Branding Tip #5: Updating Your Provider Bio and Headshot on UVAHealth.com
Keeping your UVA Health provider profile up to date is important for both internal and external audiences. Here’s how to make sure your bio and headshot are accurate and aligned with brand standards:
- Adding or Editing Your Biography | To add a new bio or edit an existing one, simply use the Provider Profile Request Form and select ‘New Provider Biography’ (even if you’re making an edit) and complete the form. Our team will write the bio and send it to you for review before posting it on your profile.
 - Requesting Edits to Your Profile Information | If you need to update any other details on your profile, such as contact information or specialties, fill out the Provider Profile Request Form and choose ‘Existing Provider Profile Edit’ as multiple teams manage profile information (including CVO, UPG Enrollment, and Marketing), so be sure to provide all necessary details to help expedite the process.
 - Getting Your Headshot Updated | To maintain brand consistency, headshots must be taken during a marketing-provided studio photography session. Personal submissions of headshots are not permitted, as we ensure all images align with our brand standards.
 - Where’s My Headshot? | If you’ve recently updated your headshot, it may not be in the library just yet. We’re gradually transferring historical headshots to the library and ensuring everything is properly tagged. New headshots are added as photoshoots happen.
 
By following these steps, you’ll ensure that your UVA Health profile stays up to date and professional.

Population Health Program Intake Process
UVA Health’s Population Health team connects patients with services that address barriers to care — such as housing needs, behavioral health challenges, remote patient monitoring, or gaps in follow-up after discharge from the hospital, Emergency Department (ED), or ambulatory appointments.
How to refer a patient | Use the Epic order Population Health Program Intake or complete the flowsheet in the Epic Screening Tool. Briefly describe the concern. A Population Health team member will review the referral and connect the patient to the most appropriate program or service. Tip sheet.
Common referral reasons:
- Readmission risk or complex discharge
 - ED overuse due to unmet social needs.
 - No established primary care provider or difficulty accessing care.
 - Social drivers of health concerns — food insecurity, unsafe housing, or language/literacy barriers.

Join the 2026 BEE Award Committee
Application deadline: Thursday, Sept. 25 | 8 a.m. | UVA Health University Medical Center Nursing Professional Governance Organization’s BEE Award Committee supports meaningful recognition of non-nursing team members — who work with nurses — through the BEE (Being Excellent Everyday) Award. Nominees are University Medical Center team members (excluding physicians) who support patient care. They fill a wide range of roles such as nursing assistants; health unit coordinators; Environmental Services team members; occupational, physical, and respiratory therapists; pharmacists; technicians; transporters; and many others. The BEE Award is presented twice a month. If you’re in a non-nursing University Medical Center role, join the BEE Award Committee to review and vote on nominations, spread awareness of the program, and contribute to recognition efforts for non-nursing team members.

Hope at Work: Expanding Lifesaving Care
"She was only 66 and in excellent shape, but we did not have access to a transplant in India," recalls Indumathy Varadarajan, MD, of her personal loss that continues to shape her work today at UVA Health.
The hematologist-oncologist's maternal grandmother died from acute leukemia, a cancer of the blood-forming tissues.
“She was incredibly close to me and raised me during my childhood,” says Dr. Varadarajan, who grew up in India, graduated from medical school, and moved to the United States.
She completed her residency at Mount Auburn Hospital — the teaching hospital of Harvard Medical School — then pursued a hematology/oncology fellowship at Drexel University/Hahnemann University, followed by a year of specialized training in bone marrow transplantation and cellular immunotherapy.
In 2018, Dr. Varadarajan joined the Division of Hematology and Oncology at UVA School of Medicine. At UVA Health, she specializes in stem cell transplantation and CAR-T (chimeric antigen receptor-T) cell therapy, defined as altering the genes in a person’s T cells, a type of white blood cell — to help attack cancer cells.
Dr. Varajaradan's loss drives her commitment to expanding access to cutting-edge treatments such as cellular immunotherapy — so more families don’t have to face the same barriers. Read more on Connect.

