRECIATION

MARCH 31 COVID-19 SNAPSHOT:

PERSONAL PROTECTIVE EQUIPMENT (PPE)
A daily leadership meeting has been established to constantly review and iterate our PPE polices. This group includes Chris Ghaemmaghami, Bobby Chhabra, Art Saavedra, Reid Adams, Costi Sifri, and Kathleen Rea. This group is tasked with making decisions based on benchmarks, present and predicted conditions, and PPE supply levels.  All six of these individuals are both health system leaders and frontline care providers.

It is extremely important that we embrace a standardized approach to how we use these important resources now, before we are projected to see significant increases in COVID-19 cases. By doing so, we can deploy clear and consistent standards for all faculty and staff, while safeguarding our ability to have access to this important equipment over the coming weeks and months.

OPEN FOR TRANSFERS
As a tertiary/quaternary medical center, UVA accepts patients whose healthcare needs are more complex than can be easily met by many other institutions in the Commonwealth. To ensure those patients who need complex care are able to receive treatment, UVA will continue to provide care for all patients in need who are referred to us from across the state and region.

DAILY WELLNESS CHECKS
Ensuring the safest care environment possible will require that all of us assess our health and well-being each day. Beginning tomorrow (4/1/20), we are asking all employees who are not working from home to check in with their manager at the beginning of their shift to verify they do not have a fever, shortness of breath, or cough. Doing so will help employees self-monitor for symptoms, and reduce the likelihood of unintentional exposure to colleagues and patients.

EPIC UPGRADE
The Epic upgrade scheduled for May 3 has been postponed. An alternate date will be announced in the near future.

APPRECIATION
In order to support the increase demand for hand sanitizers within the health system, the inpatient pharmacy team began producing compounded hand sanitizer yesterday. The process combines ethyl alcohol with other commercially available ingredients to achieve a concentrated product safe for us to use at UVA Health. Thanks to the initiative of the pharmacy team, we anticipate production will start at currently 10 liters per day and increase in the coming days and weeks. Thank you pharmacy team!
