Women in Medicine Month: Who’s Your Inspiration?

Patient Care
Change to Complete Blood Count Orders Coming Sept. 10
Currently, six unique Complete Blood Count (CBC) lab orders specific to various clinic locations exist in Epic (e.g., CBC WITH DIFF, RIVERSIDE [LAB6274]). As part of the Sept. 10 Epic bundle update, these location-specific orders will no longer appear in order sets, preference lists, or treatment plans and care teams should transition to ordering CBC WITH DIFFERENTIAL [LAB293], a universal CBC order that works across all UVA Health locations.
On Sept. 10, the Epic team will run an order replacer activity to update active, outpatient site-specific CBCs to LAB293. This activity will capture most but not all existing orders (e.g., signed, held, etc.); therefore, prescribing teams are asked to check to ensure that existing orders have been updated to LAB293. To support a smooth transition, location-specific CBC orders will not be deactivated until mid-October, though care teams should begin using LAB293 on Sept. 10. Free AAACN Certification Review Course for Ambulatory RNs
Saturday, Oct. 19 | 7:30 a.m.-5 p.m. | Orthopedic Center Ivy Road (OCIR) | Register via Workday | UVA Health is offering the American Academy of Ambulatory Care Nursing’s (AAACN) Certification Review Course. This one-day session is designed to prepare UVA Health registered nurses (RN) for the Ambulatory Care Nursing Certification Exam and provides 8.0 contact hours. Registration is capped at 80 participants. The course, offered free of charge, provides an overview of the potential content that may be tested on the AAACN Ambulatory Care Nursing Certification Exam. In an interactive, case-based format, it reinforces knowledge of ambulatory care and identifies areas for further study in preparation for the exam. The class also may be suitable for RNs transitioning into ambulatory care or those who need a refresher on the ambulatory care nursing specialty.

Servicing Stacey Hall Servers
Wednesday, Sept. 4 | 8-9:30 p.m. | Health Information Technology (HIT) and the Network Team will be conducting maintenance on our core network devices that service our main data center for the health system in Stacey Hall. Cisco Systems, our primary network manufacturer, recommends a simultaneous reload of our core equipment to clear a memory condition that caused the outage on Aug. 13. While the duration of the impact to Stacey Hall is expected to be 30 minutes or less, HIT wants to ensure the technical teams have the time to overcome unanticipated difficulties. We do not expect any major impact to clinical operations during the event, though there may be small outages or interrupted service as they work through the change.
Reminder: Lee Street Garage at Capacity Response
When the Lee Street Garage is full, parking attendants will redirect traffic to the 11th Street Garage. Handicap permits will be allowed entrance into the Lee Street Garage during the diversions, but all others will be directed to the 11th Street Garage. We apologize for any inconvenience. Please allow extra time to get to your appointments.

Team Culture Drives Extraordinary Ophthalmology Evolution
Space limitations. Physician shortages. Persistent staffing shortages. These are common challenges in ambulatory care, but several years ago, UVA Health’s Ophthalmology Clinic was facing them at an uncommon and unprecedented level. Ranked 64 out of 89 in the monthly Ambulatory Clinic Rankings at the end of FY23, the Ophthalmology team took the opportunity to reset, setting in motion a meteoric rise in the rankings and more importantly, in its team culture.
The leadership group of Department Chair Albert Jun, MD, Clinic Manager Stephanie Dixon, Medical Director Leslie Olsakovsky, MD, and Access Manager Tameka Sharpe, MBA, with the support of Ambulatory Operations Director Renee Viette, MBA, focused on enhancing teamwork and communication, fostering continuous improvement, and creating a positive work environment where team members feel supported and success is celebrated regularly.
The result? The clinic closed out FY24 ranked 9 out of 133 UVA Health Ambulatory Clinics. Key factors in their improved ranking include appointment slot utilization and scheduled slot adherence rates consistently above target, and a leap in four-hour session adherence rates from 2.5% to 87.1%. What’s more, the team opened a LASIK suite (pictured) and additional clinic space in June 2024.
“The incredible improvements made by the Ophthalmology clinic team are a testament to how timely, accessible data can help drive performance — especially when paired with inclusive, focused leadership,” says John Bennett, MPA, Chief Ambulatory Operations Officer.
“The Ophthalmology staff are among the most dedicated and determined I’ve encountered. This team’s ability to overcome numerous obstacles on their way to a division-leading performance is truly impressive. I hope others facing similar challenges will be inspired by their resolve,” notes Viette.

