JOINT COMMISSION SURVEY READINESS
Have You Looked at the Ceiling Lately? | We are in the window for the Medical Center’s triennial Joint Commission survey and are asking all team members to help us prepare for success. To meet the Joint Commission’s safe and functional environment standard, ceiling tiles should be intact and free of stains to prevent dust and debris from entering the environment. If you find a defective ceiling tile, notify your manager, or enter a facilities service request for repair. Be sure to include the room number and location to make it easier for the Facilities team to locate the faulty tile.

New Update From Medical Center COO Wendy Horton | This week’s message includes shout outs to three groups – the 6th Floor team in the Battle Building, 5W, and the Special Pathogens Unit. Also discussed are flu vaccinations and the need to remain diligent in taking COVID-19 safety precautions. The message closes with a request for ideas for improving our orientation/onboarding process for new team members. Watch now and submit your orientation/onboarding ideas in the Comments section on Connect.
Central Waiting Areas for Registered Patients Ending Oct. 1 | As part of our COVID precautions, outpatients with appointments are being asked to register from their car and wait to be called into the clinic. To offer patients a respite from waiting in a potentially hot car during summer months, we began offering the additional option of central indoor waiting areas. On Oct. 1, use of those indoor waiting areas will end, and the areas will return to normal use:
- Battle Building – Quayle Conference Room, First Floor
- University Hospital – Dining Conference Rooms, First Floor
- 1222 Jefferson Park Ave. – Conference Room, First Floor
- West Complex – Area near link, First Floor
- Fontaine – Tents will be removed
- Northridge – Tent will remain, but be repurposed
PATIENT CARE
COVID-19 PUI Banner Updated for Improved Accuracy | The COVID-19 PUI Banner appears on the patient chart when COVID-19 related patient information such as symptoms, orders, or histories are entered in Epic, and it clears automatically when certain conditions are met. Thanks to feedback from our care teams, the patient information that triggers and clears the COVID-19 PUI Banner has been updated to align with current guidance from the CDC and to better track patient progress.
If, based on symptoms, you feel a PUI Banner should display on, or be removed from, a patient chart, please contact IP&C by sending an InBasket message in Epic to the Infection Control RN Pool. For time-sensitive questions, page PIC# 1883 Monday-Sunday, from 8 a.m.-5 p.m.

UVA HEALTH IN THE NEWS
Saliva Testing Program Begins This Week, Providing More Rapid Screening (UVA Today) | “We’re proud that the University’s researchers, clinical laboratory personnel from the health system, and numerous staff all across UVA from facilities to student services have been able to work together to offer this rapid saliva testing to our students,” Melur “Ram” Ramasubramanian, vice president for research, said. “This is only possible because of the dedication and sacrifice by many people determined to preserve the in-person experience for our students to the maximum extent possible, safely. It has truly been a team effort.”
UVA Children’s Opening Pediatric Liver Clinic in Richmond (UVA Health Newsroom and Connect) | UVA Children’s is opening a pediatric hepatology clinic in Richmond on Oct. 6 that will provide comprehensive care for children with liver disease, including evaluations for liver transplants. The clinic is part of the UVA Pediatric Specialty Care Richmond clinic, which also features pediatric cardiology care.
Rural Patients Could Get Care at the Library (WVTF/NPR) | UVA nursing professor Pam DeGuzman has been studying the use of library internet facilities to connect nurses with patients who live in rural areas and have no broadband service at home. The approach has been successful and, after three years of study, Guzman has published some of her findings. She is now working on guidelines for libraries and healthcare providers to overcome barriers and offer the benefits of telehealth.
University of Virginia Researchers Work with Virginia Tech Lab on COVID-19 Vaccine (WSLS-Roanoke) | UVA researchers are working with a lab at Virginia Tech to find a vaccine for COVID-19. But even if one is approved, its success depends on how many people agree to take it. A poll of Virginians this month by VCU, shows not only are two thirds against a COVID-19 vaccine mandate, four in ten say they would not get the shot if it was ready right now.

