Newsweek Honors UVA Medical Center Among Nation’s Best Maternity Hospitals
Newsweek has again named University of Virginia Medical Center to its list of America’s Top Maternity Hospitals for its high-quality care of newborns and mothers. This is the fourth consecutive year that Newsweek has recognized the hospital as one of the nation’s best places to give birth.
“Providing excellent care for babies and their mothers is a true team effort that encompasses so many people across the medical center, including our UVA Children’s and UVA Women’s Services teams,” said Wendy Horton, PharmD, MBA, the chief executive officer of UVA Medical Center. “I’m so pleased to see their quality care recognized nationally.”
UVA Medical Center was among just 159 hospitals nationally that earned the publication’s highest rating — five ribbons — for maternity care. Read more on Connect.

Construction Impact: Lane Road Closure
Through Aug. 23 | Lane Road is closed to through traffic. Typical and familiar routes are altered:
- MR-4 West loading dock is closed.
- MR-4 East and MR-5 loading docks are open.
- University Hospital, Primary Care Center, and Pinn Hall loading docks are restricted to support, service, and delivery vehicles only.
- Pedestrians should follow routes designated by new signs and crosswalks.
- Food must be delivered via University Hospital entry on Lee Street.
- For staff drop-offs and pick-ups:
- Use Stair 6 at the corner of Lane Road and Crispell Drive.
- 8 a.m.-4 p.m.: Use the temporary bus stop on Jeanette Lancaster Way.
- Before 8 a.m. and after 4 p.m.: Carefully enter Lane Road and use the old bus stop.

A Successful Skin Cancer Screening Event!
This Skin Cancer Awareness Month, UVA Health Department of Dermatology and UVA Health Cancer Center team members welcomed more than 260 patients to a free skin cancer screening event on May 13.
“This event is important because it allows us to educate people about skin cancer prevention and detection,” says dermatologist Mark Russell, MD. “We always find skin cancer that people didn’t know they had, allowing them an opportunity for early treatment, which is associated with better outcomes.”
This year, 87 patients were referred for suspected precancerous and cancerous skin lesions. Some of these patients may not have had access to this specialized care if it weren’t for this free event. “Thank you to the faculty, residents, medical students, nurses, access staff, and volunteers who came together to serve our community,” says Dr. Russell. New Guidance for COVID-19 Vaccination
Earlier this month, new guidance was issued to the Centers for Medicare & Medicaid Services (CMS) to no longer require the COVID-19 vaccine among healthcare workers certified by that governing body. As a result, and to align with this guidance, UVA Health will be revising its policy (OCH-002) to no longer require the COVID-19 vaccine among its team members. As soon as CMS announces their date for implementation, we will provide an additional communication on timing for this policy revision. New Contraception Clinical Services
UVA Health’s Pharmacy now is offering clinical services for increasing access to contraception prescriptions:
- Appointments | Wednesdays, 5-9 p.m. | 30 minutes | Education Resource Center, private wellness room | Visits will be with a pharmacist. Patients must be 18 years or older. Interpretation available.
- Cost | Visits are free. Prescriptions will have a cost if the patient does not have insurance. (Patient’s UVA financial screening can be used for the prescription.) Options available to pay with cash.
- Schedule | Patients can schedule via MyChart (named “Pharmacy Contraceptive Visit”) or by calling 434.297.4829.

Memorial Day Holiday | Monday, May 29
- All UVA Health clinics will be closed.
- Parking and Transportation Modifications | University Transit Service bus and Health System Transit shuttle service will not operate on Memorial Day.
- Team members may park in the South Garage on Crispell Drive and 11th Street Garage (level D and above only) on May 29.
- Medical Center Courtesy Shuttle will operate on the weekend schedule, running every 60 minutes from 7:20 a.m. to 7:45 p.m.
- UtoCar will operate normally.
- University Transit Bus and Health System Transit shuttle will operate normally on Tuesday, May 30.

