Construction Alert: Lee Street Parking Garage Door Replacement
Dec. 1-9, reopens Tuesday, Dec. 10 | Facilities Management will be replacing double doors connecting the Lee Street Garage to the Connecting Tower. This will occur on the 2nd level (A) and will not allow access from the garage parking directly into the Connecting Tower on the 2nd level. During this time, handicap spaces will be blocked off and rerouted to other floors. Please anticipate some delays in parking and patients getting to appointments. Questions, contact Otis Hackett.

Blood Drive: Your Donation Is Urgently Needed
Wednesday, Nov. 27 | 10 a.m.-3 p.m. | Battle Building, First Floor, Quayle Learning Center, 1204 West Main St. | Red Cross is experiencing critically low levels of blood supply, particularly those with type O blood. One in seven patients admitted into the hospital will need a blood transfusion. Donations, especially during the holiday season, tend to decrease while the need for donations increases. Sign up to donate by emailing Sharon Jones at giveblood@uvahealth.org. Swag alert: In the spirit of Friendsgiving, when you donate blood now until Dec. 8, you will receive two pairs of custom Friends + Red Cross socks. Details.

IV Fluid Shortage Update
From Nov. 22: We are still awaiting information from both Baxter and our distributor, Owens & Minor, on what allocations will be as we move toward the end of the year. While we are hopeful for updates soon on future fluid supplies, we remain at our same allocation of 60% for most IV fluids, as well as 40% for irrigation fluids. Please continue your actions of planning and conservation to ensure we maintain supplies for the future.

Historically, UVA Health has celebrated the end of the calendar year with a multi-day, multi-site party. This winter, however, we’ll be transitioning our traditional end-of-year celebrations to the new year. Many inpatient and ambulatory clinic teams are being impacted as COVID rates are on the rise in Virginia, flu season has begun, and even pertussis cases are surging across the nation. Winter Weather Safety
To keep everyone as safe as possible, please begin preparing for winter weather events. When severe enough, these events may cause us to modify our operations, alter parking locations and bus service schedules, and require some team members to remain in or near our patient care facilities after their shift ends. - Walk Like a Penguin: Keep yourself safe when traversing slippery or icy surfaces. Shane Anderson, Director of Emergency Management, advises keeping your feet under you and taking small steps (like a penguin!) to avoid falling.
- The UVA Health Status Board is an online hub that communicates team member reporting status and local-level operations status detail for UVA Health medical centers, clinics, and other locations across the health system.
Keep Us Safe by Minimizing Decorations in Your Area (and Know the Guidelines)
State and federal regulatory agencies prohibit decorations in healthcare occupancies unless certain guidelines concerning decorations are observed to ensure the safety of us all. UVA Cancer Center Highlighted on List of Great Oncology Programs
From Becker’s Hospital Review: "The UVA Cancer Center, recognized by the National Cancer Institute as Virginia’s first Comprehensive Cancer Center, has grown into a leader in cancer care, research, and community outreach. UVA Health is committed to pioneering treatments, including offering Virginia’s first MRI-guided radiation therapy and FDA-approved immunotherapy for small cell lung cancer. Serving over 3.2 million people across 87 counties, the program has seen a 50% increase in patient care volume since 2014 and a nearly 500% rise in research participation, backed by $77 million in annual funding. Recent initiatives include launching outpatient CAR-T therapy, a collaborative cancer screening program with Federally Qualified Health Centers, and groundbreaking research on prostate and nerve sheath cancers. To further address disparities, UVA Health experts have proposed strategies to improve cancer prevention in rural and underserved communities, while expanding nurse-led screening programs.” Read more.