Daily Wellness Attestation (HOOS Health Check) Reminder | Action Required
Our COVID-19 precautions remain in effect, and we are placing added emphasis on having all team members complete their daily Hoos Health Check attestation prior to arriving on Grounds or reporting to work at any UVA Health building/facility.
Daily wellness attestations not only protect the health and safety of our patients, team members and community, but also help you stay aware of your health, report symptoms and know the steps to take if you are experiencing possible COVID-19 symptoms. Ensuring that everyone completes a daily attestation also enables UVA Health to comply with the regulatory requirements related to the accounting and monitoring of team member wellness.
What are team members required to do?
- Complete Daily Attestation: All UVA Health team members, as well as UVA students, faculty and staff, are required to complete the daily health check prior to arriving on Grounds or reporting to work at any UVA Health building/facility.
- If You Have Symptoms, Follow These Steps: If you are not able to attest to feeling well and free of symptoms prior to reporting for work, you are required to:
- Stay home. Do not report to work.
- Contact your manager/supervisor.
- Call Employee Health at 434.924.2013 for further guidance and evaluation of symptoms.
Using HOOS Health Check is a quick and easy way for you to complete daily wellness attestation requirements. More details about HOOS Health Check, how to download the app and access this new tool are available in FAQs.

Diligence Needed | Although we are still in the “new normal” mode when it comes to wearing PPE, we’re hearing reports that reversion to the mean, or “old normal,” is starting to occur around the country. Your diligence in practicing COVID-19 safety measures — wearing masks and eye protection, washing hands frequently and observing social distancing — is still crucial to the safety of our patients, visitors, and team members. Please wear PPE as required and encourage your colleagues to do so, too.
JOINT COMMISSION SURVEY READINESS
Food and Drink Safety Reminder | Personal food and beverages should not be brought into areas that present a risk of exposure to bloodborne pathogens, such as patient care areas. Drinks must be covered, stored, and consumed in a common workstation or other area designated safe from contamination. When you follow these practices, you are helping us comply with the Joint Commission’s OSHA Bloodborne Pathogen Standards and with Medical Center Policy 0066: Food and Drink Restrictions.

PATIENT CARE
Inpatient Flu Screening and Vaccine Program Begins Today | Inpatient units have begun using a nurse-driven protocol to provide flu screening and immunization to patients. Everyone has a role to play in protecting our patients from this preventable disease, and this protocol can only be successful with collaboration among nurses, HUCs, unit leadership, and physicians.
Nurse managers: Use this link to access huddle points and general information for 2020-2021 Flu Season. Email questions.
Visitation Reminders: Designated and End-of-Life Visitors | It is important to remind our visitors of the policies that are now in place, including:
- Designated Visitors - When not at the bedside, designated visitors cannot wait in the public areas inside the Medical Center. Instead, they should wait outside, in their car or other off-site location.
- End-of-Life Visitors - Only two designated visitors are permitted for end-of-life visitation. Additional visitors should be encouraged to connect virtually, using one of the iPads that have been deployed to each unit for patient/family virtual visits. More information can be found here.
Want to Help Update Visitor Guidance Communications? | Patient Experience Officer Bush Bell is forming a workgroup to look at visitor guidance communication. The goal is to refresh and clarify the information being communicated to team members, patients, and visitors. Participation will require attending 1-2 meetings. If interested, email Bush Bell.

How, and When, Will We Know That a COVID-19 Vaccine Is Safe and Effective? (The Conversation) | UVA Health scientist and infectious diseases specialist William Petri, MD, predicts that “Based on the status of the Phase 3 trials currently underway, it is unlikely that the results of these trials will be available before November. But it is likely that not just one, but several of the competing COVID-19 vaccines will be shown to be safe and effective by the end of 2020.”
COVID-19 Discovery in Children May Inform Vaccines, Treatments (UVA Health Newsroom) | New discoveries about the immune response made against a particular part of the COVID-19 virus in children who have the rare but dangerous Multisystem Inflammatory Syndrome in Children (MIS-C) may have important implications for the development of vaccines and immune therapies for COVID-19, according to a new commentary from Steven Zeichner, MD, PhD, of UVA Children’s, and Andrea Cruz, MD, of Baylor College of Medicine in Houston, appearing in the scientific journal Pediatrics. Both Zeichner and Cruz are associate editors of Pediatrics.

