Epic Secure Chat Goes Live in Two Days — What You Need to Know
Dear Team,
We are now two days away from go-live. Epic Secure Chat will launch on Wednesday, May 20, at 7 a.m., replacing paging and Vocera as our primary communication platform. Please take a moment to review the steps below to ensure you and your team are ready.
How to Prepare
- Access Computer-Based Learning, which has been assigned to all Epic users in Workday. The training takes 10 minutes to complete.
- Access naming crosswalk and other training. Resources — including a crosswalk between old team names and their new designations in On-Call Finder and tip sheets — are available now on the Epic Learning Library.
- Attend a Drop-In Demo Session (optional but encouraged). Tomorrow, May 19, is the last day to attend. Sessions are available at:
- 5:45-6:30 a.m.
- 12:30-1:15 p.m.
- 3:45-4:30 p.m.

Support Available at Go-Live
A robust support structure will be in place to help your team through the transition:
- 24/7 Command Center available through May 28.
- Secure Chat escalation pathway via the HIT Help Desk (434.924.5334), with unresolved issues routed to the Command Center.
- At-the-elbow support from 6:30 a.m.-9 p.m. during the initial go-live period.
- Onsite training support and analysts available for in-person assistance.
- Mobile device team onsite for Haiku setup and troubleshooting.
- Satellite support in the cafeteria for real-time questions and guidance.
A Note on Emergency Management Groups
For those of you who are members of Emergency Management groups, such as All Hazards, MCI, and/or Severe Weather: beginning May 20, Rave will serve as the primary platform for Emergency Management communications, with Epic Secure Chat as backup. Please look for a separate communication from Emergency Management with specific guidance on what you need to do to prepare.
