Annual Steam Outage

Operations
HIT to Implement Cybersecurity Enhancement Measures
Health Information Technology (HIT) will implement preventive measures to protect patient data and help ensure uninterrupted care. Beginning June 28, it will roll out two security features for all team members:
- External Email Flag: All emails from external senders will be flagged. This external email warning will help alert users and help prevent them from clicking malicious links in emails sent by external senders.
- Report Suspicious Email Button in Outlook: Team members can use the “Report Suspicious Email” button in Outlook to report junk and phishing messages. Reporting these emails helps us protect data and teaches the Microsoft filters to catch spam and suspicious email before it arrives in inboxes. Temporarily Closed: Gift Shop
June 28-July 15 | The University Medical Center lobby gift shop will be closed for two weeks starting June 28. It will reopen on July 15. During this period, the shop will be transitioning to Lori's Gifts, a leader in hospital retail gift shops. We look forward to providing an enhanced shopping experience for our patients, visitors, and team members.
Construction Update: Fontaine Research Park
Fontaine Research Park is undergoing an exciting and significant transformation with the development of the Paul and Diane Manning Institute of Biotechnology. Good news: the blasting component of this project is ahead of schedule and will be complete soon. Because of this, we will be returning to previous parking operations earlier than expected. Starting Monday, July 8:
- U9 permit holders will be able to return to parking at Fontaine Research Park.
- Valet parking will no longer be provided.
- There will be a reduction in golf carts, but traffic control will be maintained.

Surgery Wayfinding: Name Change Is Coming Soon
A day-of-surgery wayfinding improvement project is underway — a big component of which is a name change to University Hospital’s second floor registration area. Currently called “OR & Procedure Check In,“ this space is used to register patients and welcome visitors waiting for patients in surgery. With the combination of patients registering on the second floor (direct admits, main OR surgery, Cath Lab, and IR), we are excited to share the new name to globally direct patients and families: “Admitting and Surgical Waiting.” Signs will start transitioning the first week of July. This phase of the wayfinding project will include directional signage from the Battle Building, parking garages, and surrounding areas.

SMLP Seeks Clinical Shadowing Volunteers
The UVA Summer Medical Leadership Program (SMLP) welcomed the 2024 class on June 3 and is seeking faculty to provide clinical shadowing opportunities for students. SMLP is a medical enrichment program for pre-med students from underrepresented and disadvantaged backgrounds. If you can host SMLP scholars for shadowing between now and July 11, please register. Pride Month | Creating a Welcoming Environment for All
A team member recently sent a note to University Medical Center CEO Wendy Horton, MBA, PharmD, FACHE, about feeling welcomed to UVA Health. After obtaining permission from the author, we wanted to share it with you:
“As a member of the LGBTQ community, married to another woman, it can be difficult to be oneself in certain environments. I have worked at hospitals where people are speaking of spouses and sharing stories, and I know my stories of being a gay woman would not be welcomed, so I tamped down my enthusiasm for joining in those discussions and refrained from sharing our story, anecdotes, pride in my wife, etc. Knowing that I sometimes must refer to my wife as ‘my roommate’ or ‘my best friend’ in order to keep ourselves safe, is very difficult. Not being able to fully be one's authentic self is disheartening, to say the least.”
“Then, I arrived at UVA Health. Your culture of inclusion here was evident from Day 1. I've been welcomed, with no exceptions, since I started. No one bats an eye if I casually mention ‘my wife’ in a sentence. I've never needed to change my wording to make anyone else comfortable here and you're a big reason why it is that way. Being Pride Month, I felt it was important to acknowledge that to you and to thank you for fostering that culture of inclusion and authenticity here. If the rest of our country was as welcoming to individuals of my community as UVA Health is, we'd be in a much better place as a whole. Thank you for all you're doing. (Also: I loved the rainbow lights on top of the South Tower!)”

On World Refugee Day, UVA Health Clinic Serves Local Refugees
As the United Nations commemorated World Refugee Day (June 20), a UVA Health clinic marked more than 20 years of serving refugees in Central Virginia.
Founded in October 2002, the International Family Medicine Clinic provides comprehensive, timely, culturally sensitive, and high quality healthcare for the region’s refugees and special immigrant visa holders. Since its creation, the clinic has cared for more than 4,500 patients from 84 countries who speak 79 different languages. The most common countries of origin include Afghanistan, Iraq, Bhutan, Nepal, Myanmar, Democratic Republic of the Congo, and Syria.
The clinic works closely with the International Rescue Committee and the Blue Ridge Health District, which provides initial health screenings before the International Family Medicine Clinic becomes the refugees’ primary care provider.