“What Arm Are We Using Today?” | This question is being asked around the health system as team members roll up their sleeves to get their flu shot. Instead of large, open-to-all, special clinics, this year’s flu shots are primarily being administered within work groups. Pivoting to this new approach has been made possible by a number of groups, and Director of Occupational Health and Wellness Jon Schuch offers shoutouts to them:
- Jamie Hughes and her Epic team for providing vaccinations to non-clinical groups.
- Marie Perruci-Bailey and her Pharmacy colleagues for providing vaccinations to non-clinical groups.
- Derrick Stone and his HIT team for system design, build, and real-time refinements.
We’re Serving Inpatients During Flu Season, Too | Chief Nursing Officer Mary Dixon sends a special thanks to Linda Edenfield, Nurse Manager, 5 Central, for again serving as program lead for the inpatient flu vaccine program.

Planning Underway for Flu Testing | Planning is underway to ensure testing is available for both COVID-19 and flu for patients who are symptomatic. Although we do not have an early indication of the severity of this year’s flu season, the UVA Lab is working hard to assess and increase testing availability for influenza in the context of the pandemic well before flu activity traditionally begins to peak. Additional testing guidance and availability information will be available in late October.
Even with the availability of testing, the best strategy for navigating this flu season is to ensure you and your loved ones receive vaccinations.
Save the Date: Additional Patient Information Releases to MyChart Begin Oct. 18 | Our next step in complying with the 21st Century Cures Act (also known as Information Blocking) is set for Sunday, Oct. 18:
- Signed Discharge Summaries will become viewable in MyChart at the time of discharge. If the Discharge Summary is not signed at discharge, it will release when it is signed.
- Ambulatory e-Consult notes will become viewable in MyChart when the encounter is closed.
Stay tuned – a comprehensive review is underway to identify any additional electronic patient information that will need to be released on the Oct. 18 go-live date. This review will help ensure we are in compliance when the new law goes into effect on Nov. 2. We will provide updates soon.

Roll-out of UVA Health 2020-2021 Seasonal Flu Plan Starts Today | Flu vaccines are available at UVA Health stating today (Sept. 21) through Nov. 13. Due to COVID-19 precautions, this year’s flu plan will focus on vaccinating team members in their work areas. We ask that you do not go to Employee Health, UVA-WorkMed, or UVA Pharmacy locations for your flu shot; they are not being administered at these locations.
There are plans in place for academic, contract, clinical, office, and telework team members beginning Sept. 21. Options include:
- To-Go Kits: Kits will be provided to work areas with clinicians qualified to administer flu vaccines (inpatient units, ambulatory clinics, and others). Managers will provide details.
- Home Department Vaccinations by Clinical Volunteers: Non-clinical teams and departments (e.g., HIT, Finance, Marketing) will be connected with clinical volunteers who will schedule specific times to offer vaccinations in home department locations.
- Off-Site Providers: Team members can also obtain flu shots from their PCP (including UVA PCP’s) or any outside provider or pharmacy. To receive a sticker to place on your ID badge, you must provide documentation at UVA Employee Health or UVA-WorkMed. Documentation must include two patient identifiers (ex: name and date of birth).
If you have concerns that are not answered in the 2020-2021 UVA Health Seasonal Flu Plan FAQs, please contact your manager. If your manager is unable to assist you, please email Employee Health.

IT Team Rises to Connectivity Challenges Large and Small | During this week’s Magnet site visit, much praise has been offered to our IT team for its support in enabling appraisers to virtually move about our facilities. In today’s Midmorning Management Huddle, Chief of Service Lines Jody Reyes expressed her appreciation to two members of the IT team —- Rich Shelley and Alan Oktay —- who stepped in to help with a smaller, but no less important, connectivity challenge. An ICU patient’s husband wanted to stay in touch with her via iPad, but found he couldn’t do so from his napping place — his truck in the parking garage. Thanks to Rich and Alan’s speedy response, the problem has been solved and a patient and her husband are very grateful. Thank you, IT team, for all you do!

