Better Safe Than Sorry: When to Prevent Automated Results Release to Patients in MyChart
- If you see a result you feel should be discussed with a patient before it's available in MyChart, it's always best practice to stop its automated release.
- Do not assume you can reach your patient before the result is released automatically.
- Exercising caution in these cases may provide a better patient experience, facilitate stronger patient-provider partnerships, and alleviate provider stress from trying to reach patients before the auto-release.
- To prevent automated release of results, go to the Patient Sharing menu in Chart Review and select “Prevent Scheduled Release.” Once you’ve connected with the patient, you will need to manually release the result via the Patient Sharing menu.

- Completely shut down your lights, computers, laptops, monitors, TVs, copy machines, and other equipment.

Upcoming Transportation and Parking Modifications
On Tuesday, July 4:
- University Transit Service bus and Health System Transit shuttle service will not operate July 4.
- Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes, 7:20 a.m.-7:45 p.m.
- UtoCar will operate normally.
- Parking is available for team members in the South Garage on Crispell Drive and 11th Street Garage (level D and above only) July 4.
University Transit Bus and Health System Transit shuttle will operate normally Wednesday, July 5.
Annual Garage Maintenance Will Impact Team Member Parking Three Weekends in July
Parking options for team members and patients will be modified during coming weekends as follows:
- 8 p.m. Friday, July 7, to 6 p.m. Sunday, July 9 │ Lee Street Garage closed. Patients will be directed to park in the 11th Street Garage, and team members must park in the South Garage on Crispell Drive.
- 8 p.m. Friday, July 14, to 6 p.m. Sunday, July 16 │ 11th Street Garage closed. Patients will be directed to park in the Lee Street Garage, and team members must park in the South Garage on Crispell Drive.
- 8 p.m. Friday, July 21, to 6 p.m. Sunday, July 23 │ South Garage on Crispell Drive closed. Team members must park in the 11th Street Garage.

Attention Providers: New and Improved Video Visits Coming July 13
Effective Thursday, July 13, a new and improved video visit platform will launch across all UVA Health Ambulatory entities. Epic’s integrated Video Client will replace Zoom to deliver an enhanced video visit experience for patients and providers alike. This change is in direct response to the 2023 UVA Health Video Visit Satisfaction Survey and provider feedback that video visits are difficult for patients to navigate.
What this change means for providers:
- Provider workflows are largely unchanged from the current process.
- Providers can send video visit links directly to patients by text.
- Expect to spend less time trouble-shooting technical issues.
- Epic-integrated features will work for all patients, even those without MyChart.
- Healthcare-centric language replaces office-centric language in the virtual waiting room.
The Epic Video Client will provide a more streamlined and consistent patient experience that is web-based, device-agnostic, and requires fewer clicks. Watch this space for more information in the coming weeks!
Operations
Operational Update: Masking Protocols
To further ease our COVID-19 operational protocols and return to more normalized operations, University Medical Center will move to mask optional throughout most of the main hospital, effective June 29 at 7 a.m., including in our lobby, hallways, Emergency Department, and public spaces. Masking will continue to be required in areas where we have high concentrations of high-risk patients and where COVID-19 testing on admission is still being practiced. Coming Soon: Same-Day Clinic Aims to Boost Patient Access, Reduce Readmissions
UVA Health’s newest Ambulatory clinic has a unique mission: to provide same-day care to patients with minor acute illness and/or injury. Slated to open July 11 in the former Covid clinic location at 1222 JPA, the Same-Day Clinic represents an innovative approach to increasing patient access while reducing hospital readmissions. The clinic will initially support patients referred from the Emergency Department, Continuum Home Health, and Outpatient Parenteral Antimicrobial Therapy (OPAT) for follow up visits and/or same-day acute care needs (such as infusions, wound care, etc.). Later this summer, the clinic will expand services to primary care patients seeking same-day appointments and patients referred by the in-home monitoring (IHM) program operated by Population Health. The Same-Day Clinic is the first of its kind at UVA Health and directly supports the One Future Together | Health and Hope for All Strategic Plan initiatives to radically improve patient access and deliver superior patient care.
Construction: Additional Closure on Lane Road
Thursday, June 29 | 5-9 p.m. | Much of Lane Road is already closed for the steam piping replacement project. During this time, an additional section of Lane Road (between Crispell Drive and the University Hospital loading dock) will be closed for crane activity. Traffic control personnel will be on-site. UVA School of Nursing Guarantees Alumni Admission Across MSN, DNP Programs

Emergency Response Teams Name Changes
Effective June 27, there will be name changes to two important emergency response teams:
- Pediatric Emergency Response Team (PERT) will be referred to as Pediatric MET.
- PE Response Team will be referred to as PERT (PE Response Team).
The changes are occurring because of the widespread use of the name “PERT” for “PE Response Team.” These teams still will be reached via the Emergency Operator at 924.2012 or 4.2012. Team services will not be altered.
Fire Pump Testing
Annual fire pump testing is scheduled for June 28. Do not be alarmed by the extended presence of Charlottesville Fire Department trucks parked outside the hospital. This is done as a precautionary measure during fire pump testing.

