Remain Vigilant Against COVID-19

Many of us have likely seen reports of increased COVID-related illness within our community, which serves as a reminder for us all to continue taking steps to help control the spread of COVID-19. Within our own facilities, we are experiencing slightly higher numbers of COVID cases among our patients and team members. As we enter the Memorial Day weekend, we would like to encourage all team members to remain vigilant; stay home when sick or experiencing symptoms or illness is confirmed with an at home or other test. Please remember that walk-in testing is available at the COVID Clinic West Complex for team members experiencing symptoms. All team member testing options are outlined on the Employee Health website.

Patient Care

Update: IV Iodinated Contrast Shortage

Given current and expected incoming supply, UVA Health will be able to resume scheduling all patients (including Tier 1) for procedures and CT scans that require the use of IV iodinated contrast beginning Monday, May 30. It is imperative that all clinical teams continue all current efforts to conserve IV iodinated contrast and indicate “radiologist to recommend need for IV contrast” on any orders for an IV contrast CT. Annual Parking Permit Renewals Due

Deadline: Tuesday, May 31 | If you hold a UVA parking permit, you should have received an email from Parking & Transportation about the 2022-2023 renewal process. No action is needed to renew your permit if you currently pay by payroll deduction and want to renew the same permit for 2022-2023 via payroll deduction. However, if you pay by cash, check, or credit card, or if you do not wish to renew your parking permit, please call Parking & Transportation at 434.924.7231 or visit the website by May 31. 

Medical Center close-in parking fees will increase by $5/month. Northridge, Fontaine, and the UVA Orthopedic Center Ivy Road will increase by $1/month. Blue & Red bus commuter permits will increase by $1/month. If you are a Medical Center team member, the full cost of the commuter permit is reimbursed to you each month. Medical Center Self-Evaluations Must Be Submitted by Monday

Due: Monday, May 30 | Medical Center team members are required to complete their year-end self-evaluation, which can be found in your Workday inbox. Fiscal year 2023 goals should be documented in the goals section of the evaluation. All UVA Health team members must have at least one professional development goal. Medical Center team members must also have one goal related to patient progression/access. Resources and additional details about the fiscal year 2022 performance process, including the timeline for Classified Staff, can be found on the UVA Health Performance website

Appreciation

Nursing Professor Remembers the Missing

On Memorial Day, we remember those who lost their lives protecting our country and our freedoms. Terri Yost, a University of Virginia assistant professor of nursing and a retired Army officer with 20 years of service, is one of many examples of how UVA Health intersects with veterans and our military. Terri spent time finding and returning the remains of missing service members lost on foreign battlefields. The work is often tedious – sifting dirt for bone fragments – and takes place in some of the world’s most remote and inhospitable places. But, she said it is rewarding to play a small part in an effort to provide families closure. Thank you to those who lost their lives fighting for our country and those like Terri who carry on their legacies. Read more about Terri’s story on Connect

Nation Gun Violence Awareness Day | Wear Orange

Friday, June 3, marks the eighth annual observance of National Gun Violence Awareness Day, also known as “Wear Orange Day.” Gun violence is a public health crisis, and it affects us all. Acts of domestic terrorism occur far too frequently: the news of yesterday’s unimaginable mass shooting at the elementary school in Uvalde, Texas, and similar shootings just a few weeks before in New York and California. These events are shocking, painful, and frustrating. Singularly, they are horrific; collectively, they take a toll on our mental health and work directly counter to the mission that we work so hard to fulfill — to preserve life and relieve pain and suffering. To the victims of gun violence, their families, or anyone who is affected by these events: You are not alone. Next week, UVA Health will be lighting the South Tower orange from June 1-3, in a show of solidarity. If you, a colleague, or a friend is hurting, counseling services are available via FEAP at 434.243.2643.