Boar’s Head Resort is excited to welcome nearly 2,000 runners, their families, and friends for a Thanksgiving morning to remember supporting the tiniest patients at UVA Health Children’s. Volunteers are needed to support this special event. ‘Big Impact’
The UVA Health Community Paramedicine Program has been honored with the prestigious 2024 Thomas Jefferson Emergency Medical Services (TJEMS) Region “Outstanding EMS Agency” Award. It was presented during a Nov. 20 ceremony by TJEMS Director Peppy Winchel and President John Lye — recognizing the exemplary contributions of the UVA Health Community Paramedicine Program by Community Paramedicine Specialists Patrick Watson, NRP, and Taylor Tereskerz, AAS, EMT-I.
“Although we don’t do it for the recognition, we feel very honored to receive this award,” says Watson. “It proves how the community paramedicine model can make a big impact on healthcare systems and improving the health of patients.”
“We are proud we get to work with our patients each day and this award is humbling and something that substantiates the impact we have made,” says Tereskerz.
The UVA Health Community Paramedicine Program is being recognized for outstanding efforts in reducing emergency room utilization by nearly 75% among the patients they serve, as well as the positive impact they have had on patients’ overall health.

Construction Impact: Parking at Fontaine Research Park
Construction at Fontaine Research Park continues to impact parking availability. To alleviate some frustration and the need to drive between UVA Health and Fontaine, Parking and Transportation has made enhancements to shuttle service frequency and offers reminders of alternative transportation options.
- UVA Health Fontaine Research Park shuttle: Continues to operate between University Medical Center and Fontaine on 30-minute intervals. A Goff Limousine and Bus Company has been hired to provide additional bus service through the construction period. This will increase the bus frequency to every 15 minutes between University Medical Center and Fontaine Research Park. Both shuttles operate weekdays 7 a.m.-7 p.m.
- Afton Express: For commuters from Staunton, Fishersville, and Waynesboro. It provides bus services to Fontaine Research Park. There is currently one morning trip to Fontaine Research Park and two afternoon pick-ups. Free of charge for all UVA affiliates by showing your ID badge.
- Wahoo Commute: Offers various incentives and features to make commuting to Grounds via alternative transportation easier and more worthwhile for employees. Wahoo Commute enables employees to earn cash incentives by commuting via alternative transportation.
Parking and Transportation is closely monitoring the parking situation at Fontaine. Team members are encouraged to use alternative transportation options when traveling to Fontaine. Questions? Email parking@virginia.edu.

Fall PTO Cash Out
- University Medical Center team members: If your PTO balance is over 40 hours as of Nov. 9, you may request a PTO cash out between now and Nov. 24. The Nov. 29 paycheck will include the cash out payments. For details and step-by-step instructions on how to request PTO cash out, please refer to the Nov. 14 email from UVA Payroll.
- UPG team members: The PTO cash out window opens Nov. 28. Check your PTO balances by clicking on Absence Balance in Workday and selecting 11/23/24 in the “As Of” field.
Education Benefit Request Deadline
Due Tuesday, Dec. 10 | The last day for Academic and UVA Health faculty, staff, and team members to submit education benefit requests in Workday for CY 2024 is Dec. 10. To allow plenty of time for review and approval in time for payment in CY 2024, we encourage employees not to wait for the deadline to submit requests. All requests for classes and programs taken in the fall 2024 semester may be submitted in advance of program completion. There is no need to wait for end-of-semester grades.
New Health Savings Participants: Spend Your FSA Balance
Due Tuesday, Dec. 31 | If you're new to the UVA Health Plan Health Savings option in 2025, you can open your HSA in 2025 only after ensuring your Full Healthcare Flexible Spending Account (Full FSA) has a $0.00 balance by Dec. 31. Lung Cancer Awareness Month

Construction Impact: Parking at Fontaine Research Park
Construction at Fontaine Research Park continues to impact parking availability. To alleviate some frustration and the need to drive between UVA Health and Fontaine, Parking and Transportation has made enhancements to shuttle service frequency and offers reminders of alternative transportation options.
- UVA Health Fontaine Research Park shuttle: Continues to operate between University Medical Center and Fontaine on 30-minute intervals. A Goff Limousine and Bus Company has been hired to provide additional bus service through the construction period. This will increase the bus frequency to every 15 minutes between University Medical Center and Fontaine Research Park. Both shuttles operate weekdays 7 a.m.-7 p.m.
- Afton Express: For commuters from Staunton, Fishersville, and Waynesboro. It provides bus services to Fontaine Research Park. There is currently one morning trip to Fontaine Research Park and two afternoon pick-ups. Free of charge for all UVA affiliates by showing your ID badge.
- Wahoo Commute: Offers various incentives and features to make commuting to Grounds via alternative transportation easier and more worthwhile for employees. Wahoo Commute enables employees to earn cash incentives by commuting via alternative transportation.

