This Fall: Epic ‘Quad’ Upgrade

Go-live: Sunday, Nov. 5 | UVA Health uses Epic as its electronic medical record system, and the Health Information Technology (HIT) team actively supports and updates Epic regularly. HIT typically schedules Epic updates twice a year to improve system performance, enhance functionality, and increase efficiency.

This year, HIT suspended updates during the UVA Community Health integration. HIT wanted to maintain a stable and unchanging Epic environment to support the development of the Epic modules for the new entities. To account for this pause, HIT is combining four upgrades into one — the Epic Quad Upgrade — and the downtime for this upgrade will occur in the early morning hours on Sunday, Nov. 5. Read more about downtime, training, and key dates on Connect.

New Clinic Naming

UVA Health has a standard naming convention and official naming process that must be followed to ensure consistency, clarity, and easier wayfinding. If you are working on naming a new service or clinic location, visit the Clinic Naming Page on uvahealthbrand.com to complete the required naming request form. This step should be taken at the beginning of your project. Questions? Email rbrandonline@uvahealth.org.

New Mural in Outpatient Surgery Center

Local artist Carissa Jackson created a stunning mural for the Outpatient Surgery Center Post Anesthesia Care Unit (OPSC PACU) Phase I wall. The Professional Governance Chair, Donna Jones, and the OPSC PACU manager, Marc Juarez, consulted with Anne B. Brown, UVA Health's Art Program Coordinator, about enhancing the PACU environment with nature-focused artwork.

Following evidence-based practice, our local OPSC Nursing Professional Governance Organization (NPGO) committee saw the potential benefit in the use of nature-themed artwork to decrease stress and anxiety among the patients and OPSC team, and ultimately provide an environment that fosters wellness and healing. The resulting mural surpassed expectations. It is a focal point for patients and staff to pause and breathe as they allow the beauty of the mountains, trees, sky, and water to wash their stress and anxiety away. As the patient emerges from anesthesia, rather than facing stark blank walls, the patient experiences the beauty of nature, which will enfold, uplift, and strengthen them as they begin their journey of healing.

There was hope that the mural would benefit two populations — the patients emerging from anesthesia and the amazing team that works together to take care of more than 10,000 patients and families a year. It offers a beautiful and familiar scene that is consistent with the organization’s overall strategy when it comes to visual art in workspaces, which is beautifully diverse and present throughout the organization.

Our OPSC NPGO committee thanks all their partners for their support in helping to bring this stunning piece of art to our care spaces, which will have a positive impact on the experience of the patients and team for many years to come.

Environmental Services Uses ‘Secret Sauce’ to Achieve Efficient Turnarounds and Satisfied Patients

EVS team

Each and every morning, the Environmental Services (EVS) team meets to prepare the ingredients for what they like to call their “secret sauce.” Some days the recipe calls for a schedule change or a redistribution of resources. But the outcome they’re aiming for is always the same: efficiency.

More specifically, the goal is to reduce our bed turnaround times without sacrificing the quality of their work. “We’ve been charged with keeping our turnaround times below 60 minutes and our HCAHPS [Hospital Consumer Assessment of Healthcare Providers and Systems] score above 70,” says EVS Director Tony Caswell. Thanks to their “secret sauce,” this team has consistently met or exceeded their target for 11 weeks and counting.

Thank you — and congratulations — to this amazing team! Read more about their success on Connect.

UVA Welcomes the School of Medicine’s Class of 2027 at White Coat Ceremony

white coat ceremony

The 160 members of the School of Medicine’s Class of 2027 received a warm welcome on Friday, Aug. 11, at the annual White Coat Ceremony and Convocation. Endowed by the Class of 1965 and held in Old Cabell Hall, this event was presented by the UVA Medical Alumni Association and Medical School Foundation.

Welcoming a new class of medical students serves as an important reminder that our work in academic medicine is helping to build the future of American healthcare. The White Coat Ceremony is a tradition that impacts far more than our new medical students and School of Medicine faculty and staff. It symbolizes the sense of purpose and pride that is shared throughout UVA Health.

Going for Gold: Kibbe-Tsihlis Lab Gets Green Labs Certified

Leading the way in sustainable research practices, Kibbe-Tsihlis Lab has achieved Gold Certification from the Green Labs program. With the help of the UVA Office for Sustainability Green Labs program, researcher-led initiatives have smoothly and easily transitioned the lab to become not only safer but also more resource-efficient.

The UVA Green Labs program welcomes all research laboratories at the University interested in reducing their environmental impact. Green Labs works to incorporate occupant-driven behavioral changes to conserve energy and water while reducing waste and purchasing footprints. Labs are extremely resource-intensive: while they take up only 10% of Grounds, they are responsible for one third of the University’s energy footprint. Getting Green Labs certified helps labs reduce their impact while also becoming more efficient with their grant funds and aligning with UVA’s 2030 Sustainability Plan Goals . The Green Labs program works to embed a culture of sustainability in labs.

As reinforced by Melina Kibbe, MD, Dean, UVA School of Medicine, “Researchers play a critical role in making the School of Medicine more sustainable … Only through the actual investigators can we make this happen — everyone has to do their part!”

Read more about this achievement on the UVA Sustainability blog. Congratulations — and thank you — to all involved!

