LAST CHANCE: Flu Shot Alert — Compliance Deadline Is Friday
Deadline: Friday, Dec. 2 | 5 p.m. | Team Members who do not submit documentation of their flu vaccination to Employee Health or who do not have an approved exemption in place by this deadline will be subject to disciplinary action up to and including an immediate five day suspension followed by termination, in accordance with applicable policies and procedures. The latest compliance data show that most team members have met vaccination requirements, but many have yet to provide documentation:
- Medical Center — 91% compliance
- UPG — 93% compliance
- School of Medicine — 83% compliance
- School of Nursing — 84% compliance
If you are already vaccinated | You must submit documentation to Employee Health by dropping it off at 400 Brandon Ave. in Charlottesville or by emailing it to fluvax@hscmail.mcc.virginia.edu. Your documentation must include two patient identifiers, such as your name and date of birth, and be submitted by 3 p.m. on Friday, Dec. 2 to ensure it is entered into our tracking system, VaxTrax, by the 5 p.m. deadline.

Guidelines for Team Members Who Are Positive For Flu
Flu season is here, and it is important for team members to know and follow these guidelines for being off work:
- Flu positive with fever | Team members need to be off work for at least 24 hours after their fever subsides without antipyretics.
- Flu positive without fever | Team members need to remain off work for at least 24 hours after symptom resolution.
- Work with immunocompromised patients in a protective environment | Team members who work with hematopoietic stem cell transplantation (HSCT) patients and others who are highly immunocompromised must remain off work for seven days after the onset of fever and/or other symptoms and until the resolution of signs and symptoms, including being afebrile off antipyretics for at least 24 hours. A moderate cough may persist, but if all other symptoms are resolved, then it is acceptable to return to work.

Action Required for UVA Basic Health Plan Enrollees: HSAs and FSAs Changing for 2023
Fidelity will become UVA’s administrator for Health Savings Accounts (HSAs) and Flexible Spending Accounts (FSAs) beginning Jan. 1, 2023. If you have a 2022 HSA with Chard Snyder, you have a one-time opportunity to transfer those funds to Fidelity as part of a bulk transfer, which you will need to complete prior to Jan. 13, 2023. Those who choose to stay with Chard Snyder will be required to pay a fee of $4 per month. Read more in the email you received from HR, on the HR website, or on Connect.

Available in Workday | All team members are encouraged to complete this seven-minute learning module. Thinking in advance about what you would do in an active attacker situation could enhance your safety. This Department of Safety and Security training video discusses Run-Hide-Fight, the UVA Alerts emergency notification process, and the importance of reporting warning behaviors that can precede a violent attack. 21st Annual Lighting of the Lawn
Thursday, Dec. 1 | 7-9 p.m. | The event will feature several a cappella and dance groups with the hallmark lightshow to be projected at the end of the night. There will also be an open reception on the South Lawn that includes food trucks with food for purchase, photo stations, free hot beverages and light snacks, ornament decorating, and more. Instead of a Traditional Christmas Tree, Two Team Members Thought This Year Deserved a Tree of Encouragement
If you have walked through the University Hospital recently, you might have noticed a special addition to the second-floor lobby: A Tree of Encouragement. In years past, Gloria Smith, Facilities Planner, and Randal Johnson, Greeter, Patient and Guest Services, have installed a Christmas tree on the second floor, and this year, they decided to make it extra special. The tree features ornaments with words of encouragement, UVA orange and blue decor, and a tribute to the UVA students who were killed in the recent shooting tragedy. “We wanted to do something that would uplift our patients, family, and especially our staff as they walked by,” said Gloria. “Holidays can be very difficult, and a little encouragement goes a long way. Our Tree of Encouragement found a new purpose with the tragedy that occurred recently. We hope that no matter what anyone is facing they can find encouragement in the little things.“ Thank you to Gloria and Randal for an uplifting and comforting decoration this holiday season.