Lung Cancer Awareness Month

Blood Drive: Your Donation Is Urgently Needed

Operations
IV Fluid Shortage Update
As of Nov. 15, we are continuing to monitor irrigation fluids, which are primarily used by our perioperative team and continue to be severely limited. Looking over data for the past week, we are exceeding our weekly allocation of irrigation fluids, meaning we are now consistently tapping into product that we have on hand but may be unable to replenish over the coming weeks. As such, we will be looking closely at our OR cases for the next week to determine if any postponements may be necessary. At this time, we intend to move forward with most cases, but will keep you informed as decisions are made.
As for TPN fluids, while we did receive an additional shipment last week (Nov. 11-15), our supplies continue to remain limited. Please continue conservation efforts by following the playbooks. While we know this shortage has been going on for some time — and many of you are ready to move into a more routine state — we must ask for your continued diligence. At this time, we hope for higher allocations as we move deeper into the year, but over the next several weeks we must continue to stay the course. Questions? Email IVshortage@uvahealth.org.

To keep everyone as safe as possible, please begin preparing for winter weather events. When severe enough, these events may cause us to modify our operations, alter parking locations and bus service schedules, and require some team members to remain in or near our patient care facilities after their shift ends. UVA Community Health Medical Centers Earn Leapfrog A
For the third consecutive grading period, all three UVA Community Health medical centers — UVA Health Culpeper, Haymarket, and Prince William — earned “A” grades for hospital safety from The Leapfrog Group, a national nonprofit that rates patient care quality. For two UVA Community Health Medical Centers — UVA Health Haymarket Medical Center and UVA Health Prince William Medical Center — this is the 13th consecutive grade A. The hospital safety grades are based on performance measures of patient safety as well as the systems hospitals have in place to protect patients and ensure they receive the best care.

Through Nov. 30 | Labs with fume hoods using variable air volume (e.g., chemical fume hoods, biosafety cabinets) are eligible to register for the challenge now — and in November, keep your chemical fume hood sash to its lowest possible position for safety and savings. Antibiotic Awareness Week
Nov. 18-24 | According to the Centers for Disease Control (CDC), the purpose of the observance is to raise awareness of the importance of appropriate antibiotic and antifungal use and the threat of antimicrobial resistance. This year’s theme is "Fighting Antimicrobial Resistance Takes All of Us." University Medical Center Antimicrobial Stewardship Program leaders Stacy Park, MD, and Heather Cox, PharmD, extend their appreciation to innumerable team members across UVA Health for their ongoing commitment to the safe and rational use of these critical medicines. "I am completely overwhelmed by the continuous support provided by everyone here at UVA Health in helping to meet our strategic plan goal of cultivating healthy communities and belonging for all. From the bottom of my heart, THANK YOU!!!!” declares Chadwick French, System Director of Retail, UVA Health, Morrison Healthcare, about the annual Socktober collection of new pairs of socks for the unhoused.
French reports UVA Health team members generously donated 15,766 new pairs of socks to support those in need in the Charlottesville area — far exceeding this year's goal of collecting 12,500 new pairs! And well more than the 2023 campaign, during which team members donated 11,700 new pairs of socks.
Supporting our strategic plan's Strengthening Our Foundation goal through our philanthropy initiative — Socktober’s annual mission is to keep feet warm, dry, and clean in local communities. Clean socks are the top requested — yet least donated — item at shelters. Living on the street, many unhoused individuals rarely take their shoes off, walk often, and don’t always have access to laundry facilities.