Update: IV Iodinated Contrast Shortage

To support our teams in their management of the critical shortage of IV iodinated contrast, a dashboard tracking current supply and burn rate is now available. Users need to be logged into the UVA Health network/VPN to access the dashboard. Clinical protocols are also accessible from the supply dashboard. Please note: Current inventory of our supply will allow Tier 2 and Tier 3 patients to be scheduled for studies/procedures requiring IV iodinated contrast at this time. Routine follow-up scans (Tier 1) will continue to be postponed until July 1. Beginning the week of May 30, UVA Imaging expects to be able to perform up to 55 contrast CTs per day, subject to supply availability. Information to address patient questions is available on uvahealth.com.

Epic Upgrade: Go-Live Completed Quicker than Expected

HIT Team, Help Desk Now Offering User Support | At 12:10 a.m. today, the Health Information Technology team announced, “The upgrade is complete, and Epic is now available for use. If you have any issues, please contact the Health Information & Technology Help Desk at 434.924.5334.” Last night’s downtime lasted just over an hour, and go-live occurred about 1.5 hours quicker than expected. Construction Impact: McKim Hall

Beginning Wednesday, June 1 | The M10 parking lot on the south side of McKim Hall will be closed to parking to support the construction activities of an additional McIntire academic building, which will be built at the northeast corner of Ruppel Drive and Jefferson Park Avenue. The M10 parking lot will be closed for two years.

UPG Open Enrollment

Through 5 p.m. Friday, June 3 | Open enrollment is a once-a-year opportunity for University Physicians Group (UPG) team members to make changes to their benefits without a qualifying event. Unless changed, current elections will roll over to the new plan year with the exception of flexible spending accounts, which require annual renewal. Today is Dunkin’ Iced Coffee Day, an event that raises money for the Dunkin’ Joy in Childhood Foundation.  Thanks to the generosity of Dunkin’ franchisees in Charlottesville, Ruckersville, Harrisonburg, Waynesboro, and Staunton, 100% of funds raised locally will be granted to UVA Children’s. The Dunkin’ Joy in Childhood Foundation is dedicated to bringing joy to kids battling illness. Since its inception in 2006, it has granted more than $37 million to national and local nonprofits. UVA Children’s Prepares Message to Parents About Baby Formula Resources

In response to the many calls that our clinics have received from concerned parents about the baby formula shortage, UVA Children’s is preparing a message to MyChart users with young children. The message provides a list of resources that can help answer questions, offers important safety reminders and encourages parents and caregivers to talk with their baby’s doctor about any concerns they may have about their child’s health and nutrition. New Equation for Estimating Glomerular Filtration Rate

Effective Immediately | In response to the final report of the National Kidney Foundation and American Society of Nephrology’s Task Force on Reassessing the Inclusion of Race in Diagnosing Kidney Disease, UVA Health will transition to the 2021 CKD-EPI Equation to estimate Glomerular Filtration Rate (GFR) without a race coefficient. The task force endorsed, and UVA Health has adopted, this new equation that refit the prior CKD-EPI equation without use of race in the model. The accuracy and precision of this new equation are similar to the prior equations in use and should result in only modest changes in estimates of GFR for most patients. More detailed information on the new equation and the rationale for this change are described in this six-minute video.

Patient and Visitor Badges No Longer Required in Outpatient Clinic Areas

Effective Tuesday, May 24 | The Visitor Guidance Workgroup has announced that the Welcome Team will no longer issue a badge to patients and visitors going to outpatient clinic areas. However, visitors to inpatient units will continue to be required to check in at an Information Desk and wear a visitor badge at all times. The Welcome Team will continue to provide masks, sanitize hands, and inform guests about our Visitation Guidance

Reminder: Members of the public are permitted to access public spaces such as cafeterias, waiting areas and waiting rooms. “Gatekeeping” into clinical areas such as inpatient units or clinics remain the responsibility of staff in those areas. All team members are requested to help remind patients, visitors, and fellow team members about our mask use requirements.