The supporting documentation was submitted to Magnet last year, and now the final step has arrived. Our four-day virtual site visit by Magnet appraisers begins tomorrow, Tuesday, Sept. 15, and will include interviews with about 800 team members.
Chief Nursing Officer Mary Dixon offers some last-minute advice to our colleagues: “Relax, think of all you are proud of in your daily practice at UVA Health, and take this opportunity to shine!” Read the full story on Connect (Note: You must be logged on to the UVA Health network to access this content.)

MERCI Supply Donations Make a Big Impact in Uganda | For several decades now, UVA’s MERCI (Medical Equipment Recovery of Clean Inventory) Program has gathered and sent unused or outdated supplies like scissors, gauze, and absorbent pads to good causes in the Charlottesville area and far beyond, including places like Uganda. The program’s impact on one Ugandan community was described in a recent thank you note:
“I am writing to you so that hopefully you can pass on to everyone at MERCI my sincere thanks for the help they have given me for the past six or seven years. Between 2012 and 2014, I ran a program to build a medical clinic in an area of Central Uganda that was lacking any type of medical service. We opened in January 2014. Since that point, the people at MERCI were donating supplies to our cause, thanks to a worker in that area that attends the same church as me. She made the introductions for us.
Without going to the clinic, it is hard to realize the help that was given to the people of Kitakyusa, Uganda, and the surrounding area. I can attest, having traveled there nine times now that the supplies played a significant part at the clinic. We have added on through the years by building a clean water well and had utility lines moved three and a half kilometers to the clinic to provide real power besides the solar we installed. Last year, the Ugandan Ministry of Health upgraded our clinic to a health center 3 which is right below a full hospital.
The people at MERCI played an important role in all this, and I want to extend my sincere thanks to everyone that has been involved through the years donating the medical supplies to us.
Thank You Very Much,
as the Ugandans would say "Webale Nyo"

To the team members at UVA Health who are working tirelessly to care for our patients, community and each other, we thank you. We will never forget your contributions and sacrifices. Taking A Pause In Observance of 9/11 | Thanks to its creator, UVA palliative care nurse Jonathan Bartels, RN, “The Pause” has become a very sacred and special practice not only here at UVA Health but also among healthcare providers worldwide. As many of you know, “The Pause” is a way of honoring the death of a patient by having the care team take a moment for silent reflection. Today, we encourage everyone in the UVA Health community to take a pause in honor of all who lost their lives on Sept. 11, 2001. May our collective silence serve as a very special tribute to those who died and to their families, loved ones and colleagues who struggled, but persevered, to carry on without them.

Nurses Needed to Provide Flu Shots | Paid Shifts for Volunteered Time | As UVA Employee Health works to finalize details of the FY21 Seasonal Flu Plan (full details coming soon), we are seeking nurses who can volunteer time for paid shifts to provide flu shots for UVA Health team members. Due to COVID-19, this year’s flu plan will focus on vaccinating groups of team members in their work area rather than holding large flu clinics. Inpatient units and ambulatory clinics will be provided To Go Kits so they can vaccinate their own teams. However, volunteers are needed to vaccinate non-clinical teams without nursing members, such as Clinical Engineering, Clinical Labs, and HIT, to name a few. The plan will connect a volunteer nurse (or several nurses) with a non-clinical group leader to organize vaccinations in the non-clinical work areas.
If you are a nurse or have nursing team members able to dedicate one or more 4-hour blocks of time to volunteer for paid shifts (to be paid by Employee Health) between Sept. 21 and Oct. 30, please email employee_health@hscmail.mcc.virginia.edu with available dates and times. Reminder: IPC Determining When Inpatients Can Be Cleared From COVID-19 Isolation Precautions | Infection Prevention and Control (IPC) is continually reviewing patients with COVID-19 and identifying those who have met the CDC’s criteria for symptom-based or time-based clearance from isolation precautions. After being cleared from isolation precautions, patients can safely be cared for on any inpatient unit and will be triaged based on medical need and optimal staffing.
For added details, please review the FAQ document.
- Transferring Cleared Patients to Skilled Nursing or Rehab Facilities - Currently, cleared patients who are being transferred to a skilled nursing or rehab facility may need to be re-tested for COVID-19 before discharge. This helps determine if a patient meets criteria for admission to the receiving facility. A positive test under these circumstances is possible, but does not represent active infection or require isolation precautions. (Explanation: The CDC does not recommend re-testing within 90 days of an initial positive test for potential identification of active infection. Rather, this would represent persistent shedding of viral RNA in the absence of active infection.)
- Isolation Indicator - Team members should rely on the Long-Term COVID-19 Isolation indicator, managed by IPC, in the EPIC storyboard to determine a patient’s need for isolation.