Flu Takes a Dive in ’25: All Team Members to Get Flu Vaccine by Oct. 31
UVA Health is preparing for the arrival of flu season, and we’re excited to announce this year’s flu vaccination initiative: Flu Takes a Dive in ’25.
Getting influenza/flu vaccination is the best way to prevent flu and its complications. The U.S. Centers for Disease Control and Prevention recommend annual flu vaccination for everyone age six months and older. Flu vaccination can lower your risk of getting flu, and it also can lower the risk of having serious illness from flu.
By getting vaccinated, you are also protecting people around you, including those who are more vulnerable to serious flu illness, including babies and young children, older people, and people with certain chronic health conditions.

Friday Football and Parking at Scott Stadium
Friday, Sept. 26 | UVA will be playing against Florida State in a Friday night football game. As such, Scott Stadium parking will not be available to UVA Health team members on Friday. Commuters who normally park there (Red Line, pre-7 a.m. arrival time) will need to shift and park in the John Paul Jones Arena garage. A modified Blue Line bus will be operating. Shout Out to Our Researchers!
While many at UVA Health deliver care to our patients or educate students about the delivery of such care, our colleagues conducting research shape the medicine we deliver tomorrow — and how we deliver it. Examples:
- Nourishing the Brain | The School of Medicine’s Ukpong B. Eyo, PhD, and his team (pictured) revealed the importance of immune cells called microglia in ensuring adequate blood flow to the brain. Doctors may be able to target ailing microglia to battle Alzheimer’s and other neurodegenerative diseases, the scientists believe.
 - Effective "Mismatched" Transplants | Patients with blood cancers can now get safe and effective “mismatched” transplants thanks to advances in blood stem cell transplantation, UVA Health’s Karen Ballen, MD, and colleagues determined. The advances will allow far more people to get the lifesaving treatment.
 - New Organelle | Seham Ebrahim, PhD, and collaborators at UVA and the National Institutes of Health discovered an unknown organelle inside our cells they dubbed the “hemifusome.” The finding could open the door to new treatments for devastating inherited diseases.
 - Explaining Out-of-Body Experiences | Out-of-body experiences — where people feel like spirits disconnected from their physical form — may be a coping mechanism triggered by trauma or overwhelming stress, research from Marina Weiler, PhD, and colleagues suggests.

Population Health Program Intake Process
UVA Health’s Population Health team connects patients with services that address barriers to care — such as housing needs, behavioral health challenges, remote patient monitoring, or gaps in follow-up after discharge from the hospital, Emergency Department (ED), or ambulatory appointments.
How to refer a patient | Use the Epic order Population Health Program Intake or complete the flowsheet in the Epic Screening Tool. Briefly describe the concern. A Population Health team member will review the referral and connect the patient to the most appropriate program or service. Tip sheet.
Common referral reasons:
- Readmission risk or complex discharge
 - ED overuse due to unmet social needs.
 - No established primary care provider or difficulty accessing care.
 - Social drivers of health concerns — food insecurity, unsafe housing, or language/literacy barriers.

Windows 11 Upgrade for All PCs Across UVA Health
UVA Health HIT is upgrading all devices from Windows 10 to Windows 11 as part of our commitment to providing the best tools and technology for enhanced productivity and security. With Microsoft retiring Windows 10 at the end of October, HIT is upgrading existing devices across the health system until the end of November.
In most areas, the upgrade will be deployed to computers automatically and completed after business hours. For departments operating 24/7, the upgrade will be scheduled during slower shifts, affecting only a limited number of computers at a time. For areas where any computer downtime is not feasible, HIT will collaborate with stakeholders to minimize potential disruptions. To prepare, team members are encouraged to back up critical files to network locations like the F: drive or departmental folders. This Healthcare Environmental Services Week — Sept. 14-20 — we take a closer look at unsung heroes of patient care: UVA Health Environmental Services teams at our three medical centers in Northern Virginia.
When patients walk into our medical centers — they are met with a clean, welcoming environment that inspires confidence in the care they will receive. That exceptional level of cleanliness and safety is the result of the tireless effort of Environmental Services (EVS) teams at UVA Health Culpeper, Prince William, and Haymarket Medical Centers. They are an essential force that keeps our locations safe and healthy, supports our clinical teams, and directly impacts patient experience and quality ratings.
Nearly 120 team members-strong across the three medical centers — EVS works with a shared mission: “To provide a safe and healing environment for our patients while supporting our clinical teams to deliver the best possible patient care,” says Dayan Sangha, Director of EVS for Crothall Hospital Services, UVA Health’s service partner.
EVS includes housekeeping, operating room, patient care, floor, linen, and trash technicians, along with management. “EVS is responsible for sanitizing and disinfecting at each facility,” explains Dayan. “Our tasks range from ensuring our public spaces — lobbies, waiting areas, and restrooms — are safe and welcoming, to the daily disinfection of our occupied patient rooms.” Read the full story on Connect.