Primary Care: Updates to Medicare Annual Wellness Visit Now Live in Epic
The Medicare Annual Wellness Visit (AWV) smartset in Epic was updated on Aug. 20. Changes to the AWV smartset were made to:
- Improve the usability of the Advance Care Planning section.
- Address existing documentation gaps around:
- Members of the patient’s care team.
- Substance abuse screening in response to recently issued Medicare guidelines on this topic.

- Scott Heysell, MD, MPH | "Our work is in infection. We work in the infections of poverty like tuberculosis. Tuberculosis, for instance, is one of the leading killers from infection worldwide. So we work to develop diagnostics and therapeutics for tuberculosis to improve outcomes."
- Monique Vaughan, MD | "Approximately 25% of all women and 50% of women who have had children will go on to develop a pelvic floor disorder in her lifetime, such as prolapse. And we know that many of our prolapse surgeries could be improved in terms of success and complications. And that’s really what my research aims to do."
- Scott T. Hollenbeck, MD | "The area I’m most excited about with my research is the development of a soft tissue filler, which can be used to help patients recover from surgeries such as mastectomy and other disfiguring procedures where the material could be delivered to act as a reconstructive modality."
- Jaideep Kapur, MD, PhD | "Grand mal seizures are dramatic events. Most of them end by themselves, but some of them continue and threaten the life and brain health of individuals who suffer from them. My studies in the research lab provide unique and new insights into the mechanisms of such seizures."

The School of Medicine proudly welcomed the Class of 2028 medical students at the White Coat Ceremony on Aug. 16 — an exciting day that commemorated the beginning of their medical careers. During the ceremony held in Old Cabell Hall with family and friends in attendance, 156 new MD students received white coats embroidered with their names and recited a covenant with the faculty. The Medicare Annual Wellness Visit (AWV) smartset in Epic was updated on Aug. 20. Changes to the AWV smartset were made to:

- Members of the patient’s care team.

Free AAACN Certification Review Course for Ambulatory RNs
Saturday, Oct. 19 | 7:30 a.m.-5 p.m. | Orthopedic Center Ivy Road (OCIR) | Register via Workday | UVA Health is offering the American Academy of Ambulatory Care Nursing’s (AAACN) Certification Review Course. This one-day session is designed to prepare UVA Health registered nurses (RN) for the Ambulatory Care Nursing Certification Exam and provides 8.0 contact hours. Registration is capped at 80 participants. The course, offered free of charge, provides an overview of the potential content that may be tested on the AAACN Ambulatory Care Nursing Certification Exam. In an interactive, case-based format, it reinforces knowledge of ambulatory care and identifies areas for further study in preparation for the exam. University Medical Center Among the First in the World to Adopt the da Vinci 5 Robotic Surgical System
UVA Health University Medical Center recently added a da Vinci 5 (DV5) robotic surgical system to its fleet of robotic equipment that assists our surgical teams in performing minimally invasive procedures, including but not limited to: general surgery — bariatric (weight loss), hernia repairs, and colorectal procedures; gynecology — hysterectomies; urology — prostate, kidney, and bladder procedures; and thoracic — lung biopsies and removal of cancerous tissue.
The DV5 represents the latest advances in 30 years of evolution in robotically assisted surgery, with 150 design innovations versus the prior model:
- Force feedback technology, which should enable better patient outcomes by delivering less force on tissue.
- Improved vision system which provides a more realistic 3D image to the surgical team.
- More ergonomic console and other improvements that streamline operations.
UVA Health is among the first hospitals in the world, and the first in Virginia, to implement this technology. The DV5 robotic platform represents another key investment UVA Health is making to support its strategic plan goals of improving ease of access to patient care and providing superior patient outcomes.