4 Reasons Why the Magnet Site Visit Is a Big Deal for All of Us (Connect) | Our nursing colleagues are making final preparations for the Magnet site visit, which will be conducted virtually by four appraisers Sept. 15-18. The site visit is the final step in the Magnet redesignation process, which happens every four years. Magnet is important for nursing, but it is also important for all of us. Here’s why. (Note: You must be logged onto a UVA Health network to access this content.)
This UVA Health Staple Has Been Invaluable During the Pandemic (UVA TODAY) | First-year student Lydia Hanson and community member Patricia Otterness were matched in the UVA School of Medicine’s Patient Student Partnership (PSP) program last summer. When the pandemic hit in March, Otterness’ social outlets became even more limited, but thankfully she had already had Hanson in her life thanks to their 1½ years in the PSP.

Asymptomatic Testing Update | The UVA Health satellite testing clinic at the Student Activities Building is able to process 50 asymptomatic tests per day for UVA Health team members. Team members who are scheduling appointments at this satellite testing clinic for the purpose of travel should not schedule an additional asymptomatic COVID-19 test at any UVA clinical testing site for 6 weeks in order to preserve testing kits and to be good stewards of this valuable resource.
12 Mental Health and Wellness Resources Students, Faculty and Staff Should Know About (UVA Today) | Even in the best of times, a new semester can bring new stress. This year, as some University of Virginia students, faculty and staff members return to Grounds amid a pandemic that brings its own unique set of challenges, mental health resources and other services will provide especially vital support. Here are some of the many services available to UVA students, faculty and staff.
APPRECIATION
Saluting All Who Care For Patients in Ambulatory Settings | As a recent note from one of our UPG colleagues reminded us, ambulatory care teams across the health system have responded to the pandemic crisis with resilience and positivity despite immense daily challenges. The teams have risen to the challenges of the moment, navigated real-time changes to their work processes, faced lengthy illnesses or the need to self-quarantine, and covered for co-workers who became sick, required quarantine, or were furloughed. In addition, the teams have navigated the changes necessitated by numerous ongoing construction projects, renovations, acquisitions, and other transitions.
Bottom line: Everyone has pulled together, done multiple jobs, worked longer hours, and risked their own health and well-being with one goal in mind: serve our patients.
As fellow Virginian and tennis great Arthur Ashe once said, “True heroism is remarkably sober, very undramatic. It is not the urge to surpass all others at whatever cost, but the urge to serve others at whatever the cost.” Thank you, ambulatory team, you are true heroes in our midst.

Charlottesville Women’s Four Miler | We are thankful for the many ways that our community extends its generosity to UVA Health. As Labor Day weekend approaches, it’s fitting to acknowledge the Charlottesville Women’s Four Miler, an annual walk/run event that, over the years, has donated more than $4 million to the UVA Breast Care Center. In the light of COVID-19, the logistics of this year’s race have been changed dramatically to ensure the safety of its participants: runners will be assigned staggered start times that span four days. A virtual race option is available for those who wish to participate close to home.
We are thankful that race organizers have found an innovative way to proceed with this popular and important Charlottesville tradition and that our Breast Care Center will be one of its beneficiaries. There is still time to register, and we encourage everyone who has an interest in participating or donating to learn more here.