Important Update on UVA Alerts
As part of continuing efforts to enhance safety, the university plans to automatically enroll students, faculty, and staff in UVA Alerts text messaging. Starting this weekend, if you have not previously provided your mobile phone number to receive UVA Alerts via text, the number you provided during orientation or onboarding will be uploaded into your UVA Alerts account.

Saturday, June 24 | UVA Health’s Center for Diabetes Technology is partnering with local volunteers to plan the 2023 Juvenile Diabetes Research Foundation (JDRF) Community Walk. Many people in the Charlottesville community and beyond have been touched by type 1 diabetes and UVA Health is working to raise support to find a cure.

Thank You to Our Colleagues on National Medical Coder Day!
UVA Health is happy to recognize our hospital and professional coders as part of National Medical Coder Day on Tuesday, May 23. Medical coding is the transformation of healthcare diagnosis, procedures, medical services, and equipment into universal medical alphanumeric codes. Those codes paint the picture of the complexity of our patients and the services we provide as they are used for billing, reimbursement, benchmarking, physician profiling, and drive many quality initiatives.
Coders work with providers, clinical administrators, and even patients, assisting all in the complex array of regulations to ensure the right code is captured every time. Their work is not always in the foreground, yet they are an integral part of our clinical and revenue cycle teams.
“I am so appreciative of the knowledge, experience, and dedication of our hospital and professional coding teams,” says Loren Roberts, Administrator, Clinical Revenue. “They are the critical link between the delivery of our clinical care to our quality, financial, and benchmarking metrics.”

Select Public Health Emergency (PHE) Waivers Extended Until the End of 2023
- Hospital-based outpatient providers — including physical therapists, occupational therapists, speech-language pathologists, audiologists, and registered dieticians — may continue conducting and billing for video visits through the end of calendar year 2023, in the same way they were during the PHE.
- Teaching physicians may continue virtually supervising residents through audio/video real-time communications technology through the end of calendar year 2023.

Missed UVA Health-hosted Long-COVID Congressional Briefing? Catch Up Here!
On Thursday, May 11, UVA Health hosted The New Normal: Improving Care for Patients With Long COVID to educate Congressional staff about long COVID and the specialized care provided. Moderated by Wendy Horton, PharmD, MBA, CEO, UVA Medical Center, this briefing explored the current state of long COVID, also known as Post-COVID Conditions, which encompasses the long-term effects that some patients experience from their infection with the virus that causes COVID-19.
Senator Tim Kaine of Virginia and Representative Don Beyer of Virginia’s 8th Congressional District outlined proposed legislation and policies to advance care for patients with long COVID. Speakers shared what the latest federally funded research reveals about this complex condition. Additionally, physicians from the UVA Health Long COVID Clinic and a patient experiencing long COVID discussed what those who suffer from long COVID need from a clinical and personal perspective. Construction Impact: Lane Road Closure
May 22-Aug. 23 | Lane Road — near University Hospital’s loading dock, MR-4, and MR-5 — will be closed to through traffic. During this time, crews will replace underground utilities serving MR-4 on Lane Road, and typical and familiar routes will be altered:
- MR-4 West loading dock will be inaccessible to vehicles and pedestrians.
- MR-4 East loading dock will remain open.
- MR-5 loading dock will remain open, but the entry width will be reduced.
- Access to the hospital and Pinn Hall loading docks will be via the Pinn Hall access road, and vehicular traffic will be restricted to support, service, and delivery vehicles only.
- Pedestrians can enter the hospital and Primary Care Center via the Pinn Hall access road.
- If you are ordering food during this time, please have it delivered to the front of the hospital (not to the loading docks). Food will only be stored at this location for one hour before disposal.
- For staff drop-offs and pick-ups:
- Coming from West Main Street or Roosevelt Brown Boulevard | Please use the Stair 6 hospital entrance off the corner of Lane Road and Crispell Drive.
- Coming from Jefferson Park Avenue | Use the Lane Road bus stop before 8 a.m. or after 4 p.m. Between 8 a.m. and 4 p.m. Please drop-off and pick-up area on Jeanette Lancaster Way.