CLABSI Name Change in Data Portal
The “Potential CLABSI” tile on the Data Portal has been changed to “Confirmed CLABSI.” Please note that potential CLABSI events will continue to be an option in the dropdown lists from the tile.
- "Potential CLABSI" might create confusion about whether the infections are confirmed or still under investigation. By changing the label to "Confirmed CLABSI," the data now clearly reflects confirmed cases, providing a clear understanding of current events for leadership.
- The term "potential" might suggest a higher level of risk or problem than what is actually present. By using "Confirmed CLABSI," the data accurately reflects the real situation, minimizing the risk of misinterpretation or unnecessary alarm.
- Focusing on Confirmed CLABSI cases ensures that the data presented is based on verified information, leading to more reliable decision-making.
- Stakeholders, including hospital leadership and frontline staff, rely on accurate data to assess the quality of care. Using "Confirmed CLABSI" rather than "Potential CLABSI" ensures transparency and builds trust in the data being reported.

UVA Cancer Center First in Virginia to Offer New Lung Cancer Treatment
UVA Cancer Center is the first healthcare provider in Virginia to offer a newly approved immunotherapy — which supercharges the body’s immune system to fight disease — to treat small cell lung cancer.
The federal Food and Drug Administration (FDA) approved tarlatamab on May 16 for patients who have exhausted other treatment options. Just 26 days later, UVA Cancer Center began using tarlatamab — which early studies show is extending the lifespan of patients with late-stage disease — as indicated by the FDA. Since FDA approval, 16 patients have received the treatment at UVA Cancer Center.
“This treatment requires intensive monitoring and careful coordination among a large team of care providers,” says Ryan Gentzler, MD (above right), a UVA Health lung cancer specialist. “We were able to treat our first patient so quickly after FDA approval thanks to successful collaboration and interdisciplinary efforts among our nurses, pharmacists, information technology team members, and social workers.” Read more on Connect.

Youth Healthcare Professions Summit at UVA Health Prince William Medical Center
UVA Health Prince William Medical Center hosted the UVA Health Youth Healthcare Professions Summit on Aug. 5, welcoming 65 students including UVA Health Prince William and Haymarket Summer Teen Program participants and college-age volunteers from UVA Health. The program is designed to inspire this generation of students and volunteers to continue expanding their knowledge and interest in the healthcare profession.
Tori Martin, Director, Center of Nursing Excellence at UVA Health’s community medical centers and clinics in Northern Virginia and Culpeper, spearheaded the summit. "We wanted to focus more on clinical education and to give back to the kids in our summer program and college-age volunteers. To be able to expand their view of all the opportunities within the hospital was exciting. We were thrilled to see 65 students attend and hope to expand the program next year."