Certified Nurse Assistant Jobs Added to Earn While You Learn Program

Certified Nurse Assistant jobs have been added to the list of roles eligible for the Earn While You Learn program, which provides paid on-the-job training. The program also includes EMTs and pharmacy technicians, and more roles will be added soon. There are no program costs, and healthcare experience is not necessary. Trainees must be at least 18 years old. If interested in the Earn While You Learn Program, please complete this form.

One of the Best Maternity Hospitals

UVA Medical Center recently earned a spot on Newsweek’s 2022 list of America’s Best Maternity Hospitals for its care of new mothers and babies. Only 161 hospitals nationally earned the publication’s highest rating – five ribbons – for maternity care. Newsweek’s ratings are based on three factors:

  1. A national survey of hospital managers and maternity care specialists that asked them to recommend top maternity hospitals
  2. A review of key hospital performance data related to maternity care, such as a hospital’s rate of cesarean births
  3. A review of patient satisfaction data, such as how patients rated hospital staff for their communication and responsiveness

Inpatient Homeless Consult Service

This non-billing consultation service is provided by medical student advocates who have extensive training in the aspects of community resources and engagement. Advocates will support any admitted patient experiencing homelessness and will work with the primary team to do the following:

The consult service is currently limited to inpatient units and does not cover the Emergency Department. Discharging a patient who is experiencing homelessness can be complex and challenging — and is part of the reason this population has high rates of readmission. Providers are encouraged to contact the consult team as early as possible during an eligible patient’s stay.​ To place a consult, anyone from the primary team or Social Work team can page 1078 Monday-Friday, between 8 a.m. and 5 p.m.

While we are very proud of our medical, nursing, and graduate students who will be participating in Final Exercises, it’s important to note that none of this would be possible without the committed and dedicated educators and support staff in the School of Medicine and School of Nursing. Whether you taught in an auditorium, an exam room, a lab, online, or anywhere else — thank you! Another class of doctors, nurses, and researchers are well-prepared for the next stage of their careers because of your efforts. Their celebrations are also your celebrations. So, enjoy the weekend!

FDA Authorizes Single Booster Dose for 5-11 Year Olds

The U.S. Food and Drug Administration (FDA) has authorized administration of a single booster dose to children 5-11 years old at least five months after they complete their primary Pfizer series. In preparation for recommendations from the Centers for Disease Control and Prevention, our pharmacy and clinical teams are working with Epic and making updates to our protocol. We expect to begin offering single booster doses to this age group soon. Look for details in an upcoming issue of the UVA Health Update. Read the FDA press release.

Are You Hiring a Student? Ensure Compliance By Using Workday and Following I-9 Process

UVA is currently out of compliance with I-9 documentation for student hires. Continued compliance issues can lead to potential fines to non-compliant departments as well as a negative impact to UVA’s credit rating. It is important that hiring managers and representatives ensure that students are not working in a position until they have been hired in Workday and completed their I-9 process. Due Monday, May 30 |  We are two weeks away from the May 30 due date for FY22 self-evaluations, which can be found in your Workday inbox. FY23 goals should be documented in the goals section of the evaluation. All UVA Health team members must have at least one professional development goal. Medical Center team members must also have one goal related to patient progression/access. Medical Center Team Members: Submit PTO Cash Out Request

May 19-29 | Medical Center team members with over 40 hours of accrued paid time off (PTO) may submit a PTO cash out request between May 19-29. Instructions will be sent via email on the morning of Thursday, May 19, and posted on the UVA Payroll website. Certified Nurse Assistant Added to Earn While You Learn Program

Certified Nurse Assistant jobs have just been added to the list of roles eligible for the Earn While You Learn program, which provides paid on-the-job training. The program also includes EMTs and pharmacy technicians. More roles will be added soon. There are no program costs, and healthcare experience is not necessary. Trainees must be at least 18 years old. If interested in finding out more about the Earn While You Learn Program, please complete this form.