IV Fluid Shortage Update
On Nov. 13, we inventoried our weekly allocation of IV fluids, which was received by our operations late Monday evening. In summary, for many fluids we are now on stable and predictable footing because of your strong efforts to conserve. To every team member who has played a role in our response — thank you for your hard work! We couldn’t be in the position we are in without your efforts.
This week, we also received some good news from Baxter that our weekly allocation for select IV fluids may be increased in the next couple of weeks, giving our clinical teams some needed relief as we approach December. In addition, thanks to our Supply Chain team, we were able to receive a needed delivery of TPN fluids, giving us some additional stock for this critical product.
While all of this is terrific news, we are not out of the woods yet. It continues to be of the greatest importance that we conserve our IV fluids using the tactics outlined in the playbooks. Let’s stay the course, and hope that as we approach the end of the year, we can begin to resume more normalized operations. Thank you again for contributing to this response! Questions? Need to make an update to your UVA Health profile? Previously, Edit Requests for provider and location profiles have been one online form. Now it’s two separate forms: one for employed providers and another one for hospitals/clinic locations. These new forms highlight the different field types, who manages them, and estimated turnaround time for completion. - University Medical Center team members: If your PTO balance is over 40 hours as of Nov. 9, you may request a PTO cash out between now and Nov. 24. Education Benefit Request Deadline
Due Tuesday, Dec. 10 | The last day for Academic and UVA Health faculty, staff, and team members to submit education benefit requests in Workday for CY 2024 is Dec. 10. To allow plenty of time for review and approval in time for payment in CY 2024, we encourage employees not to wait for the deadline to submit requests. All requests for classes and programs taken in the fall 2024 semester may be submitted in advance of program completion. There is no need to wait for end-of-semester grades.

Work is underway to optimize preoperative anesthesia triage and assessment workflows, improving the patient, provider, and team member experience. Thursday, Nov. 14 | Genetic counselors (GCs) are licensed and board-certified healthcare providers who practice in inpatient and outpatient settings in many different specialty areas. GCs assess risk based upon an individual’s personal and family history, help patients and providers navigate the complexities of genetic testing, empower patients in making informed healthcare decisions, and support individuals who may receive a genetic diagnosis. ‘Festive Fun’: More Than 600 Team Members Join 2024 Fall Back to the Future Celebration
Supporting our strategic plan initiative of Best Place to Work, UVA Health University Medical Center welcomed more than 600 team members to its Fall Back Celebration, held annually as clocks retreat an hour — this year, in the very early morning hours of Nov. 3.
"Back in 2015, one of our nurses had a brilliant idea to celebrate this time change with her fellow night shift team members," says Wendy Horton, PharmD, MBA, FACHE, UVA Health University Medical Center CEO. "Since then, they’ve turned what could’ve been a tiring long shift into a fun tradition with snacks, coffee, prizes, and connection. This year, we celebrated again ... enjoying each other’s company and festive fun as the clock wound back!"
“We love this annual opportunity to celebrate our amazing night shift!” says Elizabeth Carey Feola, Rewards and Recognition Specialist, who led the planning again of the celebration that retained the successful "Back to the Future" theme for a second year, kicking off at midnight.