As Spring 2023 PTO Cash Out approaches, it's a good time to log in to Workday and review your “use or lose” paid time off (PTO) hours. While you review your PTO, keep in mind:
- You'll be able to request PTO cash out May 18-28. Cash out process instructions will be sent via email May 18 at 7 a.m., when cash out officially opens.
- Team members can get help completing the PTO cash out process by reviewing the Medical Center PTO cash out job aid.
- The Medical Center 2023 PTO cut off accrual date is May 13.

UVA Children's Arranged Pampering for Caregivers on Mother's Day
In celebration of mother’s and mother-like figures, volunteers of the Patient and Family Centered Care Committee, a subcommittee of the Children’s Hospital Advisory Board, passed out 109 gift bags on Friday, May 12. These gift bags included self-care items, a delicious cookie donated by Panera Bread, and a hand/foot print template that says, “Your love helps me bloom!”
On Monday, May 15, six stylists from Moxie Hair and Body Lounge donated their time and talents and provided haircuts and blowouts to moms and mom-like figures.
Amy Cesak, Manager, Patient and Family Centered Care, says, "This special event each year allows us to celebrate mother’s and mom-like figures in meaningful ways and encourages them to take time to care for themselves. We’re grateful for Moxie, Panera, and our Patient and Family Centered Care Committee, whose support allows us to continue to provide this event."

Cleaning and Maintenance of Water Dispensers
In review of processes around the use of standalone water dispensers, it was determined there are gaps in ongoing cleaning and maintenance that may present an Infection Control risk. If your department uses a water bottle dispenser similar to the one shown at right, please verify your contract with the vendor includes sanitization bi-annually as recommended by the vendor.
To confirm your agreement includes the required cleaning or to add to your agreement, individual departments should reach the vendor by calling the consolidated contact number for Shenandoah, Crystal Springs, and Crystal Rock supplier at 434.971.8317.

Removal of Plexiglass
Visitor Guidance Workgroup, Infection Prevention and Control leadership, and UVA Medical Center Compliance have reviewed the use of plexiglass barriers and decided that:
- Effective immediately, plexiglass barriers are to be removed from all locations no later than Wednesday, May 31.
- To arrange removal of plexiglass barriers and storage for possible future use, please contact Health System Physical Plan (HSPP) via an online service request form or call HSPP Customer Support Center at 434.924.2267.
- Team members who do not feel safe without the barriers are encouraged to use a well-fitting, N95 mask at all times.

Self-Evaluations
Reminder: FY23 UVA Health manager evaluations are due June 30. Managers should hold their 1:1s and complete the acknowledgement step by this date. Team members should complete their acknowledgement step by July 14.
Managers can sign up for goal-setting and feedback training in Workday Learning by searching for “UVAH Performance.” Resources and additional details about the FY23 performance process, including the timeline for classified staff, can be found on UVA Health Performance.

Every Little Bit Helps!
UVA Health employees make a difference, even outside the realm of healthcare. On May 4, the Initiatives and Portfolio team of UVA Medical Center's Health Information Technology volunteered their time and muscle to help Charlottesville's Legal Aid Justice Center (LAJC) — a Virginia-based, non-profit organization providing legal services to low-income individuals and promoting justice programs in civil rights, economic, youth, and Immigrant advocacy.
Taking advantage of UVA Medical Center’s Volunteer Service Leave policy, the Initiatives and Portfolio team helped move materials from the LAJC office in Charlottesville to storage. The materials, separated into donation or discard categories, were carried and loaded onto a truck. The greatly appreciated effort freed LAJC employees' time for other critical duties and made office items available to the public that would otherwise have been inaccessible.
The event not only served the community, but also gave the Initiatives and Portfolio team members, who often work remotely, the opportunity to collaborate in person and enjoy each other's company in a non-working environment. Salvatore Vasta, an analyst in the group, says, "We meet online regularly and are supportive in fulfilling our UVA Health duties. Volunteer day was a wonderful way to share a personal, team building experience outside of work and help the community at large. We are looking forward to doing it again!"

