Memorial Day Observance

On Monday, we observe Memorial Day — a day for looking back in gratitude and ahead in anticipation. We look back to honor those who sacrificed their lives while serving in the military. We also look back to honor our team members and all others who have put their lives on the line to protect our country and its citizens. Shifting from looking back to looking ahead, Memorial Day marks the start of summer, a time to enjoy vacations, family gatherings, and outdoor activities. Wherever and however you spend this holiday, stay safe and well. To all team members who will spend the day caring for our patients, your service is appreciated!

Vascular Team Exceeds Patient-Care Standards Amidst Pandemic | The Vascular Quality Initiative recently recognized the Division of Vascular & Endovascular Surgery for outstanding performance for long-term follow-up during the COVID-19 pandemic in 2020. In fact, the team exceeded the 90% benchmark! Thank you to the doctors, nurses, access team members, coordinators, and other team members who assist with vascular surgery for providing continued exemplary care.

Visitor Restrictions Easing

In response to guidance from the CDC, recent updates from the University, from the Governor’s Office, and in addition to lower COVID positivity rates and declining COVID census, visitor restriction policy and team member guidance has been revised, effective June 1, 2021. In all service areas restrictions are eased, some back to pre-COVID policies. Please see the updated Visitor Restriction Policy: Team Member Guidance-Effective June 1 on the COVID Resource site. Parking and Transportation Modifications | Memorial Day Holiday | The University Transit Service bus and Health System Transit shuttle service will not operate Monday, May 31. Team members may park in the South Garage on Crispell Drive and 11th Street Garage (level D and above only) Monday, May 31, midnight-11:59 p.m. The Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes, from 7:20 a.m. to 7:45 p.m. UtoCar will operate normally.

Final Call: I-9 Forms Are Due | Last Day for In-Person Documentation is Thursday, May 27 | If you were hired as a UVA Health team member between April 1, 2020, and April 30, 2021, please check your email for a message from HR about providing documents to complete your I-9 form (Employment Eligibility Verification) in person. Completing this form is a requirement of employment at UVA Health.

Nominate a Team for the Charles L. Brown Award | Deadline: Monday, June 21, 5 p.m. | The annual Charles L. Brown Award for Patient Care Quality goes to a care team who has worked to improve quality and patient safety. Thank You for the Pop-Up Clinic | UVA Health has been hosting pop-up COVID-19 vaccination clinics each Friday on Charlottesville’s Downtown Mall. Kristin Dinwiddie, who works across Grounds, recently attended one of these and shared her experience. 

Last Friday, she and her husband went to the Downtown Mall. Dinwiddie says they were afraid they might have to stand in a long line in the heat while masked, but were surprised by the speed of the process. They arrived right at 3 p.m. and were not met with a long line but by UVA Health team members “who made the registration process simple and pleasant. The nursing staff was great, not surprisingly, but while we were sitting having coffee afterwards, one of the registration staff was walking by and stopped to check on us.”  This was service and care that she described as “above and beyond.”

Although she works on the Academic side, Dinwiddie says that “the UVA Health team made me super proud to be a distant member of the UVA Health family.”

Thanks to all who have a hand in making these pop-up vaccination clinics such a success. (And thanks to Kristin for taking time to share her appreciation for the team. Kind words are always welcome!)

New Mask Policy Now in Effect

In response to new guidance from the CDC and recent updates from the University, the UVA Health mask policy revision reflects these updates while maintaining the highest level of safety for patients and team members. Emergency Department to Offer COVID Vaccine to Patients | Starts Tuesday, May 25 |The Emergency Department is launching a pilot program through which patients will be offered the Johnson & Johnson vaccine between 11 a.m. and 5 p.m. seven days a week. Nurses and residents will help identify patients who are interested in getting vaccinated. Happening Tonight: Pop-Up COVID-19 Vaccination Clinic | Sprint Pavilion on the Downtown Mall | 3-6 p.m. | Weather permitting, UVA Health is hosting pop-up COVID-19 vaccination clinics each Friday on Charlottesville’s Downtown Mall. Pfizer vaccine is available for anyone age 12 and older. Johnson & Johnson vaccine will be available to anyone ages 18 and older. Vaccine recipients younger than 18 must be accompanied by a parent or guardian. No appointment is necessary.

UVA Health Vaccination Totals | Updated Wednesday, May 19 | The Community Vaccination Center at Seminole Square remains the hub of UVA Health’s vaccination activities. The COVID Vaccination Call Center team, 675 vaccinators, and 162 volunteer screeners and greeters have helped to make it all possible. UVA Health continues to support vaccination events for underserved communities and recently launched a mobile clinic program to provide convenient access to those who find it difficult to visit the Seminole Square center.