Deadline Soon: Self-Evaluations
We are a few days from the June 30 due date for FY23 manager evaluations. Managers should hold their 1:1s and complete the acknowledgement step by this date. Team members should complete their acknowledgement step by July 14. Resources and additional details about the FY23 performance process can be found on the UVA Health Performance website.

Ducks in a Row
Insurance company Aflac and UVA basketball legend Dawn Staley recently brought some joy to UVA Health Children’s when they presented My Special Aflac Ducks to patients. The My Special Aflac Duck is an award-winning social robot designed for children with cancer and sickle cell disease to help them prepare for medical procedures, communicate their feelings, practice distraction techniques and more. Coach Staley surprised the children with My Special Aflac Ducks for a fun-filled day the patients won’t forget.
“When kids are going through treatment, such as pediatric cancers or blood disorders, the best thing we can do is try to comfort them,” President of Aflac of U.S. Virgil Miller said. “This duck displays emotions, they can come alive and really make the children feel safe and secure during the most terrible time in their lives.”
“We’re here because we hope to bring smiles on their faces,” Staley said.

Underway: Application Access Reviews and Reauthorization for Critical UVA Health Applications
On June 14, UVA Health began a 15-day period of verification to ensure our employees have appropriate access to critical UVA Health Applications, including Epic, PACS, Pysix, Peoplesoft, and VPN. This is in addition to the Workday attestation many managers were asked to complete earlier this month.
Managers periodically receive automated emails requesting they review the application access assigned to their direct reports in our Access Management Platform (AMP) and “approve” or “deny” access appropriate for their roles. Managers must login to AMP and complete outstanding reviews by June 30, 2023; failure to attest to employee roles could result in loss of system access for those employees.
Managing access to IT systems protects patients from unauthorized access to their protected health information (PHI). Supervisors: view the overview of the review process. On the site, click on “Supervisor Review Activities and Bulk Approvals Tip Sheet.”

COVID-19
COVID-19 Vaccination Requirement Update
To provide an update on our COVID-19 vaccine communication from May 26 — as well as to follow new guidance from the Centers for Medicare and Medicaid Services (CMS) — UVA Health will no longer require the COVID-19 vaccine among its team members, effective Aug. 4, 2023.
This new effective date coincides with CMS’ planned timeline for ending their COVID-19 vaccine requirement among healthcare team members working at CMS-certified facilities. Construction | Additional Closure on Lane Road
Saturday, June 24 (Backup date: Sunday, June 25) | 7 a.m.-5 p.m. | Much of Lane Road is already closed for the steam piping replacement project. During this time, an additional section of Lane Road (between Crispell Drive and the University Hospital loading dock) will be closed for crane activity. Traffic-control personnel will be on-site. Fire Pump Testing
Annual fire pump testing is scheduled for June 28. Do not be alarmed by the extended presence of Charlottesville Fire Department trucks parked outside the hospital. This is done as a precautionary measure during fire pump testing.
Emergency Response Teams Name Changes
Effective June 27, there will be name changes to two important emergency response teams:
- Pediatric Emergency Response Team (PERT) will be referred to as Pediatric MET.
- PE Response Team will be referred to as PERT (PE Response Team).
The changes are occurring because of the widespread use of the name “PERT” for “PE Response Team.” These teams still will be reached via the Emergency Operator at 924-2012 or 4-2012. Team services will not be altered.

Appreciation | UVA Health Team Members Observe World Sickle Cell Day
UVA Health lit the top floors of the South Tower red on June 19 to raise awareness of one of the most common inherited diseases, currently affecting an estimated 100,000 Americans. Sickle cell disease is most common in people of African descent but can occur in all races — causing pain, severe anemia, infection, stroke, and other types of organ damage. It can lower life expectancy by 20-30 years. Also on June 19, team members were encouraged to wear red.
And at the Jefferson School African American Heritage Center Juneteenth Celebration in Charlottesville on June 17, Dr. Marquita Taylor and other team members represented the UVA Health Adult Sickle Cell Disease Program.

Billing Changes for Audio-Only Visits
The end of the public health emergency brings billing changes for audio-only visits:
- While audio-only visits are legally allowable, two commercial payers, United Healthcare and Anthem, no longer cover audio-only visits.
- The Patient Friendly Access (PFA) team is reaching out to patients currently scheduled for audio-only visits, to reschedule to in-person or video.
- The PFA team is instructed to inform Anthem and United patients about the lack of coverage prior to scheduling future visits.