ROSE Reopening to Give Office Supplies New Life

Tuesday, May 17 | 9:30 a.m.-2 p.m. | Medical Center Dining Conference Rooms 1 and 2 | The Reusable Office Supply Exchange (ROSE) Program is a free service that collects new or gently used office supplies. The ROSE Supply Closet will be available once a month for dropping off office supplies or taking what you need. It includes a variety of supplies, like envelopes, staplers, and desk lamps. Going Green for Mental Health Awareness Month

May is Mental Health Awareness Month. On behalf of Partner for Mental Health (PMH), Sen. Creigh Deeds and Del. Rob Bell have requested that the Virginia Capitol building be lit green for a week in May as a show of solidarity to Virginians with mental illness and those who love and care for them. PMH is also organizing a local effort to commemorate Mental Health Awareness Month and highlight the direct mental health services available to the Charlottesville community. On May 16, the Albemarle County office building will be lit green and the Charlottesville City Council will adopt a proclamation acknowledging the month and the impact of mental health on community well-being. In support of mental health awareness, starting tonight, UVA Health will be lighting the South Tower in green, too. Other Charlottesville organizations are participating and lighting their structures, including Sentara Martha Jefferson, City Hall, Albemarle County Public Schools, and several proprietors on the Downtown Mall. Thank you to all team members who care and support our patients who struggle with mental health. Your work is an inspiration for us all. Additionally, mental health resources for our own team members can be found on the Faculty and Employee Assistance (FEAP) and the Wisdom and Well-Being websites.

The UVA Diagnostic Vascular Laboratory recently received Vascular Testing accreditation by the Intersocietal Accreditation Commission. The team received accreditation in the areas of Extracranial Cerebrovascular Testing, Peripheral Arterial Testing, Peripheral Venous Testing, and Visceral Vascular Testing at several locations. This is an incredible accomplishment that is a result of quality patient care and documentation of those efforts. Congratulations to the team, and thank you for your pursuit of excellence!

Manager and Team Member Alert: Encourage Participation in Press Ganey Culture of Safety Survey

Survey closes Monday, May 16, at 11:59 p.m. | In a communication sent on Friday, May 6, managers received instructions for accessing the Press Ganey Engagement Portal to review their team’s survey completion rates. With the survey deadline approaching, managers are asked to encourage their teams to take the survey and help us better understand attitudes and opportunities related to our safety culture.

Clarification: New State Telework Policies Do Not Apply to UVA, UVA Health

Last week, the Virginia Governor’s office announced a new telework policy for Virginia employees. This new policy does not apply to University Staff here at UVA and UVA Health, because Virginia law authorizes colleges and universities to establish and follow their own personnel policies. For these employees, the University’s current policies on teleworking will remain in effect. The Governor’s order will, however, apply to about 680 “classified” employees who work at the University. Spark Innovation Competition: First-Round Winners

Nearly 300 outstanding and diverse ideas were submitted during the Spark Innovation Competition. The team members who submitted ideas represented over 80 departments, units, and centers of UVA Health located across Virginia. The awards committee selected first-round winners based on the potential of their ideas to positively impact the clinical environment and culture of UVA Health. May 9-13 | A warranty update will be performed on our Jaco computer cart fleet. The maintenance will be performed by Health Information and Technology (HIT) along with a technician from Jaco Corporation and will take approximately 15 minutes per cart.

Telework: New State Policy Under Review

UVA Health team members may have received a recent email communication from the Office of the Governor announcing a new policy regarding telework for all state employees across the Commonwealth. UVA leadership and UVA HR are reviewing the details of the new policy and the overall impact on the UVA workforce. Please continue to operate under current policies and procedures until further notice.

Donations Needed: School of Medicine Students Build Trauma Kits for Ukraine

Deadline: Sunday, May 8 | The Mulholland Society, UVA School of Medicine's student government organization, is partnering with Mideast Rescue to provide trauma kits to rescuers and care instructors in Ukraine. These kits include tourniquets, wound packing gauze, chest seals and trauma shears, and cost about $45 to assemble. To pay tribute to this special group, our Professional Nursing Staff Organization (PNSO) has posted a special report on its website honoring these team members and spotlighting reflections and inspiration from their colleagues. In addition, signage and wall displays featuring these team members will be in the walkway near Higher Grounds in the University Hospital cafeteria and on table tops at celebratory picnics throughout next week.