IV Fluid Shortage Update
From Nov. 8: As communicated on Wednesday, irrigation fluids remain severely limited in availability. Based on anticipated needs and projected UVA Health inventory, we are postponing a handful of elective procedures scheduled that require high irrigation fluids (impacted surgeons and patients have been notified). All oncology and pediatric patients will proceed.
The response team continues its work to explore safe product substitutions and alternative suppliers to alleviate the shortage. We would like to recognize the Supply Chain team for delivering several critical wins, including a substitute irrigation fluid for organ prep in transplant and an extra delivery of 3L irrigation saline bags.
We must continue to aggressively pursue safe conservation efforts to minimize the impact to patients. The team at the recently opened UVA Health LASIK Northridge is pleased to share that all UVA Health and UVA academic team members and all UVA students are eligible for a 10% discount on LASIK procedures. ‘Gobsmacked!’
Carter Myers Automotive (CMA) in Charlottesville has delivered a $19,000 check to the Pediatric Cancer program at UVA Health Children’s.
For more than a decade, CMA’s “Fuel the Fight” initiative has been easing the stressful burden of patients’ families over transportation costs to access treatments. CMA President Liza Borches points out the average family coming to UVA Health Children's for pediatric cancer treatments drives about two hours.
“I was kind of gobsmacked, actually,” says Michael Engel, MD, Director, Pediatric Hematology and Oncology. “That’s an amazing amount of money, and I know it comes from many, many small gifts — collectively put together — from across the community …. really big at heart.”
Erin Chandler, UVA Health Associate Director of Development, Children’s Miracle Network Hospitals and Corporate Philanthropy, says funds were raised through employee contributions and a portion of auto sales at CMA dealerships in Charlottesville, Staunton, Lynchburg, and Winchester.
Supporting our strategic plan, Dr. Engel serves patients from across Virginia who come to UVA Health Children’s — which for the fourth consecutive year, has been named the top children’s hospital in the Commonwealth by U.S. News and World Report.

Masking Requirement for Non-Vaccinated Employees
Given that UVA Health’s annual flu vaccination campaign ended on Oct. 31, we are now making adjustments to our masking protocols for unvaccinated team members with an approved exemption.
Effective immediately, all team members who are unvaccinated against the flu with an approved exemption will be required to mask (with medical grade masks) within UVA Health system buildings until March 31, 2025. Clinical areas where masking is currently optional will continue to be optional for vaccinated team members. Additionally, masking will continue to be required in some areas where we have high concentrations of high-risk patients (as noted within your unit). Team members who have not provided proof of vaccination and have not been granted an exemption are considered non-compliant and should contact their manager immediately.

IV Fluid Shortage Update
From Nov. 6: This week, irrigation fluids remain severely limited in availability. This primarily impacts our perioperative patients and team members as these sites are the main areas of use. As previously communicated, our allocation for irrigation fluids remains at 40% of our normal weekly supply, meaning we need to limit our normal weekly use by 60% to maintain a steady and predictable inventory. To date, we are using closer to 47% per week — more than our weekly allocation. Until now, we have been able to maintain our current full operations using a combination of product already on hand (excess over our allocation), some substitute product, and the allocation we receive each week.
The “excess” product we have been using will be gone in approximately two weeks. At that time, we will have only our 40% allocation and substitute products and will have to adjust our case load to match irrigation fluid availability. To help mitigate this issue, urology transfers requiring high volume irrigation will be restricted. Additionally, we anticipate within the next two weeks, we will have to postpone some cases each week that require irrigation until a new source of irrigation fluid is secured. We are working closely with perioperative and clinical leadership to determine what alternative supplies we may be able to obtain, as well as what cases we can reasonably perform each week.
Based on team member feedback, the Pyxis alert highlighting the fluid shortage will be discontinued to alleviate alert fatigue. However, this is not an indication that the shortage has subsided — please continue to safely conserve all fluids that you can — irrigation or otherwise — and reference the playbooks for the latest on our conservation strategies. UVA Health Piedmont Warrenton Practices Complete Full Technology and Networks Integration
UVA Health has reached a significant milestone as UVA Health Piedmont Family Medicine Warrenton, UVA Health Piedmont Urgent Care Warrenton, and UVA Health Piedmont Weight Loss Warrenton integrated to the UVA Health instance of Epic. This transition represents the culmination of dedicated behind-the-scenes work from many teams as it involved significant network and IT collaboration, onboarding and systems training, revenue cycle integration, rebranding, and more.
This milestone is emblematic of that goal, helping us foster connectivity, collaboration, and continuity of care for the patients and providers of Piedmont Warrenton. Our patients will benefit from improved access to their shared records across all UVA Health sites of care, facilitating a better coordinated experience and enhanced outcomes. At the same time, our providers will have access to these patient records throughout the system.