COVID-19
Updated COVID-19 Vaccine Guidelines for Immunocompromised Patients
As of May 1, the Centers for Disease Control and Prevention (CDC) updated the Interim Clinical Considerations for Use of COVID-19 Vaccines Currently Authorized in the United States to reflect the following changes in the COVID-19 vaccination schedule for people who are moderately or severely immunocompromised as follows:
- At the time of initial vaccination, people ages 6 months and older are recommended to receive three bivalent mRNA doses.
- People ages 6 months and older who previously received only monovalent doses are recommended to receive one or two bivalent mRNA vaccine doses, depending on age and vaccine product.
- People who previously received a bivalent mRNA vaccine dose(s) have the option to receive one additional bivalent mRNA dose at least two months after initial bivalent dose; more additional doses may be administered at the discretion of the healthcare provider.
As a reminder of other recent changes made to the COVID-19 vaccination schedule last month:
- Most people are now recommended to receive a single bivalent mRNA vaccine dose.
- Individuals aged 65 years or older are eligible to receive one additional bivalent dose at least four months after initial bivalent dose.
- The monovalent mRNA COVID-19 vaccines are no longer authorized for use in the United States.

Construction Impact: Lane Road Closure
May 22-Aug. 23 | Lane Road — near University Hospital’s loading dock, MR-4, and MR-5 — will be closed to through traffic. During this time, crews will replace underground utilities serving MR-4 on Lane Road, and typical and familiar routes will be altered. The MR-4 West loading dock will be inaccessible to vehicles and pedestrians. The MR-4 East loading dock will remain open. The MR-5 loading dock will remain open, but the entry width will be reduced. Access to the hospital and Pinn Hall loading docks will be via the Pinn Hall access road, and vehicular traffic will be restricted to support, service, and delivery vehicles only. Pedestrians can enter the hospital and Primary Care Center via the Pinn Hall access road. We strongly recommend staff use alternative routes and entrances during this project. Public Health Emergency Ends Thursday, May 11: What You Need to Know
The national public health emergency (PHE) declarations addressing COVID-19 expire tomorrow, May 11, affecting select agency waivers and flexibilities in place for the past three years. Please see highlights below to major healthcare categories and visit Connect for a more robust review.
Updated information for clinical practice changes — video and audio-only visits:
- Great news! The Drug Enforcement Agency (DEA) extended the full set of telemedicine flexibilities an additional six months, through Nov. 11, 2023.
- The U.S. Department of Health and Human Services (HHS) granted a 90-day extension to transition to HIPAA-compliant platforms. HHS will enforce compliance of all video and telephone visits conducted via a HIPAA-compliant platform on Aug. 10, 2023.
- Audio-only visits remain allowable, but coverage is dependent on the insurance provider. Given the dynamic changes, please consult the PB Telehealth Grid for latest commercial payor updates.
- Virtual supervision of residents is not allowable. However, when the supervising attending physician is physically present with the resident, a resident may provide telemedicine services to non-rural patients.
- Hospital Without Walls waivers — allowing the Medical Center to bill for telehealth services to hospital outpatients — expire May 11. UPG Professional billing continues.
What will NOT change:
The Consolidated Appropriations Act 2023 extends Medicare telehealth flexibilities through Dec. 2024. Virginia General Assembly codified most waivers implemented during PHE. This means:
- No restrictions on patient site location — flexibilities extended to geographic and originating sites (e.g., home, office, car).
- Eliminate or delay the in-person telemental health requirement.
- Medicaid and commercial plan parity payment — for both in-person and video visits (Medicare at least through December 2023).

As Spring 2023 PTO Cash Out approaches, it's a good time to log in to Workday and review your “use or lose” Paid Time Off (PTO) hours. While you review your PTO, keep in mind:
- You'll be able to request PTO cash out May 18-28. Cash out process instructions will be sent via email on May 18 at 7 a.m., when cash out officially opens.
- Team members can get help completing the PTO cash out process by reviewing the Medical Center PTO cash out job aid.