An Update on the Executive Vice President for Health Affairs
From Paul Mahoney, interim President, University of Virginia: “I am delighted to share that Dr. Mitch Rosner has agreed to serve as Executive Vice President for Health Affairs and Chief Executive Officer of UVA Health for a three-year appointment. As you know, Dr. Rosner has been serving in this role in an interim capacity since late February. His new appointment is effective Monday, Sept. 15.” 
 
“While University leadership at one point considered a national search for a new Executive Vice President, we ultimately concluded that the person in the best position to stabilize UVA Health and lead the organization into the future was already in the role. Many team members within UVA Health advocated for and agreed with this decision — including all 29 clinical and research Chairs, who are giving Dr. Rosner’s appointment their unanimous support. Updated Guidance for COVID Vaccine Administration
From UVA Health leadership: Following up on previous communications related to the 2025-26 COVID vaccine, the Virginia Department of Health (VDH) now has issued a standing order to require no prescription for adults 65 or older and adults 18 and older with at least one underlying condition. For details on this guidance, please see below:
- Adults ages 65 and older: Patients can receive a COVID vaccine in a clinic when ordered by a provider or at a pharmacy without a prescription.
 - Individuals ages 18 to 64 years with at least one underlying condition: Patients can receive a COVID vaccine in a clinic when ordered by a provider or at a pharmacy without a prescription. For information on underlying conditions and COVID, please see guidance from the CDC.
 - Healthy younger adults (ages 18 to 64 years): These patients still require a prescription and are not broadly approved by the FDA to receive an updated COVID vaccine.
 - Children ages 6 months to 17 years: These patients still require a prescription. Current authorizations are limited to children with at least one underlying condition. However, vaccine administration will be based on "shared clinical decision-making" between a guardian and medical provider. Authorized vaccine age ranges for children through 17 years of age are as follows: 
- Moderna (SPIKEVAX, mRNA): 6 months-17 years
 - Pfizer-BioNTech (COMIRNATY, mRNA): 5-17 years
 - Novavax (NUVAXOVID, protein-based): 12-17 years
 
 - Patient communications: We are working to update SmartPhrases in MyChart to allow for clearer communications to our patients.
 - Insurance and third-party payers: At this time, there continues to be uncertainty about when COVID vaccinations will be covered by insurance and/or third-party payers. While off-label use can be considered, patients may be required to absorb some or all of the costs.
 - Team member COVID vaccinations: If a team member would like to receive an updated COVID vaccination, they may visit a UVA Health pharmacy or another participating community pharmacy, or see their primary care provider. Please note that the guidance listed above for patients applies to our team members, as well. This means some team members may need a prescription, and there is currently some uncertainty about insurance coverage. We will keep our team members informed as we receive additional information. At this time, COVID vaccines are not available through Employee Health.
 - Vaccine supply: UVA Health has received its supply of COVID vaccines for patients 12 years and older and will be stocking clinics and pharmacies beginning Sept. 15. We are awaiting supply of vaccines for patients 11 years and younger.
 
Please note that from Sept. 18-19, the CDC’s Advisory Committee on Immunization Practices will be meeting to discuss COVID vaccine administration. Following the outcome of that discussion, this guidance is subject to change.
As new information becomes available, we will provide updates, as necessary.