Are You Using the Virginia COVIDWISE App? Here’s What You Need to Know About a Potential Exposure Notification | Team members who receive a notification from the COVIDWISE app about potential exposures are safe to return to work. If further information is necessary, the Virginia Department of Health (VDH) may contact you. Although there may be no further action to take following an exposure notification, we encourage everyone to remain mindful of wearing masks and other PPE as needed and of monitoring yourself for COVID-19 symptoms. For further information about COVID-19 exposures, read FAQs for team members.
- About COVIDWISE – COVIDWISE is the VDH’s COVID-19 exposure notification app that facilitates contact tracing. When people who have downloaded the app are near each other for a period of time that VDH determines to represent a risk (a period which is updated based on the latest research), their phones exchange anonymous keys. Each phone saves the anonymous key of the other phone. The app sends notifications based on distance from and length of time with other people. It does not account for barriers such as walls or mask use. VDH uses information from the app as a data point to determine if contact tracing is necessary.

Shout Out to Nurse Preceptors at UVA Health | We join School of Nursing leaders in expressing our gratitude to the nurse preceptors who went above and beyond this spring and summer to ensure that our advanced practice nursing students – a group of 95 enrolled in either the Master of Nursing Science or the Doctor of Nursing Practice programs — not only amassed enough clinical hours to be eligible to sit for certification exams but also were able to graduate on time. Preceptors helped 90 (95%) of those students complete the clinical hours needed to take their certification exams and begin working as advanced practice nurses at a time when the world needs them most acutely. Thank you, preceptors. Thank you, too, all advance practice nurses who help us provide exceptional patient care during this most challenging time! Read more on Connect.

PATIENT CARE
IPC Determining When Inpatients Can Be Cleared From COVID-19 Isolation Precautions | Infection Prevention and Control (IPC) is continually reviewing patients with COVID-19 and identifying those who have met the CDC’s criteria for symptom- or time-based clearance from isolation precautions. After being cleared from isolation precautions, patients can safely be cared for on any inpatient unit and will be triaged based on medical need and optimal staffing.
- Transferring Cleared Patients to Skilled Nursing or Rehab Facilities – Currently, cleared patients who are being transferred to a skilled nursing or rehab facility may need to be re-tested for COVID-19 before discharge.
- Isolation Indicator – Team members should rely on the Long-Term COVID-19 Isolation indicator, managed by IPC, in the EPIC storyboard to determine a patient’s need for isolation.

UVA Pharmacy Billing Updates | Beginning in September, UVA Pharmacy will move patient billing services to the UVA Patient Friendly Billing department. This is the same department that sends bills for all UVA Health services, and UVA Pharmacy billing policies will align with UVA Health’s billing guidelines.
UVA Pharmacy and Patient Friendly Billing are partnering to assist our patients with any confusion this transition may cause, and are working to ensure our patients know that financial assistance and payment plans will remain available to our Pharmacy patients following this transition. Our commitment has not changed — UVA Pharmacy will continue to provide care and access to medications regardless of our patient’s ability to pay. PATIENT CARE
Effective Sept. 1: Medicare Requires More Documentation of Inpatient Positive COVID-19 Test Results for Add-On Payments | On Aug. 17, Medicaid issued updated guidance regarding documentation required to qualify for add-on payments associated with caring for inpatients with COVID-19.
- About Add-On Payments — The Coronavirus Aid, Relief, and Economic Security (CARES) Act provided for an additional Medicare payment of 20% for Medicare inpatients diagnosed with COVID-19 for the duration of the public health emergency. Discharges of Medicare beneficiaries diagnosed with COVID-19 are currently being identified through the following ICD-10 codes:
- B97.29 (Other coronavirus as the cause of diseases classified elsewhere) for discharges occurring on or after Jan. 27, 2020, and on or before March 31, 2020.
- U07.1 (COVID-19) for discharges occurring on or after April 1, 2020, through the duration of the COVID-19 public health emergency period.
- Updated Guidance — Issued on Aug. 17, Medicaid’s updated guidance requires additional documentation associated with add-on payments:
- Test Results Must Be Documented in Epic — For inpatient admissions beginning on or after Sept. 1, 2020, Medicare claims eligible for this 20% payment add-on will NOW be required to have a positive COVID-19 laboratory test documented in patients’ medical records.
- Viral Testing Required — Positive tests must be demonstrated using only the results of viral testing (i.e., molecular or antigen), consistent with CDC guidelines and needs to be documented in the History & Physical or in the Progress Note to support the code selection and submission.
- Testing Window Begins 14 Days Prior to Admission — The test may be performed either during the hospital admission or within 14 days prior to the hospital admission.
- Pre-Admission Test Results Can Be Entered into Epic Manually — Per CMS guidance, a viral test performed within 14 days of the hospital admission can be manually entered into the patient’s medical record to satisfy this documentation requirement.
- Results of Tests Performed Earlier Than 14-Day Window May Be Considered — In some rare cases, a positive test performed more than 14 days before the hospital admission may be considered.