Deadline Alert: All Team Members Must Have Proof of Flu Vaccination on File in VaxTrax by Friday, Dec. 2
All UVA Health team members are required to have documentation of their annual flu vaccination on file at Employee Health no later than Friday, Dec. 2. The latest compliance data show that most team members have met vaccination requirements, but many have yet to provide documentation:

Patient Care
Outpatient Drug Shortage Alert: GLP-1 Receptor Agonists
There is a national shortage of multiple GLP-1 and GLP-1/GIP receptor agonist therapies that are approved for the use of type 2 diabetes and obesity. Shortages are impacting all UVA pharmacies, local pharmacies, and mail-order pharmacies. Impacted agents include Semaglutide, Dulaglutide, and Tirzepatide. The shortages are expected to continue for several months and may worsen and/or extend to other similar therapies. Providers should keep this shortage in mind for patients on these therapies currently and when initiating GLP-1 receptor agonist medication for patients. HIT Now Reviewing and Approving Technology Proposals Annually
Deadline: Friday, Jan. 13, 2023 | As announced, Health Information and Technology (HIT) is no longer accepting and reviewing technology proposals on a rolling basis and has switched to an annual intake cycle. This change aligns with annual budgeting, organizational priorities, and strategic goals. Team members should analyze technology needs and potential acquisitions for the coming fiscal year and submit proposal(s) no later than Jan. 13, 2023, for consideration for the fiscal year 2024 portfolio. Proposals that were not previously selected for support can be resubmitted. Hall Named Administrator of Perioperative Services for UVA Medical Center
Elizabeth Hall, MBA, began her role as Administrator of Perioperative Services for UVA Medical Center on Nov. 26. Hall has served as the Interim Administrator for Periop for the past six months. During that time, she oversaw the opening of the Periop unit at the new Orthopedic Center at Ivy Road, the addition of three operating rooms at UVA Medical Center and the ongoing integration of the Monticello Community Surgery Center into UVA Health. That surgery center made headlines recently when Newsweek named it one of America’s Best Ambulatory Surgery Centers 2023. Read more on Connect.

As we close out the month of November, we’d like to recognize Native American Heritage Month by honoring the important history and countless contributions of Native Americans to our nation. A complex and challenging history, this month reminds us to continually support and share the stories of Native American tribes — both historical and present day. At UVA Health, our hope is to acknowledge, bring awareness to, and celebrate the history, life experiences, and contributions of the Native American Community at UVA Health and broader society. Parking and Transportation Modifications for the Thanksgiving Holiday
The University Transit Service bus and Health System Transit shuttle service will not operate on Thanksgiving Day (Nov. 24) or Friday, Nov. 25. Team members may park in the South Garage on Crispell Drive and 11th Street Garage (level D and above only) on those days. The Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes from 7:20 a.m. to 7:45 p.m. UtoCar will operate normally.
UVA Health Update on Hiatus
There will be no UVA Health Update on Friday due to the Thanksgiving holiday. The Update will resume on Monday, Nov. 28.

Iodinated Contrast Update: Supplies Have Improved for Commonly Used Products
- Readily Available | Omnipaque 350 mg/ml and Visipaque 270 mg/ml in the standard 100 ml vial size
- Inconsistently Available | Vials in smaller sizes (e.g. 10-50 ml) and lower concentrations (e.g. 180 mg/ml or 240 mg/ml)
- Key Lessons Learned | We can improve care while avoiding waste. With that goal in mind, care providers should continue to do the following:
- Use the multi-dosing technique and standard operating procedures to minimize waste of iodinated contrast in low usage areas where 10-50 mL vial use was typical while these continue to be unavailable.
- Order CT scans with “Radiologist to recommend IV contrast” (note: the BPA will be turned off).
Outpatient Drug Shortage Alert: GLP-1 Receptor Agonists
There is a national shortage of multiple GLP-1 and GLP-1/GIP receptor agonist therapies that are approved for the use of type 2 diabetes and obesity. Shortages are impacting all UVA pharmacies, local pharmacies, and mail-order pharmacies. Impacted agents include Semaglutide, Dulaglutide, and Tirzepatide. The shortages are expected to continue for several months and may worsen and/or extend to other similar therapies. Providers should keep this shortage in mind for patients on these therapies currently and when initiating GLP-1 receptor agonist medication for patients. Team members who receive their flu shot through Employee Health will automatically have their documentation entered into VaxTrax. Those who receive their vaccinations at other locations — including UVA Health clinics that use Epic — can get their documentation entered into VaxTrax by dropping it off at Employee Health (400 Brandon Ave. in Charlottesville) or emailing it to fluvax@hscmail.mcc.virginia.edu. Documentation must include two patient identifiers (example: name and date of birth).