Diligence and Care: Hybrid Team Tackles New Patient Financial SOP
Teamwork and collaboration are essential in healthcare. At UVA Health, great collaboration isn’t limited to clinical care — it's also found throughout our administrative and support services, and the recent launch of our Financial Clearance Standard Operating Procedure (SOP)offers a great example.
The new SOP helps patients better understand their financial responsibility prior to an appointment through consistent communication earlier in the patient journey. Successful execution hinges on a hybrid team from the Access and Revenue Cycle departments that includes representatives from Patient Access, the Pre-Arrival team, and our Financial Counseling team (pictured). They carefully coordinate on everything from collecting insurance information pre-visit to providing visit estimates to enrolling eligible patients in Medicaid.
Early returns suggest Financial Clearance SOP implementation is a success — one leading indicator shows the number of visit cost estimates provided to patients has increased 17% since implementation began in late February. This work is detail-oriented, contingent on everyone fulfilling their roles, and often entails having sensitive — and at times difficult — financial conversations with patients.
Kudos to these dedicated professionals who are making sure patients are financially prepared for their UVA Health appointments.

Public Health Emergency Ends Thursday, May 11: What You Need to Know
The national public health emergency (PHE) declarations addressing COVID-19 expire Thursday, May 11, impacting select agency waivers and flexibilities in place for the past three years. Please see highlights below to major healthcare categories and visit Connect for a more robust review.
Updated information for clinical practice changes — video and audio-only visits:
- Great news! The Drug Enforcement Agency-registered (DEA) filed for an extension to the existing Telemedicine waivers after receiving 38,000 comments to their Proposed Ruling. No changes to providers’ ability to prescribe Schedule II-V controlled substances via Telemedicine at this time. Extension duration still pending.
- The U.S. Department of Health and Human Services (HHS) granted a 90-day extension to transition to HIPAA-compliant platforms. HHS will enforce compliance of all video and telephone visits conducted via a HIPAA-compliant platform on Aug. 10, 2023.
- Hospital Without Walls waivers — allowing the Medical Center to bill for telehealth services to hospital outpatients — expire on May 11. UPG Professional billing continues.
What will NOT change:
The Consolidated Appropriations Act 2023 extends Medicare telehealth flexibilities through Dec. 2024. Virginia General Assembly codified most waivers implemented during PHE. This means:
- No restrictions on patient location — flexibilities extended to geographic and originating sites (e.g., home, office, car.)
- Audio-only visits allowed — over a HIPAA-compliant platform, coverage varies by payor.
- Eliminate or delay the in-person telemental health requirement.
- Medicaid and commercial plan parity payment — for both in-person and video visits (Medicare at least through December 2023).

Removal of Plexiglass
The Visitor Guidance Workgroup, Infection Prevention and Control leadership, and UVA Medical Center Compliance have reviewed the use of plexiglass barriers and made the following decision:
- Effective immediately, plexiglass barriers are to be removed from all locations no later than Wednesday, May 31.
- To arrange removal of plexiglass barriers and storage for possible future use, please contact Health System Physical Plan (HSPP) via an online service request form or call HSPP Customer Support Center at 434.924.2267.
- Team members who do not feel safe without the barriers are encouraged to use a well-fitting, N95 mask at all times.

Hope at Work: Surgical Support Technician’s Greatest Impact Goes Beyond the OR
Abby Wright was only 7 years old when she was diagnosed with a malignant peripheral nerve sheath tumor on her neck — two years after she was diagnosed with a form of neurofibromatosis: NF-1. From December 2022 to March 2023 at UVA Medical Center, Abby underwent four rounds of chemotherapy — each lasting five days.
In February this year, during a break from a round of chemotherapy — the young patient and her family had a chance encounter in the cafeteria. Abby wanted an orange drink and a beef stick. Andrew Drake, Sr., Surgical Support Technician, who’d been taking a break of his own from an evening shift in the operating room, took notice. “I saw this young girl pushing this IV pole around with her mom following closely and helping her,” he recalls.