Fontaine Garage Opens, 100 U9 Spots Converted to Patient Parking
Wednesday, Sept. 10 | The new Fontaine Garage is now open. Thank you for your patience over the past two years as construction has reshaped Fontaine Research Park. We know the detours, limited spaces, and disruptions have not been easy, and we truly appreciate your flexibility and understanding. This milestone marks the first major project completed as part of the Fontaine Master Plan, supporting the vision of a world-class medical research campus. Garage highlights:
- 1,248 spaces across seven flat levels
 - Convenient direct ramps between parking levels
 - Seven ChargePoint Level 2 EV charging stations (13 total EV spaces)
 - Dedicated Zero Emission Vehicle Parking (Level 1)
 - Secure bicycle parking (Level 1)
 - Accommodates U9 Permit parking and future health system commuter parking.
 - Coming later this year: direct UTS Purple Line service between Fontaine and University Medical Center.
 
While the garage is open for use, there are still ongoing efforts to finalize the project. At opening, the bike racks and the lower level of the garage will remain closed, with access becoming available later this year.
With the garage opening, there also will be some changes to the surrounding surface parking lots on both the 400 and 500 sides of the park. Approximately 100 U9 spaces will be converted into much-needed patient parking. Please note the updated signs and park accordingly. In addition, the drive aisles between patient parking lanes will reopen, and U9 permit holders are asked to no longer park along curbs and only park in designated spaces.

Pediatric Neurosurgery Clinic Now Seeing Patients for Spine Conditions
The Pediatric Neurosurgery Clinic in the Battle Building has expanded its services to include treatment of spine conditions such as congenital spine deformities, herniated discs, and pars defects in patients from birth to 18 years of age. Patients may be referred to UVBB Neurosurg Peds CL in Epic or call 434.924.2203 and select option 4 for more information.

UVA Health’s Population Health team connects patients with services that address barriers to care — such as housing needs, behavioral health challenges, remote patient monitoring, or gaps in follow-up after discharge from the hospital, Emergency Department (ED), or ambulatory appointments.
How to refer a patient | Use the Epic order Population Health Program Intake or complete the flowsheet in the Epic Screening Tool. Briefly describe the concern. A Population Health team member will review the referral and connect the patient to the most appropriate program or service. Tip sheet.
Common referral reasons:
- Readmission risk or complex discharge
 - ED overuse due to unmet social needs
 - No established primary care provider or difficulty accessing care
 - Social drivers of health concerns — food insecurity, unsafe housing, or language/literacy barriers

UVA Health Claude Moore Health Sciences Library is making a milestone! It held an open house Sept. 3 to welcome the new academic year and kick off a celebration of 50 years of serving the health system, University of Virginia, UVA School of Medicine, UVA School of Nursing, and affiliates.
Visitors met the 22-member library team; learned more about resources, services, events, classes, and UVA Health groups and departments; viewed an exhibit curated by Historical Collections and Services team members that highlights the longer history of the library’s collections and early medical education at UVA; enjoyed pizza, cakes, candy, and swag; and participated in a scavenger hunt and earned prizes!

2025-26 COVID Vaccine Guidance
We know many UVA Health patients and team members are interested in the 2025-26 COVID-19 vaccine, which we are expecting to receive over the coming weeks.
At this time, based on guidance from the Food & Drug Administration (FDA), a prescription will be required to receive a COVID-19 vaccine. To obtain a prescription, individuals may schedule an appointment with their primary care provider to evaluate their risk of severe COVID-19 complications. The FDA has released the following eligibility criteria guidance:
- Adults ages 65 and older: All individuals ages 65 and older are eligible to receive the updated vaccine, regardless of health history.
 - Individuals ages 18 to 64 years with high-risk conditions: Those with at least one health condition that increases their risk for severe COVID-19 complications are eligible to receive a vaccine. Examples include (but are not limited to) asthma, cancer, diabetes, and obesity.
 - Healthy younger adults (ages 18 to 64 years): These individuals are not broadly approved for the updated vaccine.
 - Children ages 6 months to 17 years: Vaccine eligibility for children ages 6 months to 17 years depends on the manufacturer of the vaccine and the child’s health history. Current authorizations are limited to children with at least one underlying condition that increases risk for severe COVID-19. Authorized vaccine age ranges for children through 17 years of age are as follows: 
- Moderna (SPIKEVAX, mRNA): 6 months-17 years
 - Pfizer-BioNTech (COMIRNATY, mRNA): 5-17 years
 - Novavax (NUVAXOVID, protein-based): 12-17 years
 - Vaccine administration will be based on "shared clinical decision-making" between a guardian and medical provider, rather than a broad recommendation.
 