South Tower Illuminates for Those Who Were Killed and Injured in Tragic Shooting
Lights of the South Tower will shine blue and orange through Friday, Nov. 25, to honor the lives of Devin Chandler, Lavel Davis, Jr., and D’Sean Perry, as well as the two students injured in the shooting, Mike Hollins and Marlee Morgan. On Saturday, a memorial service was held in John Paul Jones Arena in which thousands attended and many more watched at off-site locations or online. University Hospital hosted viewing locations in the lobby and Dining Conference Rooms for those who wished to watch while working or visiting. During the ceremony, football teammates offered happy memories, UVA leaders spoke of overcoming grief, and others expressed a variety of emotions through speech, song, and video. Provider Update: COVID-19 Therapy Options for Non-Hospitalized Patients
The transmission of variants likely to be resistant to currently used anti-SARS-CoV-2 monoclonal antibodies (i.e., bebtelovimab and Evusheld) is rapidly increasing in our region. When prescribing COVID-19 therapeutics to eligible patients, an alternative approach may be required due to loss of monoclonal antibody activity. Options:
- Nirmatrelvir plus ritonavir (Paxlovid) is our preferred treatment option, and there is no significant evidence that emerging strains are resistant to this antiviral. Drug interactions may limit use in some patients, but many interactions can be safely managed. Contact a pharmacist for help, or try one of these resources: Liverpool COVID-19 Interactions Checker or PAXLOVID Patient Eligibility Screening Checklist and Drug Interaction Tool. Severe renal or liver disease may limit use in other patients, however, a small number of adult patients with severe or end-stage renal disease may be able to access Paxlovid through a clinical trial (contact CovidTrialsUVA@hscmail.mcc.virginia.edu or 855.882.5334 for more information).
- Remdesivir (Veklury) is another antiviral option at UVA. However, treatment must be administered intravenously over three consecutive days. Patients can be referred for remdesivir treatment in the UVA Special Pathogens Clinic (Epic order “Ambulatory Referral for COVID Infusion”).
- Bebtelovimab is currently an alternative option for those unable to take Paxlovid. It is expected, however, that the FDA will withdraw this drug in the near future once the majority of circulating strains are considered resistant. The situation is being monitored closely and additional updates will be provided as more information becomes available.
- Molnupiravir (Lagevrio) may be a consideration for non-pregnant adult patients, but due to lower effectiveness, should only be considered when other therapies are not an option.
- Pre-Exposure prophylaxis with tixagevimab plus cilgavimab (Evusheld) can still be offered to eligible immunocompromised patients or those with a contraindication to vaccination for the time being. However, it is important to encourage patients to continue to use other mitigation strategies, such as vaccination (if eligible), avoidance of contact with those who are ill, and masks and hand hygiene for additional protection. This drug may also be withdrawn by the FDA. Updates will be provided as new information becomes available.

- How do I access PolicyTech?
- PolicyTech can be accessed by using the desktop icon located on all health system computers.
- Users are encouraged to start using PolicyTech and to become familiar with the system. While documents are still available on KnowledgeLink, access will be sunsetted in the near future.

South Tower Goes Purple for Prematurity Awareness
Thursday, Nov. 17, was World Prematurity Day, and the South Tower was illuminated in purple to raise awareness of premature births. Team members in the Neonatal Intensive Care Unit also wore purple to recognize the day. According to the March of Dimes, 380,000 babies in the U.S. are born early each year, which may cause complications and long-term health problems. Thank you to our teams who deliver and care for premature babies and set them on a path for success, even though they arrived earlier than planned.