IMPORTANT REMINDER
Social Distancing Required in Hospital Cafeterias and Break Rooms | There have been numerous reports of team members sitting closely together in groups in the cafeteria and not observing social distancing requirements. To support the safety of everyone in our environment, leaders and managers are encouraged to approach these groups and ask that no more than two people sit at each table.
We understand that keeping socially distant can be difficult, especially at times when friends and colleagues traditionally gather together — meals and break times. If someone reminds you to move further apart, please remember that we are all in this together and that social distancing is one way to keep everyone in our work and home environments safe from the spread of COVID-19.
PPE UPDATE
Reminder: Do Not Wear Cloth Masks During Patient Interactions | When caring for and interacting with patients, team members must wear fluid resistant masks. Cloth masks are not fluid resistant, but all hospital-provided masks are. It is acceptable to wear a cloth mask under a hospital provided mask. Please remember to change masks if they become soiled, wet, or difficult to breathe through. For more information, refer to the Universal Masking and Eye Protection Guidelines.

Update: Discontinuation of Transmission-Based Precautions | Based on revised CDC guidance, patient discharge instructions and ambulatory patient instructions have been updated for Viral Illness and Possible Coronavirus (COVID-19) and Coronavirus (COVID-19) Discharge Instructions to include recommendations on duration of isolation using symptom-based, time-based, extended symptom-based or extended time-based, and test-based strategies.
The Coronavirus Discharge Instructions in Epic now have a drop-down menu with all of these strategies included to allow providers to use more specific precaution period recommendations targeted toward a patient’s symptoms, severity of illness, and underlying immune status.
The corresponding Guidance for Communicating COVID-19 Lab Results to Patients has also been updated to reflect these changes. Patients who have tested positive for COVID-19 will continue to have their long-term isolation status managed by Infection Prevention and Control (PIC 1883). Please consult IP&C for any questions about the recommended duration of isolation using any of these protocols.

UVA Health Orientation-Day 1 Contingency Plan Remains In Effect | As a reminder for managers with any incoming new hires, travelers, rehires who have been away for more than one year, and Talent Flex (temporary) staff who are required to attend UVA Health Orientation, the contingency plan for UVA Health Orientation-Day 1 remains in effect. This means that there is no in-person orientation session in the Education Resource Center, no manager-new hire lunch in the cafeteria, and no afternoon in-person tech session at 999 Grove Street.
The current on-boarding process includes the following:
- Managers:
- Review the Remote Onboarding Guides for New Hires and Managers
- Contact each new team member and make arrangements for their first day, whether meeting onsite or coordinating remote work.
- Inform new team members that they can complete their CBLs on Health Sciences Library computers, but they may want to wait until off hours (evenings and weekends). Why? Fewer machines are available due to social distancing guidelines and team members use them during business hours for hospital-related purposes.
- New team members:
- Will receive an email notification when Talent Support has cleared them to start; managers will be copied on this email.
- Will receive separate emails regarding additional training they may need, including Epic, Revenue Cycle, and Orientation to Patient Care.
If you have further questions regarding UVA Health Orientation or your departmental onboarding process, please send inquiries to AskHR@virginia.edu.

