Flu Takes a Dive in ’25: All Team Members to Get Flu Vaccine by Oct. 31

UVA Health is preparing for the arrival of flu season, and we’re excited to announce this year’s flu vaccination initiative: Flu Takes a Dive in ’25.

Getting influenza/flu vaccination is the best way to prevent flu and its complications. The U.S. Centers for Disease Control and Prevention recommend annual flu vaccination for everyone age six months and older. Flu vaccination can lower your risk of getting flu, and it also can lower the risk of having serious illness from flu.

By getting vaccinated, you are also protecting people around you, including those who are more vulnerable to serious flu illness, including babies and young children, older people, and people with certain chronic health conditions. 

Here’s what you need to know about getting your flu vaccine and complying with related policies:

Please refer to Health System Policy OCH-002  to determine if you are a Tier 1 team member.	If you get your flu vaccine at an Employee Health or WorkMed-sponsored Flu Vaccine Clinic (including to-go kit unit-based vaccinations), your flu vaccine automatically will be entered in VaxTrax, our platform for monitoring compliance. If you receive your vaccine outside of an Employee Health or WorkMed-sponsored Flu Vaccine Clinic (e.g., your provider or pharmacy), you must present your documentation to Employee Health or email it to fluvax@uvahealth.org and it will be entered into VaxTrax. If you get vaccinated at a UVA Health pharmacy or clinic, you still must submit documentation because EPIC does not link to VaxTrax. Documentation must include two patient identifiers (ex: Name and DOB).	Anyone who received an exemption last year has had their exemption automatically approved for this year. You can check your exemption status in VaxTrax. New Exemption Requests — If you are seeking a new exemption, access the exemption request form here. You will be directed to sign in using your computing ID and password. Click the “Exemption” button to the right of your 2025 flu vaccine status. Click “Religious Exemption” or “Medical Exemption” based on the type of exemption you are requesting. This will take you to the exemption form and submission instructions. Requests must be submitted by the Oct. 17 deadline.   See exemption policy details here.
UVA Community Health	Flu vaccines are free at all Employee Occupational Health flu clinics, for all UVA Community Health team members, and vaccination is mandatory for all team members. Please refer to Occupational Health Screening and Maintenance UVACH-HR-EOH-3020 v.8 for more information.	If you receive a flu vaccine from your PCP (including UVA Health PCP’s or any outside provider or pharmacy, you must provide documentation through Employee Health Vaccine Documentation link. Documentation must include two patient identifiers (ex: Name and DOB).	Anyone who received an exemption last year has had their exemption automatically approved for this year. You can check your exemption status in the Employee Occupational Health portal. If you are seeking a new exemption, please visit the Employee Occupational Health page on the intranet.

Flu Takes a Dive in ‘25 Key Dates:  

Tuesday, Sept. 23 | Workplace flu shots become available at UVA Health.  
Friday, Oct. 17 | Deadline for submitting new flu vaccination exemption requests (see instructions below).  
Friday, Oct. 31 |  Deadline for UVA Health team member annual flu shot compliance.