Change: HIT Now Reviewing and Approving Technology Proposals Annually
Deadline: Friday, Jan. 13, 2023 | As recently announced, Health Information and Technology (HIT) is no longer accepting and reviewing technology proposals on a rolling basis and has switched to an annual intake cycle. This change aligns with annual budgeting, organizational priorities, and strategic goals. Team members should analyze technology needs and potential acquisitions for the coming fiscal year and submit proposal(s) no later than Jan. 13, 2023, for consideration for the fiscal year 2024 portfolio. Proposals that were not previously selected for support can be resubmitted. The Obesity Medicine Association (OMA) recently announced their 2022 award winners at its Overcoming Obesity conference. The six OMA Awards are presented annually to clinicians whose outstanding achievements are deserving of special recognition. Among the recipients was our very own Cate Varney, DO, who received the Steelman-Seim Educator Award for Excellence In Academics. We are deeply saddened by the devastating impact last night’s active shooter event has had on our team members and our community. We send profound sympathies to the families of those whose lives were senselessly taken by such an egregious act of violence. Team Member Advisory: Severe Flu Season Ahead; Get Vaccinated Now
According to Hospital Epidemiologist Costi Sifri, MD, and the Employee Health team, there are four top reasons why team members should get their flu shot without delay:
- The flu season is already on a fast track | In its latest Weekly Influenza Activity Report, the Virginia Department of Health notes that our state’s influenza-like illnesses activity level is “very high.”
- More people are expected to get the flu this year | Due to COVID lockdowns and widespread use of masks and hand sanitizers, very few people had the flu over the last two years, and immunity levels within our communities have dropped. Lower immunity levels, coupled with the return of indoor gatherings and the lifting of masking restrictions, raise concern for a very busy flu season. The U.S. is already seeing a large surge in cases of respiratory syncytial virus (RSV), and Australia had a very severe winter flu season (which occurred during our summer).
- Everyone wants to enjoy the year-end holidays | The holidays are just weeks away, and getting vaccinated is the best way to celebrate them flu-free. Because it takes several weeks for the flu vaccine to become fully effective, the time to act is now.

Medical Center and UPG Offer PTO Cash Outs
- Info for Medical Center Team Members: Medical Center team members with over 40 hours of paid time off (PTO) may request a PTO cash out through Sunday, Nov. 13. Cash-out process instructions were sent via email on the morning of Nov. 3 and are available on the UVA Payroll website. Team members can receive help completing the PTO cash-out process directly in Workday from Workday Digital Assist. Refer to Medical Center Human Resources Policy No. 315 for details on the PTO benefit.
- Info for UPG Team Members: UPG team members with over 80 hours of accrued PTO may submit a PTO cash-out request of up to 40 hours Nov. 17-27. Monday, Nov. 14 | Team members are asked to wear blue to raise awareness about World Diabetes Day, which promotes the importance of coordinated action to confront diabetes as a global health issue. “Education to protect tomorrow” is the theme of World Diabetes Day 2022. The campaign focuses on the need for better access to quality diabetes education for health professionals and people living with diabetes. One in 10 adults around the world — 537 million people — now live with diabetes, and an estimated one in nine people will have it by 2030. National Lung Cancer Awareness Month Events
Lung cancer is the leading cause of cancer death, with only 24% of lung cancers diagnosed in their earliest stages. The five-year survival rate increases as much as 90% when lung cancer is found early through screening. ROTC’s 24-Hour Vigil

On Tuesday, Nov. 8, Erik Shannon was named CEO of UVA Community Health. He has been the interim CEO of UVA Community Health for the past 12 months, during which time his leadership has effectively and swiftly helped integrate UVA Community Health into UVA Health. As respiratory viral season has arrived and the threat of COVID remains, the lab has developed a detailed FAQ document to help providers and care teams understand what testing options are available from the lab for COVID-19, RSV, and influenza. The FAQ includes testing timelines and estimated costs to patients.

