Monthly Update: Clinical and Operational Documents
Having a working knowledge of policies and other clinical and operational documents relevant to your role and responsibilities at University Medical Center supports quality patient care and regulatory compliance. Learn What’s New in Clinical and Operational Documents. This month’s highlights include a new Interdepartmental Transfer Communication and Assessment SOP, a new Rooming in Ambulatory Clinics SOP, updates to the Mandatory Reporting of Healthcare Practitioners Medical Center Policy, and many more. HIT Implements Cybersecurity Enhancement Measures
Health Information Technology (HIT) will implement preventive measures to protect patient data and help ensure uninterrupted care. Beginning June 28, it rolled out two security features for all team members:
- External Email Flag: All emails from external senders will be flagged. This external email warning will help alert users and help prevent them from clicking malicious links in emails sent by external senders.
- Report Suspicious Email Button in Outlook: Team members can use the “Report Suspicious Email” button in Outlook to report junk and phishing messages. Reporting these emails helps us protect data and teaches the Microsoft filters to catch spam and suspicious email before it arrives in inboxes. Independence Day Holiday | Thursday, July 4

- Clinics Closed | All UVA Health clinics will be closed.
- Wahoo West Cafe | Closed Thursday, July 4, and Friday, July 5.
- Holiday Transportation and Parking Modifications |
- University Transit Service bus and Health System Transit shuttle service will not operate July 4.
- Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes, 7:20 a.m.-7:45 p.m.
- UtoCar will operate normally.
- Parking is available for team members in the South Garage on Crispell Drive and 11th Street Garage (level D and above only) July 4.
- University Transit Bus and Health System Transit shuttle will operate normally Friday, July 5.
Surgery Wayfinding: Name Change Is Coming Soon
A day-of-surgery wayfinding improvement project is underway — a big component of which is a name change to University Hospital’s second floor registration area. Currently called “OR & Procedure Check In,“ this space is used to register patients and welcome visitors waiting for patients in surgery. With the combination of patients registering on the second floor (direct admits, main OR surgery, Cath Lab, and IR), we are excited to share the new name to globally direct patients and families: “Admitting and Surgical Waiting.” Signs will start transitioning the first week of July. This phase of the wayfinding project will include directional signage from the Battle Building, parking garages, and surrounding areas.
New: Saturday Lab Hours at ECCCC
Effective July 6, the lab at the Emily Couric Clinical Cancer Center (ECCCC) will offer Saturday lab appointments for patients in need of urgent lab testing. This expansion of service will help expedite care for those in need and help divert non-emergent patients from the Emergency Department.
- What: Saturday appointments for urgent labs, to include venipuncture (adult and pediatric patients), urine collection, and home collection specimens drop off.
- Patients with emergent labs who require medical attention should still be seen in the Emergency Department.
- Where: Lab at Emily Couric Clinical Cancer Center (First Floor, Room 1990c)
- When: Saturdays, 8 a.m.-2 p.m.
- How: Two ways to schedule: send in-basket message to Ancillary Clerical Support Pool or providers may send a scheduling ticket to the patient through MyChart so they can self-schedule online. See tip sheet for details.
Construction Update: Fontaine Research Park
Fontaine Research Park is undergoing an exciting and significant transformation with the development of the Paul and Diane Manning Institute of Biotechnology. Good news: the blasting component of this project is ahead of schedule and will be complete soon. Because of this, we will be returning to previous parking operations earlier than expected. Starting Monday, July 8:
- U9 permit holders will be able to return to parking at Fontaine Research Park.
- Valet parking will no longer be provided.
- There will be a reduction in golf carts, but traffic control will be maintained.

July 8-21 | University Hospital, main lobby bathrooms | The bathrooms off the main lobby of University Hospital will be closed for renovation. Alternate locations include South Tower lobby, the second floor by the Heart and Vascular Clinic, and in the Primary Care Center. Signs will be in place to direct team members, patients, and visitors to these locations.

May The Force Be With Them
UVA Health Children’s patients and their families got a special visit June 28 from “The Mandalorian” TV series star and UVA alumna Emily Swallow who dressed in costume as her Armorer character! She’d returned to Charlottesville as part of the Virginia Theater Festival’s 50th anniversary celebration and asked local members of the global 501st Legion if she could join their hospital visit.
“The way kids respond to my costume or any Star Wars characters — they just light up!” says Swallow. “It’s a gift to me to be able to … make somebody’s day. Gives them a break in the monotony of going through treatments. A lot of the parents are fans, too, so it brightens their day a little bit!”
Thank you to Swallow and the cosplayers for visiting patients and their families!

UVA Undergrad’s Discovery Could Spur Better Crohn’s Treatments for Kids, Adults
Remarkable new research by a UVA undergraduate may help explain recurrent Crohn’s disease in children and open the door to new ways to treat or even cure the devastating condition.
Crohn’s is a debilitating — and possibly life-threatening — inflammation of the digestive tract. Symptoms include abdominal pain, weakness, fatigue, and malnutrition caused by the body’s inability to absorb nutrients. It’s most common in adults but afflicts tens of thousands of children in the United States alone. Many of those kids struggle to go to school and find their lives and childhoods greatly disrupted. These children can suffer stunted growth and delayed puberty and may need to have sections of their bowels surgically removed.
UVA’s new research suggests answers to why children with relapsing Crohn’s endure repeated bouts even after appearing to recover. Working under the guidance of the UVA School of Medicine’s Chelsea Marie, PhD (left), undergrad Rebecca Pierce (right) found that children with relapsing Crohn’s had a persistent disruption of their microbiomes — the collection of microorganisms that lives in our guts — even after inflammation was successfully controlled by treatment.