Opioid Use Disorder Education: UVA Interprofessional Collaboration
Friday, June 23 | 8 a.m.-noon | Online | Members of the UVA School of Medicine have collaborated to create an interdisciplinary effort — including toxicology, emergency medicine, psychiatry, primary care, and others — to meet the Drug Enforcement Agency’s increase of required hours of opioid education. Relevant for adult and pediatric providers. This series will provide comprehensive opioid use and related substance use disorder education. While it is designed with providers with prescribing privileges in mind, sessions are open to other relevant members of the community and care team. Celebrating Juneteenth
Juneeteenth, or June 19, commemorates the day when the last 250,000 enslaved African Americans, in Galveston, Texas, learned of the Emancipation Proclamation in 1865 — more than two years after it was issued. This year, UVA Health observes Juneteenth-related events with the theme, “Celebrating Our Freedom Through Restorative Justice and Holistic Healing Practices.”

Juvenile Diabetes Research Foundation Community Walk
Saturday, June 24 | UVA Health’s Center for Diabetes Technology is partnering with local volunteers for the 2023 Juvenile Diabetes Research Foundation (JDRF) Community Walk. Many people in the Charlottesville community and beyond have been touched by type 1 diabetes and UVA Health is working to raise support to find a cure.

Special Super-Sized Appreciation | Human Resources Hosts Record-Setting Orientation!
On Tuesday, May 30, UVA Health Medical Center welcomed its largest orientation class of new hires. Held at three locations, 220 new hires received a warm reception from Human Resources and Reid Adams, MD, Chief Medical Officer (pictured), who gave the welcoming address. A total of 325 employees were onboarded to new positions (including external travelers and transfers). Orchestrating such a giant event required collaboration among many areas. They include:
- Talent Support | Ensures that all candidates meet clearance requirements, including background check screening, license verification, education verification, and confirmation from Employee Health of health screening before they begin work at UVA Health. Talent Support also coordinates and runs the morning Day One Orientation program, which includes not only the presentation of information, but I-9 processing and handling of any other first-day questions. Once recruited, Talent Support handles all pre and onboarding steps and is the first face to welcome our new hires into UVA.
- Talent Acquisition | Partners with all departments to attract and hire top talent, including recruitment of the largest orientation class to date.
- Occupational Health | Conducts new employee assessments for all UVA Health new hires to ensure compliance with Policy OCH-002, Occupational Health Screening and Wellness. This policy requires all health system team members to meet both one-time and annual screening and immunization requirements. The Occupational Health clinics also conduct substance testing for new hires whose roles require drug testing.
- Health Information and Technology (HIT) | Supports the onboarding process by providing computing IDs, email, and access to systems — like Epic — so team members can hit the ground running during their first week.
- Clinical and Revenue Cycle Epic Training Teams | Plays an integral part in the training and onboarding of all new UVA Health team members who use Epic to document patient care outcomes. Prior to a new hire’s first day on the job, Epic training analyzes the full list of team members, matches their role to required training, and reviews Access Management Platform (AMP) security requests placed by leaders. The next step is to assign and schedule required training to each team member in Workday and Oracle, instruct the classes, and administer assessments. The Epic training teams also manages over 750 pieces of content located across our learning management systems and oversees the Epic Learning Library, a document repository for all Epic related content.
- Nursing Professional Development Services (NPDS) | Supports new team members through a number of programs and classes throughout the multi-phased onboarding experience. During the initial orientation phase, NPDS conducts five days of orientation to nurses, patient care technicians, certified nurse aids, clinical nurse instructors, Earn While You Learn participants, and other patient care technician roles.
- Badge ID Office | The first department team members likely will contact after completing orientation. This team provides documented and verified employee IDs, along with specific access for individuals as defined by their role. The digital access controls embedded in the badge, along with the mag-strip and individual barcodes, are used by many areas to access things like clocking in through Kronos, scrubs, and paying for food in the cafeteria.
- Enterprise Resource Planning (ERP) Systems | Supports team members with modules that show how to record and view time in Kronos. In addition to viewing timecard transactions, this group also has job aids to assist requesting time off, floating time to another cost center, and self-scheduling for Advanced Scheduling team members. The ERP Systems team is available to assist team members with any questions or concerns by submitting an HIT ticket.
- Benefits | Conducts an optional benefit presentation for new team members in the afternoon, after the new team member orientation.

- McCormick Observatory | First Annual Pride Night | Friday, June 23 | 9-11 p.m. | Leander McCormick Observatory, 600 McCormick Rd. | Join the first annual Pride Night at McCormick Observatory. This year, UVA welcomes Dr. Sean Johnson from the University of Michigan. He will speak about his research and experiences as a queer astronomer. Visitors can view celestial objects through the historic 26-inch McCormick Refractor and other smaller telescopes (weather permitting), and tour the observatory. All are welcome. Get tickets.