Construction Alert | Closures in Lee Street Garage
Monday, Nov. 14, to Tuesday, Nov. 29 | The top level (E) of the garage and select spaces on Levels C and D will be closed for critical repairs to expansion joints. The total impact is 155 spaces. Patients will be directed to park in the 11th Street Garage during overflow times, which may cause delays. It is not anticipated that team members who park in the 11th Street Garage will be impacted. Signage to prevent parking in the impacted spaces will be placed in advance.

5 West Celebrates Big Milestone: 1-Year Without a CLABSI
Congratulations is in order for 5 West because they recently celebrated one year without a central line-associated bloodstream infection (CLABSI)! Ava Speciale, RN, Nurse Manager, credits “attention and dedication to standard practices”and “rigorous review of device necessity and early removal” for their success. She says the ironclad teamwork on the unit is what made this milestone possible. “The 5 West nurses, techs, and health unit coordinators work together as a team and are diligent in their adherence to all elements of the CLABSI prevention bundle. 5 West Leadership (nurse manager/assistant nurse manager) serve as champions and lead unit-based leadership review of metrics with support from our Be Safe quality improvement coach. The 5 West clinical nurse specialist practices with a focused review of device necessity and partners with other providers to maintain device days below benchmark for like units. A special shout out to Kristi Wilkins from the CLABSI coalition for her expertise and consulting in particularly complex maintenance challenges.” Thank you to the entire 5 West team for keeping our patients safe, and congratulations on reaching this fantastic milestone!

Transporters are the feet and wheels of the Medical Center — they are a key component to patient flow through the hospital — and this week honors the team that moves patients, visitors, and equipment. A patient recently wrote to express gratitude, saying, “I wanted to show a little appreciation for your excellent service. Please continue to do the amazing care of a job that you do. You’re a very special group of people, and you’re appreciated more than you know.” Take a moment this week and thank our transport-team colleagues for their extraordinary work. Team members can enjoy food and raffle prizes and talk to representatives from the Rewards & Recognition team, Hoos Well, UVA Police/Safety & Security, and the Faculty & Employee Assistance Program. Leaders will deliver snack boxes to team members who are not able to come to the cafeteria. Main OR Instrument Washers Will be Unavailable Friday Night To Saturday Morning
All instrument washers in the Main Operating Room will be out of service from 9 p.m. Friday, Nov. 4, to 5 a.m. Saturday, Nov. 5. This scheduled downtime is part of the washer replacement project, which has also caused instrument backlogs and delays as work progresses. The next scheduled downtime is 4-8 a.m. Wednesday, Nov. 9, and the project is expected to be completed on Thursday, Nov. 10. The Central Sterile Services team is coordinating additional resources to help triage the most urgently needed items to maintain overall instrument flow. Continue to deliver dirty items to the decontamination area via the standard procedure.

The Virginia Hospital and Healthcare Association (VHHA) recently launched a promotional campaign, “On Board Virginia,” to attract clinical professionals to work at Virginia hospitals. The campaign features information about healthcare career paths, educational opportunities and incentives for students, an interactive hospital job board, information about Virginia hospitals, and the distinct features and amenities of communities across the state. Thanks for Teaching Us About Epic
Every month, Mark Lepsch, MD, Northridge Internal Medicine, educates providers about our electronic medical record (EMR) during the Epic Happy Half Hour, a monthly 20-30 minute webinar focused on improving provider proficiency with Epic. These sessions address key areas of provider EMR workflows:
- Setup of screens, chart review, and navigation
- InBasket skills and management
- Orders: personalization and optimization
- Notes and communication
Providers can tune in for easy-to-access, high-yield information and training. The time spent optimizing skills, screens, and workflows will save time later and lead to more happiness in providers’ daily work. The latest video is a two-part series that helps providers construct smartphrases and a smartlist to automate responses, which will speed the processing of InBasket messages. Epic Happy Half Hour webinars are archived in the Epic Learning Library page (under “Training” and “Provider Programs.”)
Coming Soon: In 2023, the Epic Happy Half Hour will be transitioning from 20-30 minutes per month to the Epic First Five Minutes per month. “We hope to provide advanced skills and lessons in 5-10 minutes per month,” says Dr. Lepsch. “Ideally, even the busiest clinicians will want to invest this time to improve their EMR setup and skills.”