Online Scheduling for Primary Care Launching Aug. 27
Online scheduling is coming to UVA Health Adult and Pediatric Primary Care on Aug. 27, marking the first time that online scheduling will be consistently available to patients across one of our largest specialties. This functionality will allow us to better meet patient expectations and demand for convenient, streamlined appointment scheduling. New Emergency Department Referral Process Launches
The process for referring patients to the University Hospital Emergency Department (ED) changed on Tuesday, Aug. 13, when the ED Clinic/Home Transfer order was replaced by Expected ED Admission Activity in Epic.
The ED Clinic/Home Transfer process historically has been completed via an Epic order that is not user friendly, makes tracking patients difficult for the ED, and includes outdated manual elements. The new process will remain Epic-based, leveraging the Epic-recommended Expected ED Admission Activity workflow. Using this workflow will help ensure that there is a reliable, user-friendly, and consistent process for documenting and locating ED transfer patient information in Epic so that the ED care team is best positioned to support the referred patient. Reducing Patient CAUTI
The CAUTI Coalition has identified two significant areas of improvement to decrease harm to our patients from a catheter-associated urinary tract infection (CAUTI): catheter necessity and diagnostic stewardship.
- Catheter Necessity | More than 50% of patients who suffered from a CAUTI in FY24 did not need their indwelling urinary catheter at the time of the event. Specific to management of urinary retention, an updated order set (Urinary Retention and Indwelling Urinary Catheter Management) is available now. The order set provides clear guidance for:
- Populations in which the order set is contraindicated.
- Considerations prior to removal of the IUC.
- Populations in which bladder scanning may be contraindicated.
- Diagnostic Stewardship | In FY24, 59% of CAUTI events had a diagnostic opportunity for improvement identified. To promote ordering the right urine test on the right patient, a new order panel called “Urine Testing Order Panel” is now available for the following tests:
- Urinalysis with reflex culture
- Urine culture (without urinalysis) for Special Populations
- Urinalysis with reflex microscopy

Primary Care: Updates to Medicare Annual Wellness Visit Coming Soon to Epic
The Medicare Annual Wellness Visit (AWV) smartset in Epic will be updated on Aug. 20. Changes to the AWV smartset are being made to:
- Improve the usability of the Advance Care Planning section.
- Address existing documentation gaps around:
- Members of the patient’s care team.
- Substance abuse screening in response to recently issued Medicare guidelines on this topic.

Safety and Security: Preventing Workplace Violence
In the healthcare setting, high stress, high anxiety, and fear can fuel unpredictable and sometimes violent behavior. In fact, healthcare workers are five times more likely than any other type of worker to experience workplace violence, according to the Bureau of Labor Statistics.
This startling statistic got the attention of U.S. senators, who introduced the Safety from Violence for Healthcare Employees (SAVE) Act in 2023. If passed, the legislation would create stronger penalties for people who knowingly and intentionally assault or intimidate healthcare workers.
At UVA Health University Medical Center, we’ve been proactively working to combat workplace violence since 2016, when we launched our own SAVE initiative. The Situational Awareness Violent Event Committee is a subgroup of the Safety and Security Committee. ‘Touches My Heart’
Seven Lions Clubs in and around the Charlottesville area have made a $3,000 donation to local nonprofit Cape Ivy to provide 300 IV-friendly fleece ponchos for young patients to wear during cancer care at UVA Health Children’s inpatient hospital and the Battle Building outpatient infusion clinic. The ponchos will help keep children warm, while making it easier for our team members to connect IV lines and treatment ports.
Cape Ivy has donated 20,000 ponchos to hospitals across the country since 2019 — 1,000 of them to UVA Health Children’s through the support of the Charlottesville community. “It touches my heart to be able to help other children and other families who are going through similar hospital stays,” says Meg Smith, UVA alum and Cape Ivy co-founder, who first made the ponchos for own child, as he was battling illness and going in and out of hospitals from ages 2 to almost 13 — before passing away.
Smith is pictured with Cape Ivy Co-Founder Cindy Hargroves, and Phil Eaton of the local Lions Clubs, who says a key mission of the Lions Club International is to support children and families affected by childhood cancer.

‘We Felt Valued’
A team member recently sent a note to the Patient Experience Office about feeling welcomed to UVA Health. After obtaining permission from the author, we wanted to share it with you:
“I always felt safe, comfortable, and respected as an out lesbian when visiting [UVA Health]. My experience was so positive. I was actually nervous to switch over to UVA Health for my medical needs. I had recently lived [out of state] where medical and mental health professionals had acted uncomfortable and/or disbelieving that a woman could indicate that they were sexually active but not with men. It felt like my medical needs had been ignored/diminished for years while I lived [out of state], and at times I wondered if that was influenced by a lack of cultural competence regarding the LGBTQ community.”
“Fortunately, [my doctor] was fabulous when I came out during our first appointment, and [the surgeon] has been equally caring and competent. … Each time I was asked by hospital staff who was there to drive me home/support me, I referred to my partner — and we were both treated with respect. Nobody visually reacted in a judgmental way, as I might have expected [out of state]. And we felt valued just as much as a heterosexual couple might have been in that situation.”
“My post-op visits went equally well at the main hospital and at the clinic. It has made the process — that felt major and nerve-provoking — more manageable, and makes me proud … knowing that the healthcare providers here are working toward high quality and equitable treatment for all. I am sure there is more work to be done for people of color and trans/non-binary folks, but at least from the people I have met, they seem so committed to making it better for everyone. Thanks for your hard work and that of your colleagues, truly.”