On Saturday, May 15, Lindsey Daugherty, Nina Hedrick, Jordan Meeks, and Melissa Redding, RNs on 7 Acute Pediatrics, hiked 21 miles to raise awareness for childhood cancer through CureSearch for Children's Cancer.

“We hiked in honor and in memory of some of our patients that we have worked with on the seventh floor,” says Daugherty. “There were 65 hikers this weekend, and all together, we raised over $243,000.”

Daugherty, Hedrick, Meeks, and Redding are still accepting donations on their team page, Hoos4ACure, which has raised over $9,300 so far. The nurses are also collecting new and gently used men's, women's, and children's shoes for CureSearch. Donations can be dropped off in the 7 Central break room. Special Delivery to UVA Children’s

To protect the environment and lift the spirits of sick kids, balloons from the University of Virginia graduation events were donated to UVA Children’s this morning. The eco-friendly initiative originated in the office of UVA President Jim Ryan in 2019 and returns with the resumption of graduation events this year. After the delivery, the balloons will be placed into temporary storage to ensure there are no infection concerns before th­­­ey are distributed in the children’s hospital at a later date.

Clinical Decisions Unit Ribbon Cutting | On Friday, May 14, we officially opened the new Clinical Decisions Unit. This event marked an important milestone in Phase II of the University Hospital Expansion project, which demonstrates an ongoing commitment to providing the best treatment possible in an environment designed for the highest quality, patient-centered care. With 10 private rooms, we increased our Emergency Department’s capacity as well as created a new dedicated space allowing for a short course of treatment for patients who are not able to be quickly discharged or may need further diagnostic testing, lab work, or interventions. This special unit also ensures the ED care team is able to optimize its space for those requiring acute assessment to provide faster turnaround times. Additionally, the efficiency of the ED care team is enhanced and allows for timely resuscitative efforts in dedicated treatment spaces. None of this could be accomplished without the extraordinary contributions and collaboration of so many teams, including Emergency Medicine, Facilities, Operational Readiness, Clinical Engineering, Health Information and Technology, Environmental Services, and many others. Thank you for your dedication to creating superior care modules and advancing emergency medical care for our patients.

Still Uncertain About Getting Vaccinated? Employee Health Launched a New Service Just for You

Employee Health (EH) has created a new one-on-one service that makes a UVA Health expert available to speak with anyone who is hesitant to get vaccinated against COVID-19. EH asks everyone requesting this service to describe the type of person they would be most comfortable speaking with – gender, race/ethnicity, role at UVA Health, etc. Once this information is provided, EH will connect you with an expert who matches your description and can answer your question(s). Reminder: Universal Masking is Still Required in UVA Health Facilities | The Centers for Disease Control and Prevention released new guidance yesterday, May 13, that allows fully vaccinated people to stop wearing masks indoors. This guidance does not apply to healthcare settings, however, and everyone is still required to wear masks at all times in UVA Health locations. We keep you updated about any further changes in CDC guidance.

COVID-19 Vaccine SmartPhrases Simplify Patient Notification | Clinics are encouraged to use updated SmartPhrases to notify parents via MyChart that 12-15 year-olds are now eligible to receive the Pfizer COVID-19 vaccine. The current English and Spanish SmartPhrases are as follows:

ERC Pharmacy Adds More Vaccination Appointments for Team Members | Expanded Schedule Begins Monday, May 17 | The ERC Pharmacy reports that its pilot program of providing Pfizer COVID-19 vaccinations to team members two afternoons a week has been successful and will expand. Appointments are now available Monday through Thursday from 1-3 p.m. Team members can self-schedule their first doses, and second dose appointments will be booked during initial vaccination visits.

Patient Care

In Response to Provider Feedback, Epic Autocorrect Feature Has Been Removed | The recent Epic upgrade included a new autocorrect feature to help avoid ambiguous abbreviations. This feature created unintended consequences, such as autocorrecting “cc” to “ml” and requiring use of SmartLists upon entry of common abbreviations such as “dc.” In response to feedback from providers, this feature was removed as of 10 a.m. on May 14.

Regional Gas Shortage Update | As we continue to monitor the impacts of the regional gas shortage resulting from the ransomware cyberattack on the Colonial Pipeline, we wanted to provide you with an update on our ongoing efforts to maintain regular operations at the Medical Center. UVA Health leaders are working closely with the University, as well as local and state governments, to ensure we have the necessary fuel supplies to maintain our patient care operations. Please note:

Webinars Offer Mental Health Support | Millions of Americans — including your colleagues, friends, and family — are affected by mental health conditions each year. It’s important to know how common mental health conditions are so we can work together to reduce the stigma about mental health and accessing care. As a UVA Health team member, you have many free resources available to support your mental health. FEAP and Hoos Well offer free, monthly webinars about ways to manage mental health issues like depression, stress, anxiety, and more, including two webinars this month, listed below. Kid girl is about to receive a COVID-19 vaccination shot

UVA Health To Begin Scheduling COVID Vaccine Appointments for Kids Ages 12-15 | Following federal government authorization of Pfizer’s COVID-19 vaccine for children ages 12-15, UVA Health has begun scheduling appointments for eligible kids. The first appointments for this age group are available on Friday, May 14, at the COVID-19 Community Vaccination Center at Seminole Square, located at 393 Hillsdale Drive in Charlottesville. Appointments are required, and all children under 18 must be accompanied by a parent or guardian. 

