OneUVA Workday: Frequently Asked Questions
In close partnership with the University of Virginia, UVA Health is beginning the design phase for OneUVA Workday, a multi-year business operations transformation effort intended to evolve our clinical and administrative support functions into a single, unified platform. Beyond a simple technology update, this initiative focuses on four key areas through 2028: implementing Workday as a modern integrated platform, optimizing our sourcing and purchasing, refining administrative processes, and designing an operating model that fosters seamless coordination between every entity. By streamlining our work, we will build the financial and overall business process resilience necessary to reinvest in our core missions of patient care, research, and innovation, ultimately creating a more transparent and sustainable future for our teams, patients, and communities.
General Project Overview
What is OneUVA Workday?
OneUVA Workday is a multi-year business operations transformation being organized in close partnership with the University of Virginia to redesign how we operate as one unified University and academic health system. It is not just a technology project — it is a coordinated effort to simplify work, improve transparency, strengthen strategic decision-making and financial stewardship, and reinvest gleaned efficiencies into our core missions of patient care, research, education, and service.
What are the goals of OneUVA Workday?
OneUVA Workday is designed to:
- Strengthen coordination across teams.
- Simplify work and reduce administrative burden.
- Improve data visibility and reporting for more strategic decision-making.
- Increase efficiency and eliminate duplication.
- Leverage our scale to maximize purchasing power.
- Reinvest gleaned efficiencies into patient care, our people, research, and innovation.
Why is business operations transformation important for us right now?
UVA Health continues to grow in size, complexity, and geographic reach, serving more patients who seek our exceptional care. As we expand to meet patient need, our business and operating model must evolve to support that growth. Today, fragmented systems and inconsistent processes create duplication, slow decision-making, and add administrative burden on our teams. This transformation will position us to operate more efficiently, collaborate more effectively, and build long-term business process and financial resilience that will further our mission for decades to come.
What transformation efforts are included in OneUVA Workday?
OneUVA Workday is comprised of four integrated workstreams:
1. Workday Integration. First announced in October, we will bring Finance, Supply Chain, Procurement, and Human Resources together into Workday as a single, modern platform to enhance data visibility, reporting, and stewardship of resources. The design phase begins in March 2026 and will involve deep collaboration across UVA Health to ensure the future state reflects how we work and where we are going.
2. Sourcing Optimization: Once we transition to Workday, leaders will have the power to manage the entire procurement lifecycle — from submitting RFPs and assessing proposals to finalizing formal purchasing agreements — all within a single platform. To prepare for this shift, our Supply Chain team will collaborate with clinical and administrative leaders across the system starting in March 2026 to assess our current suppliers and identify opportunities to consolidate vendors, simplify inventory management and significantly increase the organization’s collective purchasing power. Doing this work now will ensure our transition to Workday is built on a foundation of excellence, tailored to support our teams from day one.
3. Process Optimization: This workstream focuses on re-imagining how we work to ensure our new platform drives maximum efficiency and value. By evaluating current workflows alongside clinical and administrative leaders, this team will eliminate redundant steps and standardize practices across the enterprise. This collaborative effort ensures that our future system isn't just a digital version of our old processes, but a streamlined engine that simplifies tasks and allows our people to focus on our core missions.
4. Operating Model: The operating model workstream defines how our people, processes, and technology will be organized to support the new Workday environment effectively. This team will design the future-state structures and governance needed to ensure seamless coordination across Finance, Human Resources, and Supply Chain. By establishing clear roles and streamlined service delivery models, we ensure the entire enterprise is positioned to maximize the platform’s potential.
When does this work begin and how long will it last?
The design phase for OneUVA Workday begins March 2026. The transformation will roll out in phases through 2028. Because this is a significant enterprise effort, thoughtful design and implementation will take time.
What does this transformation mean for me?
At its heart, OneUVA Workday is about empowering our greatest asset — our people. While the specific tools and processes you use to manage finance, supply chain, and Human Resources may change, every team member will benefit from a more collaborative and modern business model. By creating a more agile organization, we will be able to invest more deeply in our people, our research, and our patients, while also creating greater satisfaction.
How does this business operations transformation affect patient care?
A unified business foundation means a more resilient clinical environment. When our supply chain is optimized, life-saving equipment is always where it needs to be. When our finances are efficient, we can reinvest faster in new facilities, research, and equipment that contributes to care delivery.
Workday Implementation
What is Workday?
Workday is a leading, cloud-based software platform designed to manage complex business operations functions. It will serve as the unified "system of record" for Finance, Supply Chain, and Human Resources across all UVA entities, including across both the University and UVA Health.