Weekly Prevalence Testing of Unvaccinated Team Members Suspended

Effective Immediately | Team members who are not fully vaccinated against COVID-19 will no longer be required to complete weekly prevalence testing at this time. There is a possibility that prevalence testing will be reinstated in the future if warranted by changes in COVID-19 case numbers and other factors. As a reminder, prevalence testing is separate from diagnostic testing, which is performed on individuals who have symptoms, have possibly been exposed to COVID-19, or otherwise have been directed to get tested. Update: Critical Iodinated IV Contrast Shortage

The critical IV iodinated contrast shortage is expected to have an impact on our operations until at least July 1. Several steps are being taken to preserve IV iodinated contrast for emergent use. Read details and action steps on Connect.

Adenovirus Testing Recommended for Children with Unexplained Hepatitis

In conjunction with the CDC, the Virginia Department of Health is currently investigating an association between acute hepatitis and adenovirus 41 following a cluster of reported cases from Alabama this past fall with more recent cases in the U.K. To assist in the investigation, UVA Health is asking providers to follow two steps when children present with hepatitis of unknown etiology:

  1. Test | Testing is recommended for those 16 years old and under. PCR is the preferred methodology for detecting adenovirus and can be performed on respiratory specimens, stool or rectal swabs, or blood. The lab’s respiratory pathogens panel will pick up adenovirus, and the community GI PCR panel specifically detects adenovirus 40/41. A plasma PCR test can also be ordered as a send out.
  2. Report | Notify Infection Prevention and Control (extension 40260), who will assist with reporting any cases to the local health department of children under 10 years of age with aspartate aminotransferase (AST) and alanine aminotransferase (ALT) levels greater than 500 of unknown etiology — with or without adenovirus testing — since October 2021 and going forward.

May 9-13 | A warranty update will be performed on our Jaco computer cart fleet. The maintenance will be performed by Health Information and Technology (HIT) along with a technician from Jaco Corporation and will take approximately 15 minutes per cart.

Schedule for work will be dependent on adherence to the plan and availability of carts for maintenance.

Min Lee Named Chief Operation Officer for UVA Medical Center

Min Lee, MBA, MHA, will become Chief Operating Officer for UVA Medical Center on June 27. Lee is currently the vice president of operations at Reading Hospital in Pennsylvania, where she oversees the McGlinn Cancer Institute, imaging services, laboratory services, pharmacy services, emergency management, security services, clinical engineering, construction management, and central transport. Saturday, May 7 | 8 a.m.-noon | UVA Primary Care Center | Registration required | Get a free skin cancer screening by a UVA dermatologist and learn about skin cancer protection. Donations Needed: School of Medicine Students Build Trauma Kits for Ukraine

Deadline: Sunday, May 8 | The Mulholland Society, UVA School of Medicine's student government organization, is partnering with Mideast Rescue to provide trauma kits to rescuers and care instructors in Ukraine. These kits include tourniquets, wound packing gauze, chest seals, and trauma shears, and cost about $45 to assemble. UVA Cardiac Surgery has earned a distinguished three-star rating from The Society of Thoracic Surgeons (STS) for its patient care and outcomes in isolated aortic valve replacement (AVR) surgery. The three-star rating, which denotes the highest category of quality, places the UVA Health Cardiac Surgery program among the elite for AVR surgery in the United States and Canada. Historically, approximately 4%–8% of participants receive the three-star rating for isolated AVR surgery. Congratulations to the team and thank you for your hard work to achieve this highest-possible rating!

There is a nationwide iodinated IV contrast shortage that has an immediate impact on patient care operations. To help manage this serious shortage, all patient care teams will need to take steps to ensure we have iodinated IV contrast available for critical needs and lifesaving interventions. Each area in the hospital using contrast has been asked to assess and limit use and create action plans to help manage available supply to meet patient care needs.