Starting Nov. 11, Use In Basket Messaging to Reach Preop Anesthesia Clinic
Work is underway to optimize preoperative anesthesia triage and assessment workflows, improving the patient, provider, and team member experience. As part of this project, on Nov. 11, the Preoperative Anesthesia Clinic (formerly PETC) will begin using Epic in basket messaging for clinic-to-clinic communication related to patients. This is a change from email that will make it easier for surgical clinics, anesthesia, and perioperative partners to communicate with their counterparts in the Preop Anesthesia Clinic. Starting Nov. 11, use the following Epic in baskets to reach the Preop Anesthesia Clinic:

New Benefit: Discount on UVA Health LASIK Procedures
The team at the recently opened UVA Health LASIK Northridge is pleased to share that all UVA Health and UVA academic team members and all UVA students are eligible for a 10% discount on LASIK procedures. LASIK is not covered by most insurance plans (including the UVA Health Plan). The out-of-pocket cost is $2,500 per eye, so UVA employees and students can save $250 per eye. To receive the discount, simply inform the scheduling team that you are a UVA employee or student when you schedule your initial evaluation with the clinic. To make an appointment, call 434.982.2010.

Safety and Security: Emergency Eyewash Stations
Our hospital has 102 emergency eyewash stations. If you’re in an area in which you work with or around hazardous chemicals or materials, it’s important to know when and how to use one properly. Even better: Protect your eyes, so you won’t have to.
“Eyewash stations are important for team member safety. To ensure that, in any environment where your eyesight may be threatened, you have the appropriate eyewash available. What eyewash stations are not is a substitute for proper eye protection,” says UVA Health Safety Officer Hunter Martin. “Goggles are available from Employee Health for those who need them.”
If the eyes are exposed to hazardous substances like formaldehyde or methylene chloride, serious injury can occur — even blindness. The faster you can flush the substance from the eye, the lower the risk for permanent damage. That’s why there are strict standards for where eyewash stations are located. Read more on Connect.

IV Fluid Shortage Update
From Nov. 1: We want to emphasize a couple of important shortages we are experiencing across our operations. One is Plasmalyte, which remains at critical levels, requiring us to source alternatives. For Plasmalyte users, it remains extremely important that you conserve as much as possible (and use alternative fluids) whenever it is safe to do so. Since we announced the shortage of Plasmalyte on Wednesday (10/30), many of you heard the call and changed practices, allowing us to see steady improvement in our conservation efforts. Please continue these actions, as they are making a noticeable difference.
Another fluid we are closely monitoring is Parenteral Nutrition (PN) components, which remain on shortage and are extremely limited. Please continue to exercise caution and avoid any clinically unindicated PN use. If you have questions about processes, please reference your conservation playbook in the FAQs.
To all of our team members, we want to say thank you. To date, we have been responding to this crisis for approximately four weeks, during which you have been asked to make several changes to the way you safely provide care for our patients. Your efforts have been extraordinary and we are so appreciative. While we would like to say this event is almost behind us, we anticipate we will need to continue conservation efforts until the end of the year, at least, so your continued discipline will remain as important as ever. Improvements to Epic’s Health Maintenance Activity
The most recent Epic upgrade included changes to the Health Maintenance activity in Epic, with an updated design and new functionality. Some clinicians expressed frustration with the additional clicks that are needed to see the completion histories for each topic. We heard you! On Nov. 3, additional improvements were added, letting you see those details on the main report, while still offering the ability to get more information by clicking on an individual topic.

Vivian Pinn, MD, Portrait Unveiled in Recognition of Her Remarkable Career and Impact on UVA School of Medicine
UVA School of Medicine and UVA Medical Alumni Association recently hosted a ceremony in Pinn Hall Auditorium to unveil a portrait of Vivian W. Pinn, MD, honoring her life, leadership, and enduring legacy in the field of medicine.
More than 200 family, friends, supporters, and UVA leaders attended the ceremony when the portrait was unveiled. Dean Melina Kibbe, MD, provided opening remarks, which also included an acknowledgement of the portrait artist, Jonathan Linton, for his incredible vision and artistry in capturing Dr. Pinn’s spirit and strength in the painting.
Dr. Pinn’s portrait is now prominently displayed in Pinn Hall, near the link connecting Pinn Hall with UVA Health University Medical Center and Claude Moore Health Sciences Library. Read more and see photos on Connect.