Deadline Extended: Applications for the UVA Health Leadership Institute
New deadline: Friday, Aug. 23 | The UVA Health Leadership Institute (HLI) is ready to welcome a new cohort of emerging leaders. Interested candidates should complete their application, essay, and submit a letter of recommendation via the HLI application portal. The institute is seeking candidates who meet the following criteria:
- Early- or mid-career, five or more years of cumulative work experience (in any role, at UVA Health and/or elsewhere).
- Demonstrate leadership experience or potential.
- Currently employed by any UVA Health entity and invested in their future at UVA Health.

The process for referring patients to the University Hospital Emergency Department (ED) will change on Tuesday, Aug. 13, when the ED Clinic/Home Transfer order will be replaced by Expected ED Admission Activity in Epic.
The ED Clinic/Home Transfer process historically has been completed via an Epic order that is not user friendly, makes tracking patients difficult for the ED, and includes outdated manual elements. The new process will remain Epic-based, leveraging the Epic-recommended Expected ED Admission Activity workflow. Using this workflow will help ensure that there is a reliable, user-friendly, and consistent process for documenting and locating ED transfer patient information in Epic so that the ED care team is best positioned to support the referred patient. Medicine of Tomorrow
UVA School of Medicine has launched its ninth department, the Department of Genome Sciences, in recognition of the tremendous importance of genetics and genomics research for the medicine of tomorrow.
The new department will be headed by Charles Farber, PhD, who has been leading the Center for Public Health Genomics. The founding of the new department speaks to UVA School of Medicine's long-term commitment to advancing genetics and genomics research. It will enhance the ability to recruit and retain talented faculty and improve the ability to obtain grants to fund that work.
Cellular and gene therapies are key focuses of the UVA Paul and Diane Manning Institute of Biotechnology, which will take the great discoveries from UVA School of Medicine and translate them into new treatments and cures. Read more on Medicine in Motion.

UVA Health Prince William Medical Center Receives Donation of Patient Care Kits
UVA Health Prince William Medical Center received a generous donation from Stohlman Subaru of Sterling. Stohlman Subaru partnered with The Leukemia & Lymphoma Society, (LLS) as part of the national Subaru Loves to Care initiative supporting patients and families impacted by blood cancer. This is the ninth year Stohlman has donated comfort items and messages of hope to patients undergoing cancer treatment.
Every three minutes, a new patient in the United States is diagnosed with leukemia, lymphoma, or myeloma. The treatment and rehabilitation process often can be long and arduous, leaving patients feeling cold, confined, and in a weakened state. The donation of comfort items, warm blankets, and messages of encouragement is just one way Stohlman Subaru is committed to supporting the health and well-being of the community.
"We are deeply grateful for Stohlman Subaru's ongoing commitment to our patients," says Erik Shannon, CEO, UVA Health’s community medical centers and clinics in northern Virginia and Culpeper. "They continue to have a profound impact on the well-being of our community. Their partnership with LLS exemplifies their dedication to making a meaningful difference in the lives of those affected by blood cancers."
This year, the donation doubled to 130 blankets and 30 patient care kits, featuring coloring activities, reusable water bottle, sleep mask, games, and more. The donation also included heartfelt messages from customers and team members. Read the full story on Connect.