 
Off-label use of updated vaccines can be considered, but insurer reimbursement is uncertain at this time.
Please be advised that the process for getting a COVID-19 vaccine at UVA Health is subject to change pending further federal guidance. We will keep our patients and team members informed as new information becomes available.

As part of our ongoing efforts to manage hospital census and decant the Emergency Department, a new resource that compiles all UVA Health same-day and urgent care options on one page has been created on uvahealth.com. The new Same-Day and Urgent Care Options page includes details on same-day, urgent, and virtual care options across the health system. Access team members and triage RNs may find it especially useful when trying to help patients find care for issues that don’t require emergency care.

UVA Cancer Center Renamed ‘UVA Comprehensive Cancer Center’
Effective Sept. 8, UVA Cancer Center has been renamed the UVA Comprehensive Cancer Center, to better reflect its National Cancer Institute (NCI) comprehensive cancer center designation.
UVA Comprehensive Cancer Center is one of only 57 NCI-designated Comprehensive Cancer Centers nationwide and was the first in Virginia. The NCI designation recognizes UVA for its excellence across cancer research, education, and community outreach efforts.
- What’s Changing? | The name of UVA's center focused on cancer research, education, and community outreach will change from UVA Cancer Center to UVA Comprehensive Cancer Center.
 - What’s Not Changing? | All UVA Health patient-facing cancer care facilities, clinics, and services will keep their existing names. This includes Emily Couric Clinical Cancer Center.

- Approval Time for Templates | Once you submit your design, it typically takes up to three business days for review and approval. Please plan ahead and allow this time for the review process.
 - Using a QR Code | Some templates allow you to upload QR codes directly, including the One Column, No Photo, and One Column Tabbed flyers for both UVA Health and UVA Health Children’s. If you prefer to use the flyer without the QR code, simply toggle off the visibility feature.
 - Uploading Your Own Photos | For consistency and to address legal requirements, we do not allow the upload of personal photos. Instead, we offer a large photo library to choose from, with images added regularly.

Blood donors who are Black play a critical role in helping people with sickle cell disease, the most common genetic blood disease in the U.S. Sickle cell disease primarily affects those who are African American or of African descent. Patients with this disease may rely on regular blood transfusions throughout their lives. Over the past year, we have achieved an extraordinary feat — reducing our LOS from a high of 7.41 days in July 2024 to 6.01 days June 2025, the best performance in our hospital’s history over nearly the last decade. The UMC Medicine team has been amazing, piloting new initiatives and improving LOS from a high of 9.53 days in July 2024 to 6.21 days June 2025! Clinical Pastoral Education Program Paused
From UVA Health leadership: “To prepare theological students and clergy for the unique challenges that come with practicing as a chaplain in a hospital setting, University Medical Center has for many years offered a Clinical Pastoral Education program that has provided mentorship and hands-on engagement for those looking to serve in healthcare. While this residency effort has been successful for us over the years, the program’s current structure and curriculum are no longer in sync with overall best practices.
“As a result, we have made the decision to pause our Clinical Pastoral Education program indefinitely while we evaluate its future-state.
“Please know that while this program has been paused, our commitment to chaplaincy within UVA Health remains strong. To date, we have hired additional chaplains to support operations, meaning there will be no impacts to patient care as a result of this decision. Any remaining funds previously allocated to support the education program will be reinvested in the chaplaincy office to aid future growth and development.”