Appointments can be scheduled by calling 434.297.4829 (4VAX) between 8 a.m. and 8 p.m., Monday through Saturday. Appointments can also be scheduled online.

COVID-19

Asymptomatic Saliva Testing Update: Appointments and Closures| As announced last week, saliva tests are now being used for all asymptomatic COVID-19 testing for enrolled students and UVA employees. Beginning Tuesday, May 25, all tests will be conducted at the Student Activities Building (SAB) off Alderman Road near Scott Stadium. Parking is available on site. Weekly Pop-Up COVID-19 Vaccination Clinics | Sprint Pavilion on the Downtown Mall | Fridays, 3-6 p.m. | Starts Friday, May 14 | Weather permitting, UVA Health will be hosting weekly pop-up COVID-19 vaccination clinics on Charlottesville’s Downtown Mall. Johnson & Johnson vaccine will be available to anyone ages 16 and older. Vaccine recipients younger than 18 must be accompanied by a parent or guardian. No appointment is necessary.

Reminder: I-9 Forms Are Due | Last Day for In-Person Documentation is Thursday, May 27 | If you were hired as a UVA Health team member between April 1, 2020, and April 30, 2021, please check your email for a message from HR about providing documents to complete your I-9 form (Employment Eligibility Verification) in person. Completing this form is a requirement of employment at the Medical Center.

Happy Birthday, Central Registration Call Center! | One year ago today, the Central Registration call center was launched. This call center is responsible for registering patients for outpatient and ambulatory services, but with a COVID-era twist. To allow for  social distancing and minimal contact, patients phone in from their cars and are called back when providers are ready to see them. The call center is staffed by 18-20 Revenue Cycle team members, including those from Patient Access, Pre-Arrival, and Billing, and fields an average of 1,300 calls per day. Operating this call center has helped our patients to feel safe — and be safe — when visiting the Medical Center for their care. Thank you to this outstanding team and congratulations on celebrating one year of success!

ERC Pharmacy Is Making It Easier for Team Members to Get Vaccinated | Appointments Available on Tuesdays and Thursdays | Team members can self-schedule first-dose COVID-19 vaccination appointments at the Education Resource Center (ERC) Pharmacy on Tuesdays and Thursdays from 1-3 p.m. Twelve first-dose appointments for the Pfizer vaccine will be available each week. Second doses will be scheduled during the initial vaccination visit and also administered at the ERC Pharmacy. Vaccination appointments for team members are also available at the Seminole Square Community Vaccination Center.

Update: Pharmacy Team Among Groups Able to Use Service Elevators During Pilot Program | Starts Wednesday, May 12 | Members of the pharmacy team are among those who will be authorized to use service elevators 23 and 24 in the hospital’s west elevator bank during a 30-day pilot program set to start this week. Team members working in Transport, Supply Chain, EVS, Food and Nutrition Services, and Facilities will also be authorized to use the elevators during the pilot. By restricting use of the service elevators to specific groups, the pilot aims to reduce delays and improve delivery times for food, supplies, and equipment.

University Hospital Service Elevator Pilot | Starts Wednesday, May 12 | In an effort to reduce delays on the service elevators in the West elevator bank, Elevators 23 and 24 will be restricted for use by team members working in Transport, Supply Chain, EVS, Food and Nutrition Services, and Facilities. The pilot is expected to run for 30 days. Its goal is to improve delivery times for food, supplies, and equipment.

Thank You, Hoos Building Bridges Honorees! | The University of Virginia launched the Hoos Building Bridges Awards in 2019, building on a vision President Jim Ryan outlined in his first Opening Convocation address — a University community of people who, when in doubt, “build a bridge.” These awards celebrate cross-disciplinary partnerships and projects among UVA team members, and honor recipients for their leadership, collegiality, and effort in establishing strong relationships that help get things done across Grounds. This year’s honorees faced many unusual challenges amid the COVID-19 pandemic, but managed to bring others together in many different ways, from setting UVA up to transition to Zoom last spring, or rapidly enacting isolation and quarantine protocols, to finding new ways to serve pediatric patients in Southwest Virginia. This fiscal year’s evaluations will use a modified year-end review process that includes two open text boxes to summarize 2021 and write goals for 2022.