‘Joy and Wonder’: New Mural Unveiled at Pediatric Neurology Clinic in the Primary Care Center

After consulting Kathryn Sleeth, RN, and Tim Groves, RN, Clinical Nurse Manager, Pediatric Neurology Clinic, and with the support of UVA Health Arts Program and Abdi Somo, Chief Administrative Officer, UVA Medical Center — local artist Eliza Rogan has created a beautiful mural for the Pediatric Neurology Clinic.

Groves says in pediatric care, every detail matters in creating a supportive and positive environment for young patients. A captivating wildlife mural, adorned with cheerful and vibrant depictions of animals, has emerged as a powerful tool in nurturing the well-being of children visiting the clinic. “Beyond its aesthetic appeal, this mural serves as an unexpected source of comfort, distraction, and inspiration,” Groves explains. “The artist went above and beyond any vision we could have imagined. The mural not only captivates young minds but also sparks curiosity and conversations — making the waiting room a space of anticipation rather than apprehension.”

By infusing the clinic's atmosphere with elements of joy and wonder, this wildlife mural pioneers a novel approach to enhancing the healing journey of pediatric patients — promoting positivity, and offering a ray of hope amid medical challenges.

View the mural on the ground level of the Primary Care Center in the Pediatric Neurology Clinic waiting room. Thank you to all involved!

UVA Health Earns National Recognition for Commitment to High Quality Stroke Care

aha badge

UVA Health has achieved the following distinctions this year in the American Heart Association (AHA)’s Get With the Guidelines-Stroke Program:

This is UVA Health’s second consecutive year achieving Target: Stroke Honor Roll Elite Plus. “This means we’re achieving the fastest door to thrombolytic times nationwide,” explains Mary Jobson-Oliver, MSN, RN, Stroke Program Manager. She adds, this is also our first year achieving the Advanced Therapy Award — meaning we’re achieving faster door-to-device times for our thrombectomy patients.

“This is all possible thanks to the dedication and collaborative efforts of everyone involved in the care of our stroke patients,” she says.

AHA reports that health systems earning these honors “demonstrate commitment to following up-to-date, research-based guidelines for the treatment of heart disease and stroke — ultimately leading to more lives saved, shorter recovery times, and fewer readmissions to the hospital.”

“Congratulations to your entire team for your commitment to high quality patient care through Get With the Guidelines,” says Crystal Glodek of AHA.

Thank You for Speaking Up for Safety!

Congratulations to Kyle Sandridge, PharmD, Lead Pharmacist, Inpatient IV Room, on being nominated for Virginia Hospital and Healthcare Association’s Speak UP for Safety! Kyle was nominated by Bizz Glover, MEd, CPHRM, Clinical Risk Manager, Department of Patient Safety and Risk Management, based on a Good Catch nomination by Samantha Chetosky, PharmD, Clinical Operations Manager: “Kyle recognized an incorrect medication dose that was caught during a final check in the pharmacy, identifying the issue before the medication was administered to the patient. Because of Kyle’s diligence, attention to detail, and willingness to voice concerns, we were able to correct the dose without compromising the health of the patient.”

Says Kyle, “I’m very humbled. Patient safety is always our top priority in the pharmacy and I'm glad I could prevent an error from reaching the patient.”

Thank you to Kyle — who’s also celebrating five years at UVA Health — for keeping our patients safe!

UVA School of Medicine Associate Professor Earns 2023 Innovation and Collaboration Program Grant

The Lustgarden Foundation has awarded the one-year, $110,000 grant to Microbiology, Immunology, and Cancer Biology Associate Professor David Kashatus for his study, “The Role of Lipid Droplets in Pancreatic Cancer Metastasis.”

“This funding will allow us to examine the issue of pancreatic cancer metastasis to better understand how cancer cells adapt to challenges — providing the opportunity to develop therapies to target the metastatic process and improve patient outcomes,” says Kashatus. Most cases of pancreatic cancer recur after surgery and treatment, contributing to a five-year survival rate of only 12%. His study will explore how understudied cellular structures — called lipid droplets — contribute to different steps in the metastatic process.

Thank You for Speaking Up for Safety!

Virginia Hospital and Healthcare Association’s Center for Healthcare Excellence has recognized Kelly Ann Davis, BSN, RN, CDN, of UVA Health, with a “Speak Up for Safety!” Honorable Mention Award.

Kelly Ann, who’s worked at Lynchburg Dialysis for 10 years, feels humbled and validated. “If you don’t use your skills to advocate for patient needs, you haven’t really done your job! I hope celebrating the willingness to speak up for the needs of patients, especially when it’s uncomfortable, will encourage more providers to do the same.”

According to Kelly Ann: the patient arrived for dialysis with a 24-hour history of central chest pain and shortness of breath, had significant relief with sublingual nitroglycerin, and was transferred to the Emergency Department. “Despite EKG changes and grossly abnormal lab results, the patient was discharged home with a diagnosis of non-cardiac chest pain. I felt strongly the symptoms were cardiac in nature and feared a poor outcome without swift intervention.”

Kelly Ann says when the patient arrived for dialysis again the next morning, she sent the patient back to the ED. The patient then was taken urgently to the cardiac cath lab, then transferred to the ICU and successfully stented during a third catheterization. Since discharge, Kelly Ann describes, the patient has been free of pain and other cardiac symptoms.

Nurse Manager Tanisha Battle, BSN, RN, explains, “This statewide award is designed to recognize staff and physicians in Virginia hospitals who identify potential situations for harm in their work environments and speak up. Kelly Ann spoke up and advocated for a patient, despite push back. This display of strong clinical skills saved this patient’s life. Thank you for speaking up, Kelly Ann!”