Fall Back to the Future Celebration
Daylight Saving Time | Early morning Sunday, Nov. 3 | midnight-1:30 a.m. | University Hospital, Cafeteria | Join the night shift at UVA Health’s Fall Back to the Future celebration. Enjoy free coffee and hot chocolate from Higher Grounds, snacks, and giveaways. Talk to representatives from various departments about programs and resources available to you at UVA Health. Rock out to music from the ‘80s in your best fluorescent attire. The Rewards and Recognition team also will deliver items to Pegasus, Call Center, Cardiac Monitoring Unit, and Stacey Hall Lab. Because Higher Grounds has extended its business hours during this celebration, they will close early on Saturday, Nov. 2, and reopen at 7 p.m. (Note: Fall Back to the Future 1:30 a.m. end time is after Daylight Saving Time has begun. The event is 2.5 hours long.)
Operations
IV Fluid Shortage Update
On the evening of Oct. 29, we received our latest allocation of IV fluids from our supplier, and though we are continuing to inventory what products were delivered, we are anticipating a 60% allocation of most supplies with the exception of irrigation fluids, which remain at 40%.
We are starting to see very limited days on-hand of Plasmalyte. It is critical that we are judicious in our use of Plasmalyte and use alternative fluids whenever it is safe to do so. We are working to source additional alternatives so that our Plasmalyte inventory may be preserved for essential use.
In other news, the FDA has granted an extension of the expiration date (use by date) for some IV fluids, meaning we can now use some products past the expiration date noted on the product. This will help boost our supply. At this time, the response team is determining its process for collecting, relabeling, and redeploying these products. In the meantime, do not dispose of any fluids stored at room temperature that are past their expiration date. We expect to have an update on this process by Friday, including specific instructions for how this product will be collected. To access the latest playbooks, visit the FAQs. Questions? UVA Health Piedmont Warrenton Practices Complete Full Technology and Networks Integration
Today, UVA Health reached a significant milestone as UVA Health Piedmont Family Medicine Warrenton, UVA Health Piedmont Urgent Care Warrenton, and UVA Health Piedmont Weight Loss Warrenton integrated to the UVA Health instance of Epic. This transition represents the culmination of dedicated behind-the-scenes work from many teams as it involved significant network and IT collaboration, onboarding and systems training, revenue cycle integration, rebranding, and more.
Today’s milestone is emblematic of that goal, helping us foster connectivity, collaboration, and continuity of care for the patients and providers of Piedmont Warrenton. Our patients will benefit from improved access to their shared records across all UVA Health sites of care, facilitating a better coordinated experience and enhanced outcomes. At the same time, our providers will have access to these patient records throughout the system.

Zoom Phone Project in Progress at University Medical Center
Health Information Technology (HIT) has begun a major project to upgrade phones that are currently on the 2015 BroadSoft Information System (BIS) to Zoom Phone. Old or existing phones will be replaced as needed with an upgraded model of similar size and functionality. HIT has already migrated over 3,000 phones across University Hospital, Battle Building, Emily Couric Clinical Cancer Center, Education Resource Center, 1222 Jefferson Park Avenue, and a few other ambulatory clinics. University Hospital (with exception of the ED) is scheduled to be complete by end of December 2024, with the ED following soon after at the beginning of 2025. Learn more on Connect.
Improvements to Epic’s Health Maintenance Activity Coming Nov. 3
The most recent Epic upgrade included changes to the Health Maintenance activity in Epic, with an updated design and new functionality. Some clinicians have expressed frustration with the additional clicks that are needed to see the completion histories for each topic. We heard you! On Nov. 3, additional improvements are coming, letting you see those details on the main report, while still offering the ability to get more information by clicking on an individual topic.