Celebrating Juneteenth
Wednesday, June 19, marked the fourth year since Juneteenth was officially recognized as a federal holiday. June 19 commemorates a pivotal moment in American history when the Union army announced the liberation of over 250,000 enslaved Black individuals in Texas on this date in 1865, representing a crucial step toward the end of slavery in the United States. Throughout June, we have come together under the theme, “Jubilee, Justice and Joy!” to commemorate this historic moment of triumph.

UVA Health Opens Outpatient Laser Eye Surgery Clinic
UVA Health is opening an outpatient eye surgery clinic offering laser vision-correction procedures, including the well-known LASIK surgery.
UVA Health LASIK Northridge is now open at Suite 130 inside Northridge Medical Park, located at 2955 Ivy Road in Charlottesville off U.S. 250 and just minutes from U.S. 29. Along with LASIK, the clinic offers photorefractive keratectomy (PRK) surgeries; both procedures use lasers to gently reshape the cornea to treat nearsightedness, farsightedness, and astigmatisms. HIT Will Launch New Service Management System
On June 20, the Health Information Technology (HIT) team will implement ServiceNow, an industry-leading, user-friendly application for managing information technology (IT) customer service tickets. As an IT service management system, ServiceNow provides improved visibility into ticket status and allows team members to designate colleagues on a ticket watch list, which will promote transparency for issues that impact teams or units. The day centered on the presentation of five group capstone projects that covered topics central to the UVA Health 10-year strategic plan, with a reception in UVA’s historic Rotunda capping off the day and the months-long journey for HLI participants. New: FAQs on H&P Note BPA
In response to questions on the Epic changes that went live on June 7 to help facilitate timely and complete history and physical (H&P) notes prior to procedures and upon hospital admission, a new set of frequently asked questions (FAQs) has been developed to address the common feedback themes that we have heard: H&P Notes BPA FAQs.
As a reminder, all patients must have a history and physical (H&P) note within 30 days of a procedure that requires moderate or deep sedation or general anesthesia, per Patient Care Documentation (Electronic Health Record) Medical Center Policy. In the interest of patient safety, compliance with patient care documentation policies is non-negotiable. Physicians, advanced practice providers (APP), and clinical support team members should be reminded of the following:
- H&P notes for ADMISSION TO THE HOSPITAL must be completed WITHIN 24 HOURS in a comprehensive manner, including relevant medical and social history.
- Use only approved H&P note templates in Epic for procedures that require moderate or deep sedation or general anesthesia.
- Effective May 31, scheduled, non-emergent procedures will not go forward if there is no H&P within the prior 30 days and an interval H&P note. Both must be present.
- Documentation is not mandatory before an emergency procedure or emergency intubation.
- Several Epic updates went live on June 7 to help facilitate timely and complete H&P notes prior to procedures and upon hospital admission. Find supporting tip sheets for these changes on the Epic Learning Library:

UVA Health University Medical Center has been honored with the LGBTQ+ Healthcare Equality Leader award from the Human Rights Campaign Foundation for its equitable treatment of lesbian, gay, bisexual, transgender, and queer patients, visitors, and team members.
UVA Health University Medical Center earned the best possible rating of 100 in the foundation’s 2024 Healthcare Equality Index.

Advance Care Planning Document Types Now in Epic
Advance Care Planning (ACP) documents are the legal documents that express the patient’s medical decisions and preferences. New ACP document types will now display in Epic, including Durable DNR and Physician Orders for Life-Sustaining Treatment (POLST) documents. In addition, there is a new process ensuring all ACP documents are reviewed by a specially trained ACP team in Health Information Management (HIM) prior to being visible in Epic to ensure the health care team is accessing the most up to date version of a legally valid document. Advance Care Planning Document Types Now in Epic
Advance Care Planning (ACP) documents are the legal documents that express the patient’s medical decisions and preferences. New ACP document types will now display in Epic, including Durable DNR and Physician Orders for Life-Sustaining Treatment (POLST) documents. In addition, there is a new process ensuring all ACP documents are reviewed by a specially trained ACP team in Health Information Management (HIM) prior to being visible in Epic to ensure the health care team is accessing the most up to date version of a legally valid document. All patients must have a history and physical (H&P) note within 30 days of a procedure that requires moderate or deep sedation or general anesthesia, per Patient Care Documentation (Electronic Health Record) Medical Center Policy. In the interest of patient safety, compliance with patient care documentation policies is non-negotiable. Physicians, advanced practice providers (APP), and clinical support team members should be reminded of the following:
- H&P notes for ADMISSION TO THE HOSPITAL must be completed WITHIN 24 HOURS in a comprehensive manner, including relevant medical and social history.
- Use only approved H&P note templates in Epic for procedures that require moderate or deep sedation or general anesthesia.
- Effective May 31, scheduled, non-emergent procedures will not go forward if there is no H&P within the prior 30 days and an interval H&P note. Both must be present.
- Documentation is not mandatory before an emergency procedure or emergency intubation.
- Several Epic updates went live on June 7 to help facilitate timely and complete H&P notes prior to procedures and upon hospital admission. Find supporting tip sheets for these changes on the Epic Learning Library:

Should you have any questions about medication dosing alerts that display in Epic, email the Medication Alerts Workgroup (CLMedicationAlertsWorkgroup@uvahealth.org). Any dose limit change requests will be reviewed by the Epic Medication Alerts Optimization Group, which is composed of representatives from pharmacy and physician informatics leaders.

HIT Will Launch New Service Management System
On June 20, the Health Information Technology (HIT) team will implement ServiceNow, an industry-leading, user-friendly application for managing information technology (IT) customer service tickets. As an IT service management system, ServiceNow provides improved visibility into ticket status and allows team members to designate colleagues on a ticket watch list, which will promote transparency for issues that impact teams or units. On June 3, Accounts Payable (AP) launched a new form to streamline Check Requests and Emergency Payments submissions. This form, integrated with the AP system, enables shorter processing times for payments and the ability to track these requests.
- Using the form | Going forward, please submit all requests using this new AP Invoice Request Form. Note: it must be fully completed for the invoice to be processed; incomplete submissions may result in processing delays. AP has prepared a Quick Reference Guide to assist with completing and submitting the form.
- Submitting | Please begin submitting all Check Requests (formerly demand payments), Emergency Payment Requests, and any other non-standard, non-current invoices through the new submission form. The existing process for standard PO invoices and the ePro Demand Payment remains the same.

‘Testament to Human Fortitude’
The UVA Health Trauma Team recently supported and participated in the Trauma Survivors Network (TSN)’s Annual 5K Race to Rebuild to honor trauma survivors and the challenges they face every day.
UVA Health University Medical Center CEO Wendy Horton joined the scenic Monticello Trail event. “It was truly inspiring to see our community come together to celebrate the strength and resilience of trauma survivors,” says Horton. “Their courage is a testament to human fortitude and the incredible work of our trauma care teams.”
Gabriele Ford, FNP-C, AG-ACNP-BC, Trauma Surgery Service, organized the event to bring together trauma survivors and families to share information about the recovery process. (Pictured from left: Gabby Ford; and Val Quick, Trauma Program Manager.)
“A small but mighty group!” hails Ford. “Each time I connect with the trauma survivors, I learn so much, and it was great seeing my patients and their families outside the hospital."
The American Trauma Society (ATS) developed the Trauma Survivors Network in 2008 to help trauma centers provide the support and services patients and their families need during their recovery from serious injuries.

New Check Request and Emergency Payment Submission Form
Effective Monday, June 3 | Accounts Payable (AP) launched a new form to streamline Check Requests and Emergency Payments submissions. This form, integrated with the AP system, enables shorter processing times for payments and the ability to track these requests.
- Using the form | Going forward, please submit all requests using this new AP Invoice Request Form. Note: it must be fully completed for the invoice to be processed; incomplete submissions may result in processing delays. AP has prepared a Quick Reference Guide to assist with completing and submitting the form.
- Effective Monday, June 3 | Please begin submitting all Check Requests (formerly demand payments), Emergency Payment Requests, and any other non-standard, non-current invoices through the new submission form. The existing process for standard PO invoices remains the same.

Testing the Emergency Notification System
Tuesday, June 4 | 10:50-11 a.m. | The University will test all components of its emergency notification system. When the test is over, a “test complete” message will be issued. Spring PTO Cash Out
Through Sunday, June 9 | University Medical Center and UPG team members: The PTO Cash Out window opened May 30. If you have over 40 hours of PTO as of May 25, you may request a PTO cash out until June 9. The June 14 paycheck will include the cash-out payments. Review your applicable PTO balances by clicking on Absence Balance in Workday and selecting May 25 in the “As Of” field. Find additional details or refer to the May 30 email from UVA Payroll.