Why are we moving to Workday for all business support functions?
Currently, many of our processes are fragmented. OneUVA Workday aims to bring the entire enterprise onto a single platform for Finance, Supply Chain, and Human Resources to simplify workflows, improve data visibility, and allow our team to focus more on our mission and less on administrative hurdles.
What is changing during the Workday Integration?
OneUVA Workday will primarily impact UVA Community Health, University Medical Center and UVA Physicians Group. Please see the chart below to see what Workday functions each entity will be adopting.
| UVA Entity | Human Capital Management (HR) | Pay | Finance | Supply Chain |
|---|---|---|---|---|
| University | ● | ● | ● | ● |
| SOM/SON | ● | ● | ● | ● |
| UMC | ● | ● | ✓ | ✓ |
| UVACH | ✓ | ✓ | ✓ | ✓ |
| UPG | ● | ● | ✓ | ✓ |
| ● Already Live ✓ In Scope for OneUVA Workday | ||||
Although both School of Medicine and School of Nursing — as well as the broader University — currently use Workday for Human Resources, Finance, and Supply Chain, some processes may change within the system to create better coordination between all UVA entities.
What systems is Workday replacing?
Workday will replace several legacy systems used for Finance and Supply Chain across UVA Health, including PeopleSoft, Oracle (used at UVA Community Health), and others.
Will I still use any existing tools alongside Workday?
It depends on the system and what will be integrated within Workday. While Workday will handle the business "back-office" essentials (Supply Chain, Human Resources, Finance, and Procurement), clinical and specialized research tools will remain in place and, where possible, integrated with Workday.
Impact and Timeline
When will OneUVA Workday conclude?
OneUVA Workday is a multi-year project with full deployment of all workstreams currently projected for 2028.
Will everything change at once, or in phases?
While the "go-live" is targeted for 2028, some systems — such as Workday Human Capital Management (HR) for UVA Community Health — may launch earlier. We will share a detailed roadmap as the design phase clarifies our rollout strategy.
What happens between now and go-live?
A lot of behind-the-scenes work! Our OneUVA Workday project teams will be designing the Workday system, aligning with clinical leaders and administrators on sourcing optimization, codifying new processes, and ensuring our operating model is structured for success. During this process, we may reach out to teams for input to ensure we’re getting the most out of this transformation. As we get closer to systems coming online, we will train all team members to ensure a smooth transition.
Your Job and Daily Work
What tasks will I do differently?
The primary change isn't just a platform — it is a new level of empowerment. Leaders will move from requesting data to analyzing it. Staff will move from managing paperwork to self-service tools. You will spend less time bridging gaps between departments and more time contributing to clinical and operational excellence.
Will my role or responsibilities change?
While the core focus of your work remains the same, the way our teams perform certain tasks likely will change as we move toward a more integrated operating model. OneUVA Workday is designed to shift our focus from manual, administrative coordination to high-value, mission-focused work by standardizing processes and tools across the enterprise. For many, this means a transition away from navigating fragmented systems and toward a more intuitive, self-service environment. As we define our future state, we are committed to providing clear guidance, updated job aids, and comprehensive training to ensure everyone understands their part in our new way of working.
I don’t currently work within Finance or Supply Chain tools. Will OneUVA Workday affect me?
If you are part of UVA Community Health, you will transition from Oracle to Workday for all HR tasks. This includes viewing paystubs, managing benefits, completing training, and more HR functions. If you are in other areas of UVA Health and do not use Finance or Procurement tools, your daily workflow may see minimal direct impact, though you will benefit from the organization's improved business operations transformation.
Will this affect my pay, benefits, or job status?
No. This effort will not a change compensation, benefits packages, or employment status.
Will any positions be eliminated?
The goal of OneUVA Workday is to transform our business operations, not to reduce our workforce. It allows our talented team to focus on higher-value work rather than inefficient processes.
Support, Training, and Feedback
What training and support will I get?
Comprehensive training will be provided leading up to go-live. This will include hands-on sessions, user guides, and "super users" within departments to help you troubleshoot.
Where can I find updates and timelines?
We will provide a dedicated project OneUVA Workday website (details coming soon) and regular communications updates to keep everyone informed of our progress.
How will employees be involved?
Collaboration is essential to success. The design phase will involve:
- Cross-functional working groups
- Subject matter experts from across departments
- Direct feedback from team members
- Structured analysis of current workflows
Every voice matters in shaping the future state.