PATIENT CARE
Update: New Workflow for COVID-19 Screening and Testing of Admitted Patients Needing Surgery or Procedures | As of Aug. 4, the RN Admission process has been expanded to include screening patients for COVID-19. This step will better ensure that all patients are screened for COVID-19 and, if needed, assessed and tested before arriving in procedural areas.
- Current Risk: It is required that patients who live or work in a congregate setting (or screen positive due to symptoms) be tested for COVID prior to procedures. Inpatients inconsistently receive RN COVID screening upon admission. As a result, some inpatients are arriving to procedural areas for potentially aerosol-producing procedures despite living or working in a congregate setting.
- Solution: Add the RN COVID screening process to RN admission process. If a patient screens positive for symptoms, the patient’s LIP will assess whether or not a COVID test is ordered.
If a patient screens positive for living/working in a congregate setting AND later in the patient’s stay a procedural order is placed, a BPA will fire triggering the ordering LIP to also order a COVID test prior to procedure. The patient will not be considered a PUI at this point. Once the test is ordered, an alert will appear in the patient’s chart for the RN to perform the COVID test.
- Practice Implication: All admissions will have an RN COVID screening completed. For patients who live or work in a congregate setting AND will be undergoing a procedure, the procedural LIP will need to order a COVID test prior to procedure. It is recommended the LIP speak directly with RN to ensure testing is completed in a timely manner and not delay the procedure. Standard work on COVID testing when disease is NOT suspected can be found here.
- Resources: Workflow tip sheets are available for COVID screening and treating for admitted patients:

TEAM MEMBER SAFETY AND WELL-BEING
Launching Aug. 11: New Team Member Wellness Attestation Tool | HOOS Health Check | Beginning Tuesday, Aug. 11, HOOS Health Check will help members of the UVA community remain aware of their health and know the appropriate steps to take if they are experiencing any possible COVID-19 symptoms that could affect their well-being and put others at risk. As part of this University-led initiative, students, faculty, staff and UVA Health team members will complete a daily health check each day that they are coming to Grounds or reporting to work at any UVA Health facility through the free HOOS Health Check app or the HOOS Health Check website (Edge, Chrome and Safari compatible). This new tool replaces the daily team member wellness attestation that UVA Health team members, researchers and other groups on Grounds have used this summer.
UVA Health team members must complete the daily health check prior to your scheduled shift. If you are experiencing symptoms, ensure you complete the health check in accordance with your department/unit attendance policy for advance notice of an absence. If you are not able to attest to feeling well and free of symptoms, you are required to:
- Stay home. Do not report to work.
- Contact your manager/supervisor.
- Call Employee Health at 434.924.2013 for further guidance and evaluation of symptoms.
This new tool will make it even easier for each team member to complete this required task, stay aware of their health and report any possible COVID-19 symptoms before reporting to work and putting others at risk. More details about HOOS Health Check, how to download the app and access this new tool are available in FAQs.

Team Member COVID-19 Testing Scenarios (When to See Employee Health) | Following are a few scenarios to help provide clarity on the resources team members should use for COVID-19 testing:
- All team members who are experiencing symptoms of COVID-19 (including but not limited to fever, cough, shortness of breath, new nausea/vomiting, new diarrhea, new loss of smell/taste) should contact Employee Health. Once screened and symptoms are assessed, the team member may be referred for testing at the COVID-19 Clinic.
- If a team member has had contact with a COVID-19 positive individual, they should contact Employee Health even if they have sought care and a testing referral from their care provider.
- Testing of asymptomatic individuals/team members following an exposure may only be referred by specific groups including the Health Department, Student Health, or Employee Health after appropriate evaluation.
- Team members who need COVID-19 testing for personal travel, work, or school seek a testing referral from their care provider. (Please be sure the date of entry/travel is provided to ensure testing and results will return in time.) At this time, COVID-19 Clinic is only able to perform asymptomatic testing for travel, work or school based on the availability of testing supplies.

Infectious Disease Physician Discusses Pool Testing Option for Universities (WVIR- NBC29) | Virginia Gov. Ralph Northam has suggested that pool testing for COVID-19 may be an appropriate approach to tracking the health of large, low-risk groups, such as UVA students who will soon return to grounds. Pool testing can save resources such as reagents, which are now in short supply. However, Dr. Amy Mathers, an infectious disease physician at UVA Health, says pool testing does have some shortcomings.