Branding Tip #1: Using UVA Health Logos Correctly
When it comes to using logos in your materials, it's important to follow UVA Health’s branding guidelines to ensure consistency and clarity in our communications. Here are some key tips to keep in mind:
- Which logo to use? | For most consumer-facing materials, always opt for the UVA Health and UVA Health Children’s logos. For internal or academic audiences, the academic entity or medical center logos may be appropriate. Business-related logos, including UVA Community Health, are reserved for HR and recruiting purposes only.
 - Creating your own logo | Please refrain from designing your own logos. Only approved logos should be used on official materials. For internal communications, operational groups, labs, and departments should use text as per the UVA Health signature system.
 - Logo Lockups for Departments and Units | Only entities, medical centers, and specialty hospitals use a logo lockup. For other departments or service lines, please use the UVA Health logo and reference your specific clinic or program name in text. For special cases, like team apparel, contact the Office of Strategic Marketing and Communications to create a custom treatment that ensures proper logo use.
 
By sticking to these guidelines, we can maintain a unified, professional brand across all communications.

Order Your Flu Vaccine To-Go Kit by Sept. 5
Flu season is approaching, and UVA Health is kicking off this year’s initiative: Flu Takes a Dive in ’25. To help keep our teams protected, unit leaders now can order Flu Vaccine To-Go Kits through Friday, Sept. 5, at 5 p.m. Each kit includes everything needed for licensed vaccinators (RN, MD, LPN, CMA, or pharmacist) to administer flu shots in your unit. Before ordering, ensure you have a monitored medication refrigerator for safe vaccine storage.
To place an order, complete the order form and email it to vab4u@uvahealth.org as early as possible. Limited pick-up slots are available — select all dates that work for your team. Construction: Gamma Knife Areas
Through Friday, Sept. 5 | To facilitate construction activities in the Gamma Knife areas on the ground floor of the Primary Care Center, a portion of the parking lot near the main loading dock will be cordoned off. Access to the main loading dock will be maintained and no commuter parking spaces will be impacted.
Expansion of the 2 North Surgical Observation Unit
From University Medical Center leadership: “On Sept. 16, 2025, we will expand the Surgical Observation Unit (SOU) from eight to 12 beds — broadening the populations we can serve and supporting additional surgical services. By January 2026, the SOU will reach its full capacity of 20 beds — further expanding inpatient access, reducing Post-Anesthesia Care Unit and Emergency Department boarding, improving patient throughput, and enhancing the overall care experience for those we serve.”

Population Health Program Intake Process
UVA Health’s Population Health team connects patients with services that address barriers to care — such as housing needs, behavioral health challenges, remote patient monitoring, or gaps in follow-up after discharge from the hospital, Emergency Department (ED), or ambulatory appointments.
How to refer a patient | Use the Epic order Population Health Program Intake or complete the flowsheet in the Epic Screening Tool. Briefly describe the concern. A Population Health team member will review the referral and connect the patient to the most appropriate program or service. Tip sheet.
Common referral reasons:
- Readmission risk or complex discharge
 - ED overuse due to unmet social needs
 - No established primary care provider or difficulty accessing care
 - Social drivers of health concerns — food insecurity, unsafe housing, or language/literacy barriers

Celebrate Clinical Nurse Specialist (CNS) Recognition Week
Through Sept. 7 | Now in its 16th year, CNS Recognition Week honors nearly 90,000 clinical nurse specialists nationwide. The 2025 theme, “Collaborate,” highlights how CNSs partner across patients, nurses, and systems to transform care.
CNSs are advanced practice registered nurses who integrate advanced clinical judgment, population-specific expertise, and system-level leadership to deliver direct care, mentor the nursing workforce, and drive quality, safety, and value across healthcare environments.
Special news: The UVA Health CNS team has been nominated for the National APP Week “Team of the Year” Award. Awards presentation: Thursday, Sept. 25. From their nomination: “UVA Health’s CNS team turned collaboration into measurable results — leading interdisciplinary teams to achieve a 62.86% reduction in CAUTIs (SIR 0.40) and a 29% drop in CLABSIs (SIR 0.71) from FY24 to FY25 — preventing 30+ hospital-acquired conditions, including 28 HAPIs.”

UVA Health Cardiovascular Disease in Women Symposium