Earn While You Learn: Two New Programs for Nurses
In partnership with UVA Medical Center and its Earn While You Learn program, the School of Nursing is offering two new opportunities for working nurses to pursue professional development and build their future roles as nurse educators and nursing student mentors. The Clinical Instructor Workshop and the Nurse Educator Academy expand nurses' skills and marketability and help address the need for more nurse educators willing and prepared to nurture the next generation of nurses during clinical rotations, in the classroom, and in the simulation lab. Women’s Supplies Drive
Through Wednesday, May 10 | UVA’s chapters of the Student National Medical Association, Latino Medical Student Association, and Ob/Gyn interest groups are partnering with Charlottesville’s Birth Sisters and INOVA’s Inova Cares Clinic for Women to organize a personal-care supplies drive for women. Donations can be monetary and/or supplies (such as deodorant, menstrual pads, diapers, diapers wipes, incontinent briefs for moms, bottles, or breastfeeding bra pads). To donate:

Bariatric Surgery Program Accredited and Expanding to Meet the Needs of Our Community
With the release of new guidelines for bariatric surgery in 2022, more people than ever before are eligible for weight-loss surgery. “Around 75% of the U.S. population is eligible for bariatric surgery or medical treatment for obesity,” says Catherine Varney, DO, a primary care physician certified in obesity medicine.
The UVA Health Bariatric Surgery Program — one of the longest-running and most comprehensive programs of its kind in Central Virginia — continues to evolve and expand to meet this increasing demand. This past calendar year, the program exceeded 300 weight-loss surgeries. “That's an increase of 17% from the prior year — and it's double the surgical volume we had in 2018,” says Jeff Eavey, RN.
To do this many surgeries and do them well takes highly skilled surgeons; ours are some of the best in the country with over two decades of experience. UVA Children’s Week of Giving
Through Friday, May 5 | Today is the first day of UVA Children’s Week of Giving! This week our community will come together to support UVA Children’s fundraising priorities, including the Neonatal Intensive Care Unit, Pediatric Intensive Care Unit, and family-centered care. Thanks to a $25,000 matching gift from UVA Children’s Advisory Board members, donors can double their impact.
As part of the Week of Giving, there will be an auction that includes a Dave Matthews Band 2023 tour package, a Boar’s Head golf package, and Nike Air Force Ones decorated by pediatric oncology patients and worn and signed by UVA staff.

Clinical Concerns for Novel Recreational Drug Use
This ECHO series will provide a better understanding of emerging clinical and epidemiological trends in the misuse of substances. Featuring toxicology experts from UVA and the Blue Ridge Poison Center — topics will include emerging substances such as synthetic cannabinoids, designer opioids, and benzodiazepines; the increase in nitrous oxide abuse; emerging trends in over-the-counter substances of misuse; and the limitations and utility of routine urine drug screens. Jones and Murray Receive American Red Cross Award
Please join us in congratulating Sharon Jones, Administrative Assistant and Blood Drive Coordinator, UVA Transfusion Medicine Services, and Christine Murray, RN, MSN, CPNP, CPHON , Coordinator of the Pediatric Comprehensive Sickle Cell Program, Department of Pediatric Hematology/Oncology, on receiving the 2023 American Red Cross, Central Virginia Chapter, Health Care Hero Award. They both were recognized for their valued work with sickle cell patients and their valued partnership with the American Red Cross. Sharon is honored to receive the award, grateful to colleagues who regularly donate, and especially proud of supporting the sickle cell blood drives. “Not everyone knows sickle cell disease occurs in one out of every 365 Black or African-American births. While we need donations from everyone — all the time! — blood transfusions have proven to be an effective treatment for those suffering from severe complications of sickle cell disease,” she explains. “One donation can save three lives. So grab a friend and make an appointment to donate!”
Christine points out that every September during Sickle Cell Awareness Month, UVA Children’s Comprehensive Sickle Cell Program partners with the American Red Cross to host a blood drive in honor of patients living with sickle cell disease. “It is during this blood drive, and all blood drives, when we can bring attention to the need for more Black and African-American donors to help save the life of people living with sickle cell disease,” she explains. “Our Pediatric Comprehensive Sickle Cell Team — Dr. Emily Moses; Leah Willey, LCSW; and Robyn Evans, Education Consultant — is honored to help take care of patients diagnosed with sickle cell disease and their families.”
